  • A PhD thesis is a concentrated piece of original research which must be carried out by all PhD students in order to successfully earn their doctoral degree.

What Is a Thesis?

A thesis is the main output of a PhD as it explains your workflow in reaching the conclusions you have come to in undertaking the research project. As a result, much of the content of your thesis will be based around your chapters of original work.

For your thesis to be successful, it needs to adequately defend your argument and provide a unique or increased insight into your field that was not previously available. As such, you can’t rely on other ideas or results to produce your thesis; it needs to be an original piece of text that belongs to you and you alone.

What Should a Thesis Include?

Although each thesis will be unique, they will all follow the same general format. To demonstrate this, we’ve put together an example structure of a PhD thesis and explained what you should include in each section below.

Acknowledgements

This is a personal section which you may or may not choose to include. The vast majority of students include it, giving both gratitude and recognition to their supervisor, university, sponsor/funder and anyone else who has supported them along the way.

1. Introduction

Provide a brief overview of your reason for carrying out your research project and what you hope to achieve by undertaking it. Following this, explain the structure of your thesis to give the reader context for what he or she is about to read.

2. Literature Review

Set the context of your research by explaining the foundation of what is currently known within your field of research, what recent developments have occurred, and where the gaps in knowledge are. You should conclude the literature review by outlining the overarching aims and objectives of the research project.

3. Main Body

This section focuses on explaining all aspects of your original research and so will form the bulk of your thesis. Typically, this section will contain four chapters covering the below:

  • your research/data collection methodologies,
  • your results,
  • a comprehensive analysis of your results,
  • a detailed discussion of your findings.

Depending on your project, each of your chapters may independently contain the structure listed above or in some projects, each chapter could be focussed entirely on one aspect (e.g. a standalone results chapter). Ideally, each of these chapters should be formatted such that they could be translated into papers for submission to peer-reviewed journals. Therefore, following your PhD, you should be able to submit papers for peer-review by reusing content you have already produced.

4. Conclusion

The conclusion will be a summary of your key findings with emphasis placed on the new contributions you have made to your field.

When producing your conclusion, it’s imperative that you relate it back to your original research aims, objectives and hypotheses. Make sure you have answered your original question.

How Many Words Is a PhD Thesis?

A common question we receive from students is – “how long should my thesis be?“.

Every university has different guidelines on this matter, therefore, consult with your university to get an understanding of their full requirements. Generally speaking, most supervisors will suggest somewhere between 70,000 and 100,000 words . This usually corresponds to somewhere between 250 – 350 pages .

We must stress that this is flexible, and it is important not to focus solely on the length of your thesis, but rather the quality.

How Do I Format My Thesis?

Although the exact formatting requirements will vary depending on the university, the typical formatting policies adopted by most universities are:

What Happens When I Finish My Thesis?

After you have submitted your thesis, you will attend a viva . A viva is an interview-style examination during which you are required to defend your thesis and answer questions on it. The aim of the viva is to convince your examiners that your work is of the level required for a doctoral degree. It is one of the last steps in the PhD process and arguably one of the most daunting!

How Do I Publish My Thesis?

Unfortunately, you can’t publish your thesis in its entirety in a journal. However, universities can make it available for others to read through their library system.

If you want to submit your work in a journal, you will need to develop it into one or more peer-reviewed papers. This will largely involve reformatting, condensing and tailoring it to meet the standards of the journal you are targeting.

A dissertation is a long-form piece of academic writing based on original research conducted by you. It is usually submitted as the final step in order to finish a PhD program.

Your dissertation is probably the longest piece of writing you’ve ever completed. It requires solid research, writing, and analysis skills, and it can be intimidating to know where to begin.

Your department likely has guidelines related to how your dissertation should be structured. When in doubt, consult with your supervisor.

  • In other countries (such as the UK), a dissertation often refers to the research you conduct to obtain your bachelor’s or master’s degree.

When you’ve finished your coursework, as well as any comprehensive exams or other requirements, you advance to “ABD” (All But Dissertation) status. This means you’ve completed everything except your dissertation.

Prior to starting to write, you must form your committee and write your prospectus or proposal . Your committee comprises your adviser and a few other faculty members. They can be from your own department, or, if your work is more interdisciplinary, from other departments. Your committee will guide you through the dissertation process, and ultimately decide whether you pass your dissertation defense and receive your PhD.

Your prospectus is a formal document presented to your committee, usually orally in a defense, outlining your research aims and objectives and showing why your topic is relevant . After passing your prospectus defense, you’re ready to start your research and writing.

The structure of your dissertation depends on a variety of factors, such as your discipline, topic, and approach. Dissertations in the humanities are often structured more like a long essay , building an overall argument to support a central thesis , with chapters organized around different themes or case studies.

The very first page of your document contains your dissertation title, your name, department, institution, degree program, and submission date. Sometimes it also includes your student number, your supervisor’s name, and the university’s logo.

The acknowledgements section is usually optional and gives space for you to thank everyone who helped you in writing your dissertation. This might include your supervisors, participants in your research, and friends or family who supported you. In some cases, your acknowledgements are part of a preface.

The abstract is a short summary of your dissertation, usually about 150 to 300 words long. Though this may seem very short, it’s one of the most important parts of your dissertation, because it introduces your work to your audience.

Your abstract should:

  • State your main topic and the aims of your research
  • Describe your methods
  • Summarize your main results
  • State your conclusions

The table of contents lists all of your chapters, along with corresponding subheadings and page numbers. This gives your reader an overview of your structure and helps them easily navigate your document.

Remember to include all main parts of your dissertation in your table of contents, even the appendices. It’s easy to generate a table automatically in Word if you used heading styles. Generally speaking, you only include level 2 and level 3 headings, not every subheading you included in your finished work.

While not usually mandatory, it’s nice to include a list of figures and tables to help guide your reader if you have used a lot of these in your dissertation. It’s easy to generate one of these in Word using the Insert Caption feature.

Similarly, if you have used a lot of abbreviations (especially industry-specific ones) in your dissertation, you can include them in an alphabetized list of abbreviations so that the reader can easily look up their meanings.

In addition to the list of abbreviations, if you find yourself using a lot of highly specialized terms that you worry will not be familiar to your reader, consider including a glossary. Here, alphabetize the terms and include a brief description or definition.

The introduction serves to set up your dissertation’s topic, purpose, and relevance. It tells the reader what to expect in the rest of your dissertation. The introduction should:

  • Establish your research topic , giving the background information needed to contextualize your work
  • Narrow down the focus and define the scope of your research
  • Discuss the state of existing research on the topic, showing your work’s relevance to a broader problem or debate
  • Clearly state your research questions and objectives
  • Outline the flow of the rest of your work

Everything in the introduction should be clear, engaging, and relevant. By the end, the reader should understand the what, why, and how of your research.

A formative part of your research is your literature review . This helps you gain a thorough understanding of the academic work that already exists on your topic.

Literature reviews encompass:

  • Finding relevant sources (e.g., books and journal articles)
  • Assessing the credibility of your sources
  • Critically analyzing and evaluating each source
  • Drawing connections between them (e.g., themes, patterns, conflicts, or gaps) to strengthen your overall point

A literature review is not merely a summary of existing sources. Your literature review should have a coherent structure and argument that leads to a clear justification for your own research. It may aim to:

  • Address a gap in the literature or build on existing knowledge
  • Take a new theoretical or methodological approach to your topic
  • Propose a solution to an unresolved problem or advance one side of a theoretical debate

Theoretical framework

Your literature review can often form the basis for your theoretical framework. Here, you define and analyze the key theories, concepts, and models that frame your research.

Your methodology chapter describes how you conducted your research, allowing your reader to critically assess its credibility. Your methodology section should accurately report what you did, as well as convince your reader that this was the best way to answer your research question.

A methodology section should generally include:

  • The overall research approach ( quantitative vs. qualitative ) and research methods (e.g., a longitudinal study )
  • Your data collection methods (e.g., interviews or a controlled experiment )
  • Details of where, when, and with whom the research took place
  • Any tools and materials you used (e.g., computer programs, lab equipment)
  • Your data analysis methods (e.g., statistical analysis , discourse analysis )
  • An evaluation or justification of your methods

Your results section should highlight what your methodology discovered. You can structure this section around sub-questions, hypotheses , or themes, but avoid including any subjective or speculative interpretation here.

Your results section should:

  • Concisely state each relevant result together with relevant descriptive statistics (e.g., mean , standard deviation ) and inferential statistics (e.g., test statistics , p values )
  • Briefly state how the result relates to the question or whether the hypothesis was supported
  • Report all results that are relevant to your research questions , including any that did not meet your expectations.

Your discussion section is your opportunity to explore the meaning and implications of your results in relation to your research question. Here, interpret your results in detail, discussing whether they met your expectations and how well they fit with the framework that you built in earlier chapters. Refer back to relevant source material to show how your results fit within existing research in your field.

Some guiding questions include:

  • What do your results mean?
  • Why do your results matter?
  • What limitations do the results have?

If any of the results were unexpected, offer explanations for why this might be. It’s a good idea to consider alternative interpretations of your data.

Your dissertation’s conclusion should concisely answer your main research question, leaving your reader with a clear understanding of your central argument and emphasizing what your research has contributed to the field.

In some disciplines, the conclusion is just a short section preceding the discussion section, but in other contexts, it is the final chapter of your work. Here, you wrap up your dissertation with a final reflection on what you found, with recommendations for future research and concluding remarks.

It’s important to leave the reader with a clear impression of why your research matters. What have you added to what was already known? Why is your research necessary for the future of your field?

It is crucial to include a reference list or list of works cited with the full details of all the sources that you used, in order to avoid plagiarism. Be sure to choose one citation style and follow it consistently throughout your dissertation. Each style has strict and specific formatting requirements.

Common styles include MLA , Chicago , and APA , but which style you use is often set by your department or your field.

Your dissertation should contain only essential information that directly contributes to answering your research question. Documents such as interview transcripts or survey questions can be added as appendices, rather than adding them to the main body.

Making sure that all of your sections are in the right place is only the first step to a well-written dissertation. Don’t forget to leave plenty of time for editing and proofreading, as grammar mistakes and sloppy spelling errors can really negatively impact your work.

Dissertations can take up to five years to write, so you will definitely want to make sure that everything is perfect before submitting. After your written dissertation is approved, your committee will schedule a defense. Similarly to defending your prospectus, dissertation defenses are oral presentations of your work. You’ll present your dissertation, and your committee will ask you questions. Many departments allow family members, friends, and other people who are interested to join as well.

After your defense, your committee will meet, and then inform you whether you have passed. Keep in mind that defenses are usually just a formality; most committees will have resolved any serious issues with your work with you far prior to your defense, giving you ample time to fix any problems.

A PhD typically involves between three and four years of full-time study, culminating in a thesis which makes an original contribution to your field.

The process of getting a PhD is made up of quite a few components and milestones, from the literature review and writing up your dissertation right through to the viva examination at the end.

This section is a guide on how to do a PhD, providing in-depth advice and information on some of the main challenges and opportunities you’ll meet along the way!.

7 stages of the PhD journey

A PhD has a few landmark milestones along the way. The three to four year you'll spend doing a PhD can be divided into these seven stages.

  • Preparing a research proposal
  • Carrying out a literature review
  • Conducting research and collecting results
  • Completing the MPhil to PhD upgrade
  • Participating in PhD teaching, conferences and publications
  • Writing your thesis
  • Defending your PhD results at a viva voce

We've expanded on what you can expect from each stage below.

1. Preparing a research proposal

Strictly speaking, your research proposal isn’t part of your PhD. Instead it’s normally part of the PhD application process.

The research proposal sets out the aims and objectives for your PhD: the original topic you plan to study and / or the questions you’ll set out to answer.

It also explains why your work is worthwhile and why it fits with the expertise and objectives of your university.

Finally, a PhD proposal explains how you plan to go about completing your doctorate. This involves identifying the existing scholarship your work will be in dialogue with and the methods you plan to use in your research.

All of this means that, even though the proposal precedes the PhD itself, it plays a vital role in shaping your project and signposting the work you’ll be doing over the next three or more years.

2. Carrying out a literature review

The literature review is normally the first thing you’ll tackle after beginning your PhD and having an initial meeting with your supervisor.

It’s a thorough survey of work in your field (the current scholarly ‘literature’) that relates to your project or to related topics.

Your supervisor will offer some advice and direction, after which you’ll identify, examine and evaluate existing data and scholarship.

In most cases the literature review will actually form part of your final PhD dissertation – usually setting up the context for the project, before you begin to explain and demonstrate your own thesis.

Sometimes a literature review can also be evaluated as part of your MPhil upgrade .

Research vs scholarship

Research and scholarship are both important parts of a PhD. But they aren't the same thing - and it's helpful to know the difference. Research is the original work you produce with your thesis. Scholarship is the expert understanding of your subject area that enables you to conduct valuable research.

3. Conducting research and collecting results

Once you’ve carried out your literature review, you’ll move from scholarship to research .

This doesn’t mean you’ll never read another academic article or consult someone else’s data again. Far from it. You’ll stay up to date with any new developments in your field and incorporate these into your literature review as necessary.

But, from here on in, your primary focus in your PhD process is going to be investigating your own research question. This means carrying out organised research and producing results upon which to base your conclusions.

Types of PhD research

The research process and the type of results you collect will depend upon your subject area:

  • In Science, Technology, Engineering and Mathematics (STEM) subjects you’ll focus on designing experiments, before recording and analysing their outcomes. This often means assembling and managing complex numerical datasets – sometimes in collaboration with the rest of your laboratory or workshop.
  • In Social Science subjects you’ll be more focussed on designing surveys or conducting case studies. These will produce quantitative or qualitative data, depending on the nature of your work.
  • In Arts and Humanities subjects you’ll often have less raw data, but that doesn’t mean you won’t be working with ‘hard’ factual information. You’ll analyse texts, sources and other materials according to an accepted methodology and reflect upon the significance of your findings.

Whatever subject you’re in, this research work will account for the greater part of your PhD results. You’ll have regular meetings with your supervisor, but the day-to-day management of your project and its progress will be your own responsibility.

In some fields it’s common to begin writing up your findings as you collect them, developing your thesis and completing the accompanying dissertation chapter-by-chapter. In other cases you’ll wait until you have a full dataset before reviewing and recording your conclusions.

4. Completing an MPhil to PhD upgrade

At UK universities it’s common to register new PhD students for an MPhil before ‘ upgrading ’ them to ‘full’ doctoral candidates. This usually takes place after one year of full-time study (or its part-time equivalent).

Forcing you to register for a ‘lesser’ degree may seem strange, but it’s actually an important part of the training and development a PhD offers:

  • As an MPhil student you’re able to comprehend your field and produce new research.
  • As a PhD student you’re able to go that crucial step further and produce the significant original contribution to knowledge that defines a doctorate.

The MPhil upgrade is when you take the step from the former to the latter.

The MPhil upgrade exam

Upgrading from MPhil to PhD registration usually involves a form of oral exam – similar to the viva voce that concludes a PhD. But, unlike a full viva, the MPhil upgrade is less formal and only covers part of your thesis.

In most cases you’ll submit a small amount of the material you’ve produced so far. This could be a draft of your first chapter (or part of it) and / or your literature review. You could also be asked to reflect on your progress in general.

You’ll then sit down with your supervisor and someone else from your department (familiar with your field, but unrelated to your project). They’ll offer feedback on the quality of your work and ask questions about your findings.

The aim of the process won’t be to examine your drafts so much as to confirm that your project has the potential to justify a PhD – and that you’re on track to complete it on time.

‘Failing’ a PhD upgrade is actually quite rare. Your university may ask you to repeat the procedure if they are concerned that you haven’t made sufficient progress or established a viable plan for the rest of your project.

What is an MPhil?

The MPhil (Master of Philosophy) is also a research degree, but its scope is more limited than a PhD (Doctor of Philosophy). And no, just like a PhD, an MPhil isn’t necessarily a Philosophy qualification. Our guide covers all you need to know about the difference between a MPhil and PhD .

5. PhD teaching, conferences and publications

During the PhD process, you’ll have lots of opportunities to take part in extra-curricular activities, such as teaching, academic conferences and publications.

Although it isn’t usually compulsory to participate in these, they can be an incredibly rewarding experience and will look great on your CV.

Teaching during a PhD normally involves hosting undergraduate seminars or supervising students in the lab, as well as marking work and providing feedback.

Academic conferences are an excellent way to network with like-minded colleagues and find out the latest developments in your field. You might even be able to present your own work to your peers at one of these events.

Publishing during a PhD will help you increase your academic profile, as well as give you experience of the peer review process. It’s not normally a requisite of your PhD, but publications will certainly help if you plan on applying for postdoc positions.

6. Writing your thesis

As the culmination of three or more years of hard work, the thesis (or dissertation) is the most important part of the procedure to get your PhD, presenting you with the opportunity to make an original scholarly contribution to your discipline.

7. Defending your PhD results at a viva voce

Unlike other degrees, a PhD isn’t normally marked as a piece of written work. Instead your dissertation will be submitted for an oral examination known as a viva voce (Latin for ‘living voice’).

This is a formal procedure, during which you ‘defend’ your thesis in front of appointed examiners, each of whom will have read your dissertation thoroughly in advance.

Examiners at a viva voce

A PhD is normally examined by two academic experts:

  • One will be an internal examiner, usually appointed from elsewhere in your faculty and department. They won’t be directly associated with your project, but will have sufficient expertise to assess your findings.
  • The other will be an external examiner. They will be a recognised expert in the area you are researching, with a record of relevant research and publication. Most universities in the UK allow you to invite an external examiner of your choice, provided there is no existing conflict of interest.

Your supervisor will help you prepare for the viva and will offer advice on choosing an external examiner. However, they will not normally be present during the examination.

Embarking on a PhD is “probably the most challenging task that a young scholar attempts to do”, write Mark Stephan Felix and Ian Smith in their practical guide to dissertation and thesis writing. After years of reading and research to answer a specific question or proposition, the candidate will submit about 80,000 words that explain their methods and results and demonstrate their unique contribution to knowledge. Here are the answers to frequently asked questions about writing a doctoral thesis or dissertation.

What’s the difference between a dissertation and a thesis?

Whatever the genre of the doctorate, a PhD must offer an original contribution to knowledge. The terms “dissertation” and “thesis” both refer to the long-form piece of work produced at the end of a research project and are often used interchangeably. Which one is used might depend on the country, discipline or university. In the UK, “thesis” is generally used for the work done for a PhD, while a “dissertation” is written for a master’s degree. The US did the same until the 1960s, says Oxbridge Essays, when the convention switched, and references appeared to a “master’s thesis” and “doctoral dissertation”. To complicate matters further, undergraduate long essays are also sometimes referred to as a thesis or dissertation.

The Oxford English Dictionary defines “thesis” as “a dissertation, especially by a candidate for a degree” and “dissertation” as “a detailed discourse on a subject, especially one submitted in partial fulfilment of the requirements of a degree or diploma”.

The title “doctor of philosophy”, incidentally, comes from the degree’s origins, write Dr Felix, an associate professor at Mahidol University in Thailand, and Dr Smith, retired associate professor of education at the University of Sydney , whose co-authored guide focuses on the social sciences. The PhD was first awarded in the 19th century by the philosophy departments of German universities, which at that time taught science, social science and liberal arts.

How long should a PhD thesis be?

A PhD thesis (or dissertation) is typically 60,000 to 120,000 words ( 100 to 300 pages in length ) organised into chapters, divisions and subdivisions (with roughly 10,000 words per chapter) – from introduction (with clear aims and objectives) to conclusion.

The structure of a dissertation will vary depending on discipline (humanities, social sciences and STEM all have their own conventions), location and institution. Examples and guides to structure proliferate online. The University of Salford , for example, lists: title page, declaration, acknowledgements, abstract, table of contents, lists of figures, tables and abbreviations (where needed), chapters, appendices and references.

A scientific-style thesis will likely need: introduction, literature review, materials and methods, results, discussion, bibliography and references.

As well as checking the overall criteria and expectations of your institution for your research, consult your school handbook for the required length and format (font, layout conventions and so on) for your dissertation.

A PhD takes three to four years to complete; this might extend to six to eight years for a part-time doctorate.

What are the steps for completing a PhD?

Before you get started in earnest , you’ll likely have found a potential supervisor, who will guide your PhD journey, and done a research proposal (which outlines what you plan to research and how) as part of your application, as well as a literature review of existing scholarship in the field, which may form part of your final submission.

In the UK, PhD candidates undertake original research and write the results in a thesis or dissertation, says author and vlogger Simon Clark , who posted videos to YouTube throughout his own PhD journey . Then they submit the thesis in hard copy and attend the viva voce (which is Latin for “living voice” and is also called an oral defence or doctoral defence) to convince the examiners that their work is original, understood and all their own. Afterwards, if necessary, they make changes and resubmit. If the changes are approved, the degree is awarded.

The steps are similar in Australia , although candidates are mostly assessed on their thesis only; some universities may include taught courses, and some use a viva voce. A PhD in Australia usually takes three years full time.

In the US, the PhD process begins with taught classes (similar to a taught master’s) and a comprehensive exam (called a “field exam” or “dissertation qualifying exam”) before the candidate embarks on their original research. The whole journey takes four to six years.

A PhD candidate will need three skills and attitudes to get through their doctoral studies, says Tara Brabazon , professor of cultural studies at Flinders University in Australia who has written extensively about the PhD journey :

  • master the academic foundational skills (research, writing, ability to navigate different modalities)
  • time-management skills and the ability to focus on reading and writing
  • determined motivation to do a PhD.

How do I choose the topic for my PhD dissertation or thesis?

It’s important to find a topic that will sustain your interest for the years it will take to complete a PhD. “Finding a sustainable topic is the most important thing you [as a PhD student] would do,” says Dr Brabazon in a video for Times Higher Education . “Write down on a big piece of paper all the topics, all the ideas, all the questions that really interest you, and start to cross out all the ones that might just be a passing interest.” Also, she says, impose the “Who cares? Who gives a damn?” question to decide if the topic will be useful in a future academic career.

The availability of funding and scholarships is also often an important factor in this decision, says veteran PhD supervisor Richard Godwin, from Harper Adams University .

Define a gap in knowledge – and one that can be questioned, explored, researched and written about in the time available to you, says Gina Wisker, head of the Centre for Learning and Teaching at the University of Brighton. “Set some boundaries,” she advises. “Don’t try to ask everything related to your topic in every way.”

James Hartley, research professor in psychology at Keele University, says it can also be useful to think about topics that spark general interest. If you do pick something that taps into the zeitgeist, your findings are more likely to be noticed.

You also need to find someone else who is interested in it, too. For STEM candidates , this will probably be a case of joining a team of people working in a similar area where, ideally, scholarship funding is available. A centre for doctoral training (CDT) or doctoral training partnership (DTP) will advertise research projects. For those in the liberal arts and social sciences, it will be a matter of identifying a suitable supervisor .

Avoid topics that are too broad (hunger across a whole country, for example) or too narrow (hunger in a single street) to yield useful solutions of academic significance, write Mark Stephan Felix and Ian Smith. And ensure that you’re not repeating previous research or trying to solve a problem that has already been answered. A PhD thesis must be original.

What is a thesis proposal?

After you have read widely to refine your topic and ensure that it and your research methods are original, and discussed your project with a (potential) supervisor, you’re ready to write a thesis proposal , a document of 1,500 to 3,000 words that sets out the proposed direction of your research. In the UK, a research proposal is usually part of the application process for admission to a research degree. As with the final dissertation itself, format varies among disciplines, institutions and countries but will usually contain title page, aims, literature review, methodology, timetable and bibliography. How to write an abstract for a dissertation or thesis

The abstract presents your thesis to the wider world – and as such may be its most important element , says the NUI Galway writing guide. It outlines the why, how, what and so what of the thesis . Unlike the introduction, which provides background but not research findings, the abstract summarises all sections of the dissertation in a concise, thorough, focused way and demonstrates how well the writer understands their material. Check word-length limits with your university – and stick to them. About 300 to 500 words is a rough guide ­– but it can be up to 1,000 words.

The abstract is also important for selection and indexing of your thesis, according to the University of Melbourne guide , so be sure to include searchable keywords.

It is the first thing to be read but the last element you should write. However, Pat Thomson , professor of education at the University of Nottingham , advises that it is not something to be tackled at the last minute.

How to write a stellar conclusion

As well as chapter conclusions, a thesis often has an overall conclusion to draw together the key points covered and to reflect on the unique contribution to knowledge. It can comment on future implications of the research and open up new ideas emanating from the work. It is shorter and more general than the discussion chapter , says online editing site Scribbr, and reiterates how the work answers the main question posed at the beginning of the thesis. The conclusion chapter also often discusses the limitations of the research (time, scope, word limit, access) in a constructive manner.

It can be useful to keep a collection of ideas as you go – in the online forum DoctoralWriting SIG , academic developer Claire Aitchison, of the University of South Australia , suggests using a “conclusions bank” for themes and inspirations, and using free-writing to keep this final section fresh. (Just when you feel you’ve run out of steam.) Avoid aggrandising or exaggerating the impact of your work. It should remind the reader what has been done, and why it matters.

How to format a bibliography (or where to find a reliable model)

Most universities use a preferred style of references , writes THE associate editor Ingrid Curl. Make sure you know what this is and follow it. “One of the most common errors in academic writing is to cite papers in the text that do not then appear in the bibliography. All references in your thesis need to be cross-checked with the bibliography before submission. Using a database during your research can save a great deal of time in the writing-up process.”

A bibliography contains not only works cited explicitly but also those that have informed or contributed to the research – and as such illustrates its scope; works are not limited to written publications but include sources such as film or visual art.

Examiners can start marking from the back of the script, writes Dr Brabazon. “Just as cooks are judged by their ingredients and implements, we judge doctoral students by the calibre of their sources,” she advises. She also says that candidates should be prepared to speak in an oral examination of the PhD about any texts included in their bibliography, especially if there is a disconnect between the thesis and the texts listed.

Can I use informal language in my PhD?

Don’t write like a stereotypical academic , say Kevin Haggerty, professor of sociology at the University of Alberta , and Aaron Doyle, associate professor in sociology at Carleton University , in their tongue-in-cheek guide to the PhD journey. “If you cannot write clearly and persuasively, everything about PhD study becomes harder.” Avoid jargon, exotic words, passive voice and long, convoluted sentences – and work on it consistently. “Writing is like playing guitar; it can improve only through consistent, concerted effort.”

Be deliberate and take care with your writing . “Write your first draft, leave it and then come back to it with a critical eye. Look objectively at the writing and read it closely for style and sense,” advises THE ’s Ms Curl. “Look out for common errors such as dangling modifiers, subject-verb disagreement and inconsistency. If you are too involved with the text to be able to take a step back and do this, then ask a friend or colleague to read it with a critical eye. Remember Hemingway’s advice: ‘Prose is architecture, not interior decoration.’ Clarity is key.”

How often should a PhD candidate meet with their supervisor?

Since the PhD supervisor provides a range of support and advice – including on research techniques, planning and submission – regular formal supervisions are essential, as is establishing a line of contact such as email if the candidate needs help or advice outside arranged times. The frequency varies according to university, discipline and individual scholars.

Once a week is ideal, says Dr Brabazon. She also advocates a two-hour initial meeting to establish the foundations of the candidate-supervisor relationship .

The University of Edinburgh guide to writing a thesis suggests that creating a timetable of supervisor meetings right at the beginning of the research process will allow candidates to ensure that their work stays on track throughout. The meetings are also the place to get regular feedback on draft chapters.

“A clear structure and a solid framework are vital for research,” writes Dr Godwin on THE Campus . Use your supervisor to establish this and provide a realistic view of what can be achieved. “It is vital to help students identify the true scientific merit, the practical significance of their work and its value to society.”

How to proofread your dissertation (what to look for)

Proofreading is the final step before printing and submission. Give yourself time to ensure that your work is the best it can be . Don’t leave proofreading to the last minute; ideally, break it up into a few close-reading sessions. Find a quiet place without distractions. A checklist can help ensure that all aspects are covered.

Proofing is often helped by a change of format – so it can be easier to read a printout rather than working off the screen – or by reading sections out of order. Fresh eyes are better at spotting typographical errors and inconsistencies, so leave time between writing and proofreading. Check with your university’s policies before asking another person to proofread your thesis for you.

As well as close details such as spelling and grammar, check that all sections are complete, all required elements are included , and nothing is repeated or redundant. Don’t forget to check headings and subheadings. Does the text flow from one section to another? Is the structure clear? Is the work a coherent whole with a clear line throughout?

Ensure consistency in, for example, UK v US spellings, capitalisation, format, numbers (digits or words, commas, units of measurement), contractions, italics and hyphenation. Spellchecks and online plagiarism checkers are also your friend.

How do you manage your time to complete a PhD dissertation?

Treat your PhD like a full-time job, that is, with an eight-hour working day. Within that, you’ll need to plan your time in a way that gives a sense of progress . Setbacks and periods where it feels as if you are treading water are all but inevitable, so keeping track of small wins is important, writes A Happy PhD blogger Luis P. Prieto.

Be specific with your goals – use the SMART acronym (specific, measurable, attainable, relevant and timely).

And it’s never too soon to start writing – even if early drafts are overwritten and discarded.

“ Write little and write often . Many of us make the mistake of taking to writing as one would take to a sprint, in other words, with relatively short bursts of intense activity. Whilst this can prove productive, generally speaking it is not sustainable…In addition to sustaining your activity, writing little bits on a frequent basis ensures that you progress with your thinking. The comfort of remaining in abstract thought is common; writing forces us to concretise our thinking,” says Christian Gilliam, AHSS researcher developer at the University of Cambridge ’s Centre for Teaching and Learning.

Make time to write. “If you are more alert early in the day, find times that suit you in the morning; if you are a ‘night person’, block out some writing sessions in the evenings,” advises NUI Galway’s Dermot Burns, a lecturer in English and creative arts. Set targets, keep daily notes of experiment details that you will need in your thesis, don’t confuse writing with editing or revising – and always back up your work.

What work-life balance tips should I follow to complete my dissertation?

During your PhD programme, you may have opportunities to take part in professional development activities, such as teaching, attending academic conferences and publishing your work. Your research may include residencies, field trips or archive visits. This will require time-management skills as well as prioritising where you devote your energy and factoring in rest and relaxation. Organise your routine to suit your needs , and plan for steady and regular progress.

How to deal with setbacks while writing a thesis or dissertation

Have a contingency plan for delays or roadblocks such as unexpected results.

Accept that writing is messy, first drafts are imperfect, and writer’s block is inevitable, says Dr Burns. His tips for breaking it include relaxation to free your mind from clutter, writing a plan and drawing a mind map of key points for clarity. He also advises feedback, reflection and revision: “Progressing from a rough version of your thoughts to a superior and workable text takes time, effort, different perspectives and some expertise.”

“Academia can be a relentlessly brutal merry-go-round of rejection, rebuttal and failure,” writes Lorraine Hope , professor of applied cognitive psychology at the University of Portsmouth, on THE Campus. Resilience is important. Ensure that you and your supervisor have a relationship that supports open, frank, judgement-free communication.

What is a dissertation, getting started, staying on track.

A thesis is a long-term project that you work on over the course of a semester or a year. Theses have a very wide variety of styles and content, so we encourage you to look at prior examples and work closely with faculty to develop yours. 

Before you begin, make sure that you are familiar with the dissertation genre—what it is for and what it looks like.

Generally speaking, a dissertation’s purpose is to prove that you have the expertise necessary to fulfill your doctoral-degree requirements by showing depth of knowledge and independent thinking.

The form of a dissertation may vary by discipline. Be sure to follow the specific guidelines of your department.

Finding an original topic can be a daunting and overwhelming task. These key concepts can help you focus and save time.

Finding a topic for your thesis or dissertation should start with a research question that excites or at least interests you. A rigorous, engaging, and original project will require continuous curiosity about your topic, about your own thoughts on the topic, and about what other scholars have said on your topic. Avoid getting boxed in by thinking you know what you want to say from the beginning; let your research and your writing evolve as you explore and fine-tune your focus through constant questioning and exploration.

Get a sense of the broader picture before you narrow your focus and attempt to frame an argument. Read, skim, and otherwise familiarize yourself with what other scholars have done in areas related to your proposed topic. Briefly explore topics tangentially related to yours to broaden your perspective and increase your chance of finding a unique angle to pursue.

Critical Reading

Critical reading is the opposite of passive reading. Instead of merely reading for information to absorb, critical reading also involves careful, sustained thinking about what you are reading. This process may include analyzing the author’s motives and assumptions, asking what might be left out of the discussion, considering what you agree with or disagree with in the author’s statements and why you agree or disagree, and exploring connections or contradictions between scholarly arguments. Conversation

Your thesis or dissertation will incorporate some ideas from other scholars whose work you researched. By reading critically and following your curiosity, you will develop your own ideas and claims, and these contributions are the core of your project. You will also acknowledge the work of scholars who came before you, and you must accurately and fairly attribute this work and define your place within the larger discussion. Make sure that you know how to quote, summarize, paraphrase ,  integrate , and cite secondary sources to avoid plagiarism and to show the depth and breadth of your knowledge.

A thesis is a long-term, large project that involves both research and writing; it is easy to lose focus, motivation, and momentum. Here are suggestions for achieving the result you want in the time you have.

The dissertation is probably the largest project you have undertaken, and a lot of the work is self-directed. The project can feel daunting or even overwhelming unless you break it down into manageable pieces and create a timeline for completing each smaller task. Be realistic but also challenge yourself, and be forgiving of yourself if you miss a self-imposed deadline here and there.

Your program will also have specific deadlines for different requirements, including establishing a committee, submitting a prospectus, completing the dissertation, defending the dissertation, and submitting your work. Consult your department’s website for these dates and incorporate them into the timeline for your work.

Accountability

Sometimes self-imposed deadlines do not feel urgent unless there is accountability to someone beyond yourself. To increase your motivation to complete tasks on schedule, set dates with your committee chair to submit pre-determined pieces of a chapter. You can also arrange with a fellow doctoral student to check on each other’s progress. Research and writing can be lonely, so it is also nice to share that journey with someone and support each other through the process.

Common Pitfalls

The most common challenges for students writing a dissertation are writer’s block, information-overload, and the compulsion to keep researching forever.

There are many strategies for avoiding writer’s block, such as freewriting, outlining, taking a walk, starting in the middle, and creating an ideal work environment for your particular learning style. Pay attention to what helps you and try different things until you find what works.

Finally, remember that there is always more to learn and your dissertation cannot incorporate everything. Follow your curiosity but also set limits on the scope of your work. It helps to create a folder entitled “future projects” for topics and sources that interest you but that do not fit neatly into the dissertation. Also remember that future scholars will build off of your work, so leave something for them to do.

Browsing through theses and dissertations of the past can help to get a sense of your options and gain inspiration but be careful to use current guidelines and refer to your committee instead of relying on these examples for form or formatting.

Writing a dissertation or thesis is not a simple task. It takes time, energy and a lot of will power to get you across the finish line. It’s not easy – but it doesn’t necessarily need to be a painful process. If you understand the big-picture process of how to write a dissertation or thesis, your research journey will be a lot smoother.  

In this post, I’m going to outline the big-picture process of how to write a high-quality dissertation or thesis, without losing your mind along the way. If you’re just starting your research, this post is perfect for you. Alternatively, if you’ve already submitted your proposal, this article which covers how to structure a dissertation might be more helpful.

Start writing your dissertation

Step 1: Understand exactly what a dissertation is

This probably sounds like a no-brainer, but all too often, students come to us for help with their research and the underlying issue is that they don’t fully understand what a dissertation (or thesis) actually is.

So, what is a dissertation?

At its simplest, a dissertation or thesis is a formal piece of research , reflecting the standard research process . But what is the standard research process, you ask? The research process involves 4 key steps:

  • Ask a very specific, well-articulated question (s) (your research topic)
  • See what other researchers have said about it (if they’ve already answered it)
  • If they haven’t answered it adequately, undertake your own data collection and analysis in a scientifically rigorous fashion
  • Answer your original question(s), based on your analysis findings

In short, the research process is simply about asking and answering questions in a systematic fashion . This probably sounds pretty obvious, but people often think they’ve done “research”, when in fact what they have done is:

  • Started with a vague, poorly articulated question
  • Not taken the time to see what research has already been done regarding the question
  • Collected data and opinions that support their gut and undertaken a flimsy analysis
  • Drawn a shaky conclusion, based on that analysis

If you want to see the perfect example of this in action, look out for the next Facebook post where someone claims they’ve done “research”… All too often, people consider reading a few blog posts to constitute research. Its no surprise then that what they end up with is an opinion piece, not research. Okay, okay – I’ll climb off my soapbox now.

The key takeaway here is that a dissertation (or thesis) is a formal piece of research, reflecting the research process. It’s not an opinion piece , nor a place to push your agenda or try to convince someone of your position. Writing a good dissertation involves asking a question and taking a systematic, rigorous approach to answering it.

If you understand this and are comfortable leaving your opinions or preconceived ideas at the door, you’re already off to a good start!

Step 2: Find a unique, valuable research topic

As we saw, the first step of the research process is to ask a specific, well-articulated question. In other words, you need to find a research topic that asks a specific question or set of questions (these are called research questions ). Sounds easy enough, right? All you’ve got to do is identify a question or two and you’ve got a winning research topic. Well, not quite…

A good dissertation or thesis topic has a few important attributes. Specifically, a solid research topic should be:

Attribute #1: Clear

Your research topic needs to be crystal clear about what you’re planning to research, what you want to know, and within what context. There shouldn’t be any ambiguity or vagueness about what you’ll research.

Here’s an example of a clearly articulated research topic:

An analysis of consumer-based factors influencing organisational trust in British low-cost online equity brokerage firms.

As you can see in the example, its crystal clear what will be analysed (factors impacting organisational trust), amongst who (consumers) and in what context (British low-cost equity brokerage firms, based online).

Attribute #2:   Unique

Your research should be asking a question(s) that hasn’t been asked before, or that hasn’t been asked in a specific context (for example, in a specific country or industry).

For example, sticking organisational trust topic above, it’s quite likely that organisational trust factors in the UK have been investigated before, but the context (online low-cost equity brokerages) could make this research unique. Therefore, the context makes this research original.

One caveat when using context as the basis for originality – you need to have a good reason to suspect that your findings in this context might be different from the existing research – otherwise, there’s no reason to warrant researching it.

Attribute #3: Important

Simply asking a unique or original question is not enough – the question needs to create value. In other words, successfully answering your research questions should provide some value to the field of research or the industry. You can’t research something just to satisfy your curiosity. It needs to make some form of contribution either to research or industry.

For example, researching the factors influencing consumer trust would create value by enabling businesses to tailor their operations and marketing to leverage factors that promote trust. In other words, it would have a clear benefit to industry.

Step 3: Write a convincing research proposal

Once you’ve pinned down a high-quality research topic, the next step is to convince your university to let you research it. No matter how awesome you think your topic is, it still needs to get the rubber stamp before you can move forward with your research. The research proposal is the tool you’ll use for this job.

So, what’s in a research proposal?

The main “job” of a research proposal is to convince your university, advisor or committee that your research topic is worthy of approval. But convince them of what? Well, this varies from university to university, but generally, they want to see that:

  • You have a clearly articulated, unique and important topic (this might sound familiar…)
  • You’ve done some initial reading of the existing literature relevant to your topic (i.e. a literature review)
  • You have a provisional plan in terms of how you will collect data and analyse it (i.e. a methodology)

At the proposal stage, it’s (generally) not expected that you’ve extensively reviewed the existing literature , but you will need to show that you’ve done enough reading to identify a clear gap for original (unique) research. Similarly, they generally don’t expect that you have a rock-solid research methodology mapped out, but you should have an idea of whether you’ll be undertaking qualitative or quantitative analysis , and how you’ll collect your data (we’ll discuss this in more detail later).

Long story short – don’t stress about having every detail of your research meticulously thought out at the proposal stage – this will develop as you progress through your research. However, you do need to show that you’ve “done your homework” and that your research is worthy of approval .

Step 4: Craft a strong introduction chapter

Once your proposal’s been approved, its time to get writing your actual dissertation or thesis! The good news is that if you put the time into crafting a high-quality proposal, you’ve already got a head start on your first three chapters – introduction, literature review and methodology – as you can use your proposal as the basis for these.

What’s the introduction chapter all about?

The purpose of the introduction chapter is to set the scene for your research (dare I say, to introduce it…) so that the reader understands what you’ll be researching and why it’s important. In other words, it covers the same ground as the research proposal in that it justifies your research topic.

What goes into the introduction chapter?

This can vary slightly between universities and degrees, but generally, the introduction chapter will include the following:

  • A brief background to the study, explaining the overall area of research
  • A problem statement , explaining what the problem is with the current state of research (in other words, where the knowledge gap exists)
  • Your research questions – in other words, the specific questions your study will seek to answer (based on the knowledge gap)
  • The significance of your study – in other words, why it’s important and how its findings will be useful in the world

As you can see, this all about explaining the “what” and the “why” of your research (as opposed to the “how”). So, your introduction chapter is basically the salesman of your study, “selling” your research to the first-time reader and (hopefully) getting them interested to read more.

The introduction chapter is where you set the scene for your research, detailing exactly what you’ll be researching and why it’s important.

Step 5: Undertake an in-depth literature review

As I mentioned earlier, you’ll need to do some initial review of the literature in Steps 2 and 3 to find your research gap and craft a convincing research proposal – but that’s just scratching the surface. Once you reach the literature review stage of your dissertation or thesis, you need to dig a lot deeper into the existing research and write up a comprehensive literature review chapter.

What’s the literature review all about?

There are two main stages in the literature review process:

Literature Review Step 1: Reading up

The first stage is for you to deep dive into the existing literature (journal articles, textbook chapters, industry reports, etc) to gain an in-depth understanding of the current state of research regarding your topic. While you don’t need to read every single article, you do need to ensure that you cover all literature that is related to your core research questions, and create a comprehensive catalogue of that literature , which you’ll use in the next step.

Reading and digesting all the relevant literature is a time consuming and intellectually demanding process. Many students underestimate just how much work goes into this step, so make sure that you allocate a good amount of time for this when planning out your research. Literature Review Step 2: Writing up

Once you’ve worked through the literature and digested it all, you’ll need to write up your literature review chapter. Many students make the mistake of thinking that the literature review chapter is simply a summary of what other researchers have said. While this is partly true, a literature review is much more than just a summary. To pull off a good literature review chapter, you’ll need to achieve at least 3 things:

  • You need to synthesise the existing research , not just summarise it. In other words, you need to show how different pieces of theory fit together, what’s agreed on by researchers, what’s not.
  • You need to highlight a research gap that your research is going to fill. In other words, you’ve got to outline the problem so that your research topic can provide a solution.
  • You need to use the existing research to inform your methodology and approach to your own research design. For example, you might use questions or Likert scales from previous studies in your your own survey design .

As you can see, a good literature review is more than just a summary of the published research. It’s the foundation on which your own research is built, so it deserves a lot of love and attention. Take the time to craft a comprehensive literature review with a suitable structure .

But, how do I actually write the literature review chapter, you ask? We cover that in detail in this video post .

Step 6: Carry out your own research

Once you’ve completed your literature review and have a sound understanding of the existing research, its time to develop your own research (finally!). You’ll design this research specifically so that you can find the answers to your unique research question.

There are two steps here – designing your research strategy and executing on it:

1 – Design your research strategy

The first step is to design your research strategy and craft a methodology chapter . I won’t get into the technicalities of the methodology chapter here, but in simple terms, this chapter is about explaining the “how” of your research. If you recall, the introduction and literature review chapters discussed the “what” and the “why”, so it makes sense that the next point to cover is the “how” –that’s what the methodology chapter is all about.

In this section, you’ll need to make firm decisions about your research design. This includes things like:

  • Your research philosophy (e.g. positivism or interpretivism )
  • Your overall methodology (e.g. qualitative , quantitative or mixed methods)
  • Your data collection strategy (e.g. interviews , focus groups, surveys)
  • Your data analysis strategy (e.g. content analysis , correlation analysis, regression)

If these words have got your head spinning, don’t worry! We’ll explain these in plain language in other posts. It’s not essential that you understand the intricacies of research design (yet!). The key takeaway here is that you’ll need to make decisions about how you’ll design your own research, and you’ll need to describe (and justify) your decisions in your methodology chapter.

2 – Execute: Collect and analyse your data

Once you’ve worked out your research design, you’ll put it into action and start collecting your data. This might mean undertaking interviews, hosting an online survey or any other data collection method. Data collection can take quite a bit of time (especially if you host in-person interviews), so be sure to factor sufficient time into your project plan for this. Oftentimes, things don’t go 100% to plan (for example, you don’t get as many survey responses as you hoped for), so bake a little extra time into your budget here.

Once you’ve collected your data, you’ll need to do some data preparation before you can sink your teeth into the analysis. For example:

  • If you carry out interviews or focus groups, you’ll need to transcribe your audio data to text (i.e. a Word document).
  • If you collect quantitative survey data, you’ll need to clean up your data and get it into the right format for whichever analysis software you use (for example, SPSS, R or STATA).

Once you’ve completed your data prep, you’ll undertake your analysis, using the techniques that you described in your methodology. Depending on what you find in your analysis, you might also do some additional forms of analysis that you hadn’t planned for. For example, you might see something in the data that raises new questions or that requires clarification with further analysis.

The type(s) of analysis that you’ll use depend entirely on the nature of your research and your research questions. For example:

  • If your research if exploratory in nature, you’ll often use qualitative analysis techniques .
  • If your research is confirmatory in nature, you’ll often use quantitative analysis techniques
  • If your research involves a mix of both, you might use a mixed methods approach

Again, if these words have got your head spinning, don’t worry! We’ll explain these concepts and techniques in other posts. The key takeaway is simply that there’s no “one size fits all” for research design and methodology – it all depends on your topic, your research questions and your data. So, don’t be surprised if your study colleagues take a completely different approach to yours.

The research philosophy is at the core of the methodology chapter

Step 7: Present your findings

Once you’ve completed your analysis, it’s time to present your findings (finally!). In a dissertation or thesis, you’ll typically present your findings in two chapters – the results chapter and the discussion chapter .

What’s the difference between the results chapter and the discussion chapter?

While these two chapters are similar, the results chapter generally just presents the processed data neatly and clearly without interpretation, while the discussion chapter explains the story the data are telling  – in other words, it provides your interpretation of the results.

For example, if you were researching the factors that influence consumer trust, you might have used a quantitative approach to identify the relationship between potential factors (e.g. perceived integrity and competence of the organisation) and consumer trust. In this case:

  • Your results chapter would just present the results of the statistical tests. For example, correlation results or differences between groups. In other words, the processed numbers.
  • Your discussion chapter would explain what the numbers mean in relation to your research question(s). For example, Factor 1 has a weak relationship with consumer trust, while Factor 2 has a strong relationship.

Depending on the university and degree, these two chapters (results and discussion) are sometimes merged into one , so be sure to check with your institution what their preference is. Regardless of the chapter structure, this section is about presenting the findings of your research in a clear, easy to understand fashion.

Importantly, your discussion here needs to link back to your research questions (which you outlined in the introduction or literature review chapter). In other words, it needs to answer the key questions you asked (or at least attempt to answer them).

For example, if we look at the sample research topic:

In this case, the discussion section would clearly outline which factors seem to have a noteworthy influence on organisational trust. By doing so, they are answering the overarching question and fulfilling the purpose of the research .

Your discussion here needs to link back to your research questions. It needs to answer the key questions you asked in your introduction.

Step 8: The Final Step Draw a conclusion and discuss the implications

Last but not least, you’ll need to wrap up your research with the conclusion chapter . In this chapter, you’ll bring your research full circle by highlighting the key findings of your study and explaining what the implications of these findings are.

What exactly are key findings? The key findings are those findings which directly relate to your original research questions and overall research objectives (which you discussed in your introduction chapter). The implications, on the other hand, explain what your findings mean for industry, or for research in your area.

Sticking with the consumer trust topic example, the conclusion might look something like this:

Key findings

This study set out to identify which factors influence consumer-based trust in British low-cost online equity brokerage firms. The results suggest that the following factors have a large impact on consumer trust:

While the following factors have a very limited impact on consumer trust:

Notably, within the 25-30 age groups, Factors E had a noticeably larger impact, which may be explained by…

Implications

The findings having noteworthy implications for British low-cost online equity brokers. Specifically:

The large impact of Factors X and Y implies that brokers need to consider….

The limited impact of Factor E implies that brokers need to…

As you can see, the conclusion chapter is basically explaining the “what” (what your study found) and the “so what?” (what the findings mean for the industry or research). This brings the study full circle and closes off the document.

In the final chapter, you’ll bring your research full circle by highlighting the key findings of your study and the implications thereof.

Let’s recap – how to write a dissertation or thesis

What is a Ph.D. Dissertation?

[I wrote this in 1993 as a letter to a student concerning a draft of his dissertation. In 2003 I edited it to remove some specific references to the student and present it as a small increment to the information available to my grad students. In 2023 I made small edits for grammar and to expand coverage.--spaf]

Let me start by reviewing some things that may seem obvious:

  • Your dissertation is part of the requirements for a PhD. The research, theory, experimentation, et al. also contribute. One does not attempt to capture everything in one's dissertation.
  • The dissertation is a technical work that documents and proves one's thesis. It is intended for a technical audience and must be clear and complete but not necessarily exhaustively comprehensive. Also note -- experimental data, if used, is not the proof -- it is evidence. The proof is presented as an analysis and critical presentation. Generally, every statement in your dissertation must be common knowledge, supported by citation to technical literature, or original results proved by the candidate (you). Each of those statements must directly relate to the proof of the thesis, or else they are unnecessary.

Let's revisit the idea of the thesis itself. It is a hypothesis, a conjecture, or a theorem. The dissertation is a formal, stylized document used to argue your thesis. The thesis must be significant, original (no one has yet demonstrated it to be true), and it must extend the state of scientific knowledge.

The first thing you need to do is to come up with no more than three sentences that express your thesis. Your committee must agree that your statements form a valid thesis statement. You, too, must be happy with the statement -- it should be what you will tell anyone if they ask you what your thesis is (few people will want to hear an hour's presentation as a response).

Once you have a thesis statement, you can begin developing the dissertation. The abstract, for instance, should be a one-page description of your thesis and how you present the proof of it. The abstract should summarize the results of the thesis and should stress the contributions to science made thereby.

Perhaps the best way to understand how an abstract should look would be to examine the abstracts of several dozen dissertations that have already been accepted. Our university library has a collection of them. This is a good approach to see how an entire dissertation is structured and presented. MIT Press has published the ACM doctoral dissertation award series for decades, so you may find some of those to be good examples to read -- they should be in any large technical library.

The dissertation itself should be structured into 4 to 6 chapters. The following is one commonly-used structure:

  • Introduction. Provide an introduction to the basic terminology, cite appropriate background work, and briefly discuss related work that has already covered aspects of the problem.
  • Abstract model. Discuss an abstract model of what you are trying to prove. This chapter should not discuss any specific implementation (see below)
  • Validation of model/proof of theorems. This is a chapter showing proof of the model. It could be a set of proofs or a discussion of the construction and validation of a model or simulation to gather supporting data.
  • Measurements/data. This would present data collected from actual use, simulations, or other sources. The presentation would include analysis to show support for the underlying thesis.
  • Additional results. In some work, there may be secondary confirmation studies, or it might be the case that additional significant results are collected along the way to the proof of the central thesis. These would be presented here.
  • Conclusions and future work. This is where the results are all tied together and presented. Limitations, restrictions, and special cases should be clearly stated here, along with the results. Some extensions as future work may also be described.

Let's look at these in a little more detail

Chapter I, Introduction. Here, you should clearly state the thesis and its importance. This is also where you define terms and other concepts used elsewhere. There is no need to write 80 pages of background on your topic here. Instead, you can cover almost everything by saying: "The terminology used in this work matches the definitions given in [citation, citation] unless noted otherwise." Then, cite some appropriate works that give the definitions you need. The progress of science is that we learn and use the work of others (with appropriate credit). Assume you have a technically literate readership familiar with (or able to find) standard references. Do not reference popular literature or WWW sites if you can help it (this is a matter of style more than anything else -- you want to cite articles in refereed conferences and journals, if possible, or in other theses).

Also, in the introduction, you want to survey any related work that attempted something similar to your own or has a significant supporting role in your research. This should refer only to published references. You cite the work in the references, not the researchers themselves. E.g., "The experiments described in [citation] explored the foo and bar conditions, but did not discuss the further problem of baz, the central point of this work." You should not make references such as this: "Curly, Moe, and Larry all believed the same in their research [CML53]" because you do not know what they believed or thought -- you only know what the paper states. Every factual statement you make must have a specific citation tied to it in this chapter, or else it must be common knowledge (don't rely on this too much).

Chapter II. Abstract Model. Your results are to be of lasting value. Thus, the model you develop and write about (and indeed, that you defend) should have lasting value. Thus, you should discuss a model not based on Windows, Linux, Ethernet, PCMIA, or any other technology. It should be generic and capture all the details necessary to overlay the model on likely environments. You should discuss the problems, parameters, requirements, necessary and sufficient conditions, and other factors here. Consider that 20 years ago (ca 1980), the common platform was a Vax computer running VMS or a PDP-11 running Unix version 6, yet well-crafted theses of the time are still valuable today. Will your dissertation be valuable 20+ years from now (ca 2050), or have you referred to technologies that will be of only historical interest?

This model is tough to construct but is the heart of the scientific part of your work. This is the lasting part of the contribution, and this is what someone might cite 50 years from now when we are all using MS Linux XXXXP on computers embedded in our wrists with subspace network links!

Chapters III & IV, Proof.There are basically three proof techniques that I have seen used in a computing dissertation, depending on the thesis topic. The first is analytic, where one takes the model or formulae and shows, using formal manipulations, that the model is sound and complete. A second proof method is stochastic, using statistical methods and measurements to show that something is true in the anticipated cases.

  • clearly showing how your implementation model matches the conditions of your abstract model,
  • describing all the variables and why you set them as you do,
  • accounting for confounding factors, and
  • showing the results.

Chapter V. Additional results. This may be folded into Chapter III in some theses or multiple chapters in a thesis with many parts (as in a theory-based thesis). This may be where you discuss the effects of technology change on your results. This is also a place where you may wish to point out significant results that you obtained while seeking to prove your central thesis but which are not supportive of the thesis. Often, such additional results are published in a separate paper.

Chapter VI. Conclusions and Future Work. This is where you discuss what you found from your work, incidental ideas and results that were not central to your thesis but of value nonetheless (if you did not have them in Chapter V), and other results. This chapter should summarize all the important results of the dissertation --- note that this is the only chapter many people will ever read, so it should convey all the important results.

This is also where you should outline some possible future work that can be done in the area. What are some open problems? What are some new problems? What are some significant variations open to future inquiry?

Appendices usually are present to hold mundane details that are not published elsewhere but are critical to the development of your dissertation. This includes tables of measurement results, configuration details of experimental testbeds, limited source code listings of critical routines or algorithms, etc. It is not appropriate to include lists of readings by topic, lists of commercial systems, or other material that does not directly support the proof of your thesis.

Here are some more general hints to keep in mind as you write/edit:

  • Adverbs should generally not be used -- instead, use something precise. For example, do not say that something "happens quickly." How fast is quickly? Is it relative to CPU speeds? Network speeds? Does it depend on connectivity, configuration, programming language, OS release, etc? What is the standard deviation?
  • As per the above, the use of the words "fast," "slow," "perfect," "soon," "ideal," "lots of," and related should all be avoided. So should "clearly," "obviously," "simple," "like," "few," "most," "large," et al.
  • What you are writing is scientific fact. Judgments of aesthetics, ethics, personal preference, and the like should be in the conclusions chapter, if they should be anywhere at all. With that in mind, avoid the use of words such as "good," "bad," "best," and any similar discussion. Also, avoid stating "In fact," "Actually," "In reality," and any similar construct -- everything you are writing must be factual, so there is no need to state such things. If you feel compelled to use one of these constructs, then carefully evaluate what you are saying to ensure you are not injecting relative terms, opinions, value judgments, or other items inappropriate for a dissertation.
  • Computers and networks do not have knees, so poor performance cannot bring them to something they do not have. They also don't have hands, so "On the one hand..." is not good usage. Programs don't perform conscious thought (nor do their underlying computers), so your system does not "think" that it has seen a particular type of traffic. Generalizing from this, do not anthropomorphize your IT components!
  • Avoid mention of time and environment. "Today's computers" are antiques far sooner than you think. Your thesis should still be true many years from now. If a particular time or interval is necessary, be explicit, as in "Between 1905 and 1920" rather than "Over the last 15 years." (See the difference, given some distance in time?)
  • Be sure that any scientist or mathematician would recognize something you claim as proof.
  • Focus on the results and not the methodology. The methodology should be clearly described but not the central topic of your discussion in chapters III & IV
  • Keep concepts and instances separate. An algorithm is not the same as a program that implements it. A protocol is not the same as the realization of it; a reference model is not the same as a working example, and so on.

As a rule of thumb, a CS dissertation should probably be longer than 100 pages but less than 160. Anything outside that range should be carefully examined with the above points in mind.

Keep in mind that you -- the Ph.D. candidate -- are expected to become the world's foremost expert on your topic area. That topic area should not be unduly broad but must be big enough to be meaningful. Your advisor and committee members are not supposed to know more about the topic than you do -- not individually, at least. Your dissertation is supposed to explain your findings and, along with the defense, demonstrate your mastery of the area in which you are now the leading expert. That does not mean writing everything you know -- it means writing enough about the most important points that others can agree with your conclusions.

Last of all, don't fall into the trap that ties up many candidates and causes some of them to flame out before completion: your thesis does not need to be revolutionary. It simply needs to be an incremental advancement in the field. Few Ph.D. dissertations have ever had a marked impact on the field. Instead, it is the author's set of publications and products of the author that may change the field.

If your dissertation is like most, it will only be read by your committee and some other Ph.D. candidates seeking to build on your work. As such, it does not need to be a masterwork of literature, nor does it need to solve a long-standing problem in computing. It merely needs to be correct, to be significant in the judgment of your committee, and it needs to be complete. We will all applaud when you change the world after graduation. And at that, you will find that many well-known scientists in CS have made their careers in areas different from their dissertation topic. The dissertation is proof that you can find and present original results; your career and life after graduation will demonstrate the other concerns you might have about making an impact.

How to write a Doctoral Thesis

PATIENT care and teaching are rather well established components of our medical career. However, with the passage of time a third component has started to influence our medical culture, namely research. 1 - 4 How to accept this challenge is a question. 5 Indeed, teaching and research form a dialectic unit, meaning that teaching without a research component is like a soup without salt. It is a well-established fact that the research activity of an institution is directly proportional to the number of qualified and committed PhD candidates. An inspiring infrastructure, laboratory facilities and libraries are pre-requisites for a research culture to grow. 6 - 8 This forms the basis of a generation cycle for an institution, so that research activity and its culture continues to grow from one generation to the next. The main objective of doctoral work in biomedical sciences is to develop a galaxy of scientist physicians and surgeons possessing high degree of humility, selflessness and ethical superiority. Such a programme will add a scholastic dimension to the clinical faculty.

Education in how to write a doctoral thesis or dissertation should be a part of the postgraduate curriculum, parallel to the laboratory work and Journal Club activities during the PhD studies and/or residency levels. 9 , 10 The overall structure of a doctoral thesis is internationally standardized. However, it varies in style and quality, depending upon how original the work is, and how much the author has understood the work. Therefore a thorough discussion with supervisor, colleagues and assistance from other authors through correspondence can be useful sources for consultation.

The choice of a topic for a doctoral thesis is a crucial step. It should be determined by scanning the literature whether the topic is original or similar work has already been done even a hundred years ago. It is the responsibility of both the supervisor and the PhD candidate to sort out this problem by continuous use of internet and a library. 11 The work leading to the PhD degree can originate from research in following spheres: 12

  • b) Methodology
  • c) Diagnostic
  • d) Therapeutic and Management
  • e) Epidemiology

The availability of internationally standardized methods, as well as research committed supervisors can enable physicians and surgeons to do PhD work in both basic and clinical health sciences. The importance of research in basic health sciences cannot be overemphasized. It is rather the base of the applied sciences. There are many instances where the elucidation of a mechanism involved in a process awaits the development of an adequate methodology. 13 In such a scenario; a new method is like a new eye. Research activity in the field of (a) and (b) illuminates the research directions for (c) (d) and (e). It is worth noting that sometimes important basic questions can come from (e) and stimulate research activity in the domain of basic health sciences. 14 , 15

Types of Doctoral Thesis

TYPE-I: Book Form: a classical style. The blueprint of this form is shown in Table-I .

Type-I: The Classical Book Form

INTRODUCTION:Literature review.
Identification of unresolved problem
Formulation of aims and objectives.
METHODOLOGY:Design.
Outcome variable.
Statistical analysis.
RESULTS:Figures and tables with appropriate legends.
Description, though not explanation of figures.
DISCUSSION:Criticism of methodology and design
Important observations.
Interpretation and reasoning of results.
Staging debate with the data of a literature table.
CONCLUSION:Based on the premises of outcome.
Claim of original research.
Implications for future research directions.
REFERENCES:Well analyzed.

TYPE-II: Cumulative Doctoral thesis: A modem but quite useful practice.

INTRODUCTION

A book containing the pearls of a PhD work has standardized divisions and formats, where the number of pages should be weighted in terms of content rather than container. The book includes summary, introduction, materials and methods, results, discussion, conclusions, references and acknowledgements.

Two exercises are mandatory before starting a PhD programme:

  • Literature survey using a regular library hours and internet surfing
  • Familiarization with the hands-on-experience of methodology involved in the work
  • The importance of a continuous literature survey using library, internet and direct correspondence with authors across the globe in the same field cannot be over-emphasized. The main goal of this exercise is to pinpoint the unresolved problem in the literature. An attempt to solve this problem now becomes the topic of the PhD thesis. All the relevant references should be collected, and carefully preserved in the form of a card system arranged alphabetically according to themes and authors. The introduction of the thesis should be styled like a review article with a critical analysis of the work of authors in the literature. The aims of the present PhD work can then also be addressed in the form of questions. The objectives would then deal with how to achieve the aims of the proposed study.

MATERIALS / SUBJECTS AND METHODS

Now comes the most crucial and functional part of the doctoral work, the materials/subjects and methods section. This part can be considered as the motor of the PhD work. The reliability, sensitivity and specificity of the motor must be checked before embarking on a long journey. Controlling the controls is the best guide for a precise and authentic work. Usually materials and methods contain components such as a description of the species involved, their number, age, weight and anthropometric parameters, types of surgical procedures and anesthesia if applied, and a detailed description of methodology. Continuous or point measurements should be thoroughly described. However, a dynamic method should always be preferred to static one.

The experimental protocol should be designed after a small pilot study, which is especially advisable in research on human subjects. A detailed and well-thought experimental protocol forms the basis of conditions under which the results would be obtained. Any deviation from the experimental protocol will affect the outcome, and the interpretation of results. It may be noted that great discoveries are usually accidental and without a protocol, based merely on careful observation! However, for the sake of a publication, a protocol has to be designed after the discovery. After having described the different phases of the experimental protocol with the help of a schematic diagram e.g., showing variables, time period and interventions, the selection of a statistical method should be discussed. Negative results should not be disregarded because they represent the boundary conditions of positive results. Sometimes the negative results are the real results.

It is usual practice that most PhD candidates start writing the methodological components first. This is followed by writing the results. The pre-requisites for writing results are that all figures, tables, schematic diagrams of methods and a working model should be ready. They should be designed in such a way that the information content of each figure should, when projected as a frame be visually clear to audience viewing it from a distance of about fifty feet. It is often observed that the presenters themselves have difficulty in deciphering a frame of the Power-Point being projected in a conference.

The results of a doctoral thesis should be treated like a bride. The flow of writing results becomes easier if all figures and tables are well prepared. This promotes the train of thoughts required to analyze the data in a quantitative fashion. The golden rule of writing results of a thesis is to describe what the figure shows. No explanation is required. One should avoid writing anything which is not there in a figure. Before writing one should observe each diagram for some time and make a list of observations in the form of key words. The more one has understood the information content of a figure; the better will be the fluency of writing. The interruption of the flow in writing most often indicates that an author has not understood the results. Discussion with colleagues or reference to the literature is the only remedy, and it functions sometimes like a caesarean procedure.

Statistical methods are good devices to test the degree of authenticity and precision of results if appropriately applied. The application of statistical technique in human studies poses difficulties because of large standard deviations. Outliers must be discussed, if they are excluded for the sake of statistical significance. Large standard deviations can be minimized by increasing the number of observations. If a regression analysis is not weighted, it gives faulty information. The correlation coefficient value can change from 0.7 to 0.4 if the regression analysis is weighted using Fisher’s test. The dissection of effect from artifact should be analysed in such a way that the signal to noise ratio of a parameter should be considered. A competent statistician should always be consulted in order to avoid the danger of distortion of results.

The legend of a figure should be well written. It contains a title, a brief description of variables and interventions, the main effect and a concluding remark conveying the original message. The writing of PhD work is further eased by a well maintained collection of data in the form of log book, original recordings, analyzed references with summaries and compiling the virgin data of the study on master plan sheet to understand the original signals before submitting to the procedures of statistics. The original data belong to the laboratory of an institution where it came into being and should be preserved for 5-7 years in the archive for the sake of brevity.

This is the liveliest part of a thesis. Its main goal is to defend the work by staging a constructive debate with the literature. The golden rule of this written debate should be that a rigid explanation looks backward and a design looks forward. The object is to derive a model out of a jig-saw puzzle of information. It should be designed in such a way that the results of the present study and those of authors from the literature can be better discussed and interpreted. Agreement and disagreement can be better resolved if one considers under what experimental conditions the results were obtained by the various authors. It means that the boundary conditions for each result should be carefully analyzed and compared.

The discussion can be divided into the following parts:

  • criticism of material/subjects and methods
  • a list of important observations of the present study
  • interpretation and comparison of results of other authors using a literature table
  • design of a model
  • claim of an original research work
  • The criticism of the methodological procedure enables a candidate to demonstrate how precisely the research work has been carried out. The interpretation of results depends critically on the strict experimental protocol and methods. For example, an epidemiological work is a study of a population. However, if the population sampling is done regularly at a specific location; the question arises as to how a result derived from a localized place can be applied to the whole population.
  • After having discussed at length the strong and weak points of material/subjects and methods, one should list in a telegraphic design the most important observations of the present study. This may form a good agenda to initiate interpretation, argument, reasoning and comparison with results of other authors. The outcome of this constructive debate should permit the design of a working model in the form of a block diagram. All statements should be very carefully referenced. The ratio of agreement and disagreement should indicate the ability of the author to reconcile conflicting data in an objective and quantitative way. Attempts should be made to design a solution out of the given quantum of information. It is also well known that most of the processes of human physiology can only be understood if their time course is known. The dynamic aspect of interpretation of results is therefore more powerful and superior to the static one. 16 Therefore a continuous record of variables should be preferred and sought to reveal the secrets hidden in the kinetics.
  • Finally, the discussion should conclude how far the study was successful in answering the questions being posed at the end of the introduction part. Usually a doctoral thesis raises more questions than it answers. In this way research does not come to a standstill and does become a life time engagement for a committed scientist. Also it is important to note that all scientific theses should be quantifiable and falsifiable, otherwise they lose the spirit and fragrance of a scientific research.
  • The author’s claim of original work is finally decided by the critical review of his research work by the literature and the number of times being cited. It can be easily read by a high rate of a citation index of a publication and invitation. When a methodological research clicks, one becomes a star overnight.

Type-II: CUMULATIVE DOCTORAL THESES

Another way of writing a doctoral work is a cumulative type of thesis. 11 It consists of a few original publications in refereed journals of repute. It is supplemented by a concise summary about the research work. This type of thesis is usually practiced in Sweden, Germany and other countries. It has the advantage of being doubly refereed by the journals and the faculty of health sciences. Additionally, papers are published during a doctoral work. A declaration has to be given to the faculty of science about the sharing of research work in publications, provided there are co-authors. The weightage should be in favour of the PhD candidate, so that the thesis can ethically be better defended before the team of august research faculty.

What is a dissertation?

A dissertation is a written document that summarizes research.

It is the final step of a PhD program, and the culmination of a student’s doctoral studies.

“The dissertation is a source of pride for doctoral students,” Dinah Manns, PhD, faculty chair at Capella University, says. “The dissertation is often a compilation of academic and practical knowledge, and in many cases, it can be the student’s first publication.”

Here, Manns explains the content and format of this important piece of scholarship.

From student to scholar

The major objective of any doctoral program is to assist a student in becoming an independent researcher, and a dissertation is a large part of that. “Not all doctoral programs require a dissertation, but all PhD programs do,” Manns notes. “Dissertation work varies by program.”

Initial coursework helps narrow down the research topic and develop it into something that will add to the body of knowledge in the chosen field. Sometimes the research contributes something entirely new to the field, and other times it expands or deepens previous studies.

By the time the doctoral coursework is finished, the topic should be selected and ready for formal research. At this point the student develops a proposal, which encompasses the research plan and methodology as it pertains to the selected topic.

At Capella, once the proposal has been approved by the student’s mentor, committee, and the Institutional Review Board (IRB), the research and analysis begin. The dissertation is largely an independent project that essentially turns the student into a scholar; they’ll dive more deeply into research and writing then they have done before.

“Capella PhD candidates will be prepared for this step through their coursework and residency,” says Manns, noting that they will have learned how to approach this critical phase as part of their pre-dissertation learning.

Format of the dissertation

The dissertation is a much deeper exploration of a research topic than a traditional essay would be. It’s in the form of a book, with at least five chapters (some universities require a sixth chapter in the form of a recap of the previous chapters). Manns outlines the chapters this way:

  • Overview. This is a brief look at the research question, containing a preview of the subsequent chapters.
  • Literature review. The literature review is an extensive critique and synthesis of the current literature in the field.
  • Methodology. This section contains details of the procedures and methods used to collect and analyze data.
  • Analysis. The PhD candidate details how the data analysis applies to the collected data.
  • Findings. This section provides interpretation of the data and comparison to existing literature, as well as future research possibilities.

The order of the chapters follows a logical progression in which PhD candidates build on their theories and explain research choices in detail before coming to the final chapter that gives weight to the value of the study itself.

Manns recommends that pre-dissertation students review completed dissertations in the field and research various types of methodology and design in the field as well. “That will help give them a feel for the depth of research and discussion, and see how the chapters work together,” Manns explains. “And remember—someday, it may be your dissertation being read!”

A key characteristic looked after by postgraduate or doctoral students is how they communicate and defend their knowledge. Many candidates believe that there is insufficient instruction on constructing strong arguments. The thesis writing procedure must be meticulously followed to achieve outstanding results. It should be well organized, simple to read, and provide detailed explanations of the core research concepts. Each section in a thesis should be carefully written to make sure that it transitions logically from one to the next in a smooth way and is free of any unclear, cluttered, or redundant elements that make it difficult for the reader to understand what is being tried to convey. In this regard, students must acquire the information and skills to successfully create a strong and effective thesis. How important is Master thesis when applying for a Ph.D.?

I am willing to apply for a Ph.D next year and by September I am planning to graduate from a M.Sc. in Economics. I am trying to choose my mentor for my final thesis but I was wondering which is the impact of a Master thesis on a Ph.D. application.

I know there are many thing that will be taken into account when analyzing an application but I thought a good thesis in the field for which one is applying could be a nice introduction as well as the name of the professor (the more "famous", the better) chosen as tutor.

Are my considerations right or wrong?

  • 3 Are you in the US? Europe? Somewhere else? The status/importance of a masters when applying for a Ph.D can be very different, especially in the US. Edit: that said, if all your advisor options are equally good at advising, a more famous name couldn't possibly hurt your application. It could only help. –  NMJD Commented Dec 23, 2016 at 16:07

  • 1 I'm the US. My understanding of Europe is that a masters is generally required for entry into a (3ish-year) PhD program, and is thus considered more seriously. In the US, (in STEM) domestic students typically do not get a masters before applying to a (5-ish year) PhD program. International students applying to US programs still tend to, because of the structures abroad. In the US, I think it would be considered, but not as carefully as in europe. –  NMJD Commented Dec 24, 2016 at 15:59

Sometimes choosing a famous name backfires. If it's a hot shot with tons of students, he will distinguish among his students, when writing his letters, by giving strong letters to the strongest among his flock, and mediocre letters to the less spectacular. Such a mediocre letter from a big name can be quite damaging to an application.

Even aside from that -- choose the person who fits best:

you are interested in their work

you admire the person ethically

they bring out the best in you

their management style suits you

  • 2 This all depends on the person. In my field, the likelihood of a famous person being a jerk is high... if all things considered, you have two advisors who both suit your work equally well, and who (as far as you can tell) are equally good advisors, that is the only case in which I'd recommend going for the more famous advisor. Talk to their current students to find out how good they are at advising and if their management style suits you. When I began working on my Master's Thesis in an engineering field (in the United States) I asked my advisor a similar question, namely: "Should I perform a problem report or a thesis?". My advisor, who is a well established and active professor, told me it depended on if I ever thought I would do a PhD.

He said that a Master's Thesis and the associated research were essentially training to learn how to research and document effectively and efficiently. Therefore, a well researched and written thesis is very important for admission into a Doctoral program - because research is what a Doctoral program requires!

Of course, as stated in another answer, having a well-known advisor could be a double-edged sword in its own right.

Ramrod is right. If you are planning on doing a PhD, you should demonstrate that you are a strong researcher. That's why MRes programmes are gaining some traction. If you are planning on going straight into industry, do something that is relevant to the sector.

As an example, I originally planned on working in Arts Management so I did a practical thesis on good practice for Virtual Museums. Later, when I decided to go into Academia, I realised that I would have done better doing a data-led masters programme. However, I was fortunate and it didn't matter, though my experience counted for a lot by then.

Here, we show you how to write a PhD proposal that will stand out from the hundreds of others that are submitted each day.

Before we do though,  know one thing :

The research you describe when you write your PhD proposal won’t look anything like the research you finally write up in your PhD thesis.

Wait,  what ?

That’s not a typo.  Everyone’s research changes over time.  If you knew everything when you were writing up your proposal there wouldn’t be any point doing the PhD at all.

So,  what’s the point of the proposal?

Your proposal is  a guide, not a contract . It is a plan for your research that is necessarily flexible. That’s why it changes over time.

This means that the proposal is less about the robustness of your proposed research design and more about showing that you have

1. Critical thinking skills

2. An adequate grasp of the existing literature and know how your research will contribute to it

3. Clear direction and objectives. You get this by formulating clear research questions

4. Appropriate methods. This shows that you can link your understanding of the literature, research design and theory

5. An understanding of what’s required in a PhD

6. Designed a project that is feasible

What is a PhD proposal? 

Your PhD proposal is submitted as part of your application to a PhD program. It is a standard means of assessing your potential as a doctoral researcher.

When stripped down to its basic components, it does two things:

Explains the ‘what’-  t hese are the questions you will address and the outcomes you expect

Explains the ‘why’-  t his is the case for your research, with a focus on why the research is significant and what the contributions will be. 

It is used by potential supervisors and department admission tutors to assess the quality and originality of your research ideas, how good you are at critical thinking and how feasible your proposed study is.

This means that it needs to showcase your expertise and your knowledge of the existing field and how your research contributes to it. You use it to   make a persuasive case   that your research is interesting and significant enough to warrant the university’s investment.

Above all though, it is about   showcasing your passion for your discipline . A PhD is a hard, long journey. The admissions tutor want to know that you have both the skills and the resilience required.

What needs to be included in a PhD proposal?

Exactly what needs to be included when you write your PhD proposal will vary from university to university. How long your proposal needs to be may also be specified by your university, but if it isn’t, aim for three thousand words.

Check the requirements for each university you are applying for carefully.

Having said that, almost all proposals will need to have four distinct sections.

1. Introduction

2. the research context.

3. The approach you take

4. Conclusion

In the first few paragraphs of your proposal, you need to   clearly and concisely state your research questions, the gap in the literature your study will address, the significance of your research and the contribution   that the study makes.

Be as clear and concise as you can be.   Make the reader’s job as easy as possible   by clearly stating what the proposed research will investigate, what the contribution is and why the study is worthwhile.

This isn’t the place for lots of explanatory detail. You don’t need to justify particular design decisions in the introduction, just state what they are. The justification comes later.

In this section, you   discuss the existing literature and the gaps that exist within it.

The goal here is to show that you understand the existing literature in your field, what the gaps are and how your proposed study will address them. We’ve written a guide that will help you to   conduct and write a literature review .

Chances are, you won’t have conducted a complete literature review, so the emphasis here should be on the more important and well-known research in your field. Don’t worry that you haven’t read everything. Your admissions officer won’t have expected you to.  Instead, they want to see that you know the following:

1. What are the most important authors, findings, concepts, schools, debates and hypotheses?

2. What gaps exist in the literature?

3. How does your thesis fill these gaps?

Once you have laid out the context, you will be in a position to  make  your thesis statement . A thesis statement is a sentence that summarises your argument to the reader. It is the ‘point’ you will want to make with your proposed research.

Remember, the emphasis in the PhD proposal is on   what you   intend   to do,   not on results. You won’t have results until you finish your study. That means that your thesis statement will be speculative, rather than a statement of fact.

3. The approach you will take

This is the section in which you discuss the overall research design and is the most important component of the proposal. The emphasis here is on five things.

1. The overall approach taken (is it purely theoretical, or does it involve primary or empirical research? Maybe it’s both theoretical and empirical?)

2. The theoretical perspective you will use when you design and conduct your research

3. Why you have chosen this approach over others and what implications this choice has for your methods and the robustness of the study

4. Your specific aims and objectives

5. Your research methodology

In the previous section you outlined the context. In this section you explain   the specific detail   of what your research will look like.

You take the brief research design statements you made in the introduction and go into much more detail. You need to be relating your design decisions back to the literature and context discussion in the previous section.

The emphasis here is on   showing that there is a logical flow.   There’s no point highlighting a gap in the literature and then designing a study that doesn’t fill it.

Some of the detail here will only become clear once you have started the actual research. That’s fine. The emphasis in your proposal should be on showing that you understand what goes into a PhD.

So,   keep it general.

For example, when talking about your methodology, keep things deliberately broad and focus on the overarching strategy. For example, if you are using interviews, you don’t need to list every single proposed interview question. Instead, you can talk about the rough themes you will discuss (which will relate to your literature review and thesis/project statement). Similarly, unless your research is specifically focusing on particular individuals, you don’t need to list exactly who you will interview. Instead, just state the types of people you will interview (for example: local politicians, or athletes, or academics in the UK, and so on).

4. Concluding paragraphs

There are a number of key elements to a proposal that you will need to put in the final paragraphs.

These include:

1. A discussion on the limitations of the study

2. A reiteration of your contribution

3. A proposed chapter structure (this can be an appendix)

4. Proposed month-by-month timetable (this can also be an appendix). The purpose of this timetable is to show that you understand every stage required and how long each stage takes relative to others.

Tips to turn an average proposal into one that will be accepted

1. be critical.

When you are making your design decisions in section three, you need to do so critically.   Critical thinking   is a key requirement of entry onto a PhD programme. In brief, it means not taking things at face value and questioning what you read or do. You can   read our guide to being critical   for help (it focuses on the literature review, but the take home points are the same). 

2. Don’t go into too much detail too soon in your proposal

This is something that many people get wrong. You need to   ease the reader in   gradually .   Present a brief, clear statement in the introduction and then gradually introduce more information as the pages roll on.

You will see that the outline we have suggested above follows an inverted pyramid shape.

1. In section one, you present the headlines in the introductory paragraphs. These are the research questions, aims, objectives, contribution and problem statement. State these without context or explanation.

2. When discussing the research context in section two, you provide a little more background. The goal here is to introduce the reader to the literature and highlight the gaps.

3. When describing the approach you will take, you present more detailed information. The goal here is to talk in very precise terms about how your research will address these gaps, the implications of these choices and your expected findings.

3. Be realistic

Don’t pretend you know more than you do and   don’t try to reinvent your discipline .

A good proposal is one that is very focused and that describes research that is very feasible. If you try to design a study to revolutionise your field, you will not be accepted because doing so shows that you don’t understand what is feasible in the context of a PhD and you haven’t understood the literature.

4. Use clear, concise sentences

Describe your research as clearly as possible   in the opening couple of paragraphs. Then write in short, clear sentences. Avoid using complex sentences where possible. If you need to introduce technical terminology, clearly define things. 

In other words,   make the reader’s job as easy as possible.

5. Get it proofread by someone else

Simple: you are the worst person to proofread your own work.

6. Work with your proposed supervisor, if you’re allowed

A lot of students fail to do this. Your supervisor isn’t your enemy. You can work with them to refine your proposal. Don’t be afraid to reach out for comments and suggestions. Be careful though. Don’t expect them to come up with topics or questions for you. Their input should be focused on refining your ideas, not helping you come up with them. 

7. Tailor your proposal to each department and institution you are applying to

Admissions tutors can spot when you have submitted a one-size-fits-all proposal. Try and tailor it to the individual department. You can do this by talking about how you will contribute to the department and why you have chosen to apply there.

General Requirements for Master's and Doctoral Theses

The following are general requirements for McGill theses. Academic Units* are encouraged to provide additional written guidance to students outlining expectations of the particular discipline.

Once a thesis is submitted it exists in the public domain unless the candidate and the thesis supervisor request to temporarily withhold a thesis from circulation. Graduate students have the right to use the data they have generated for their thesis. In the event of a of a conflict, the student and thesis supervisor can make a request to Graduate and Postdoctoral Studies to temporarily withhold the thesis from circulation (up to one year). This request is made via myThesis at the time of final thesis submission, on the platform. A thesis must be written in English or French, except for those submitted by students in language Units*. McGill University requires that all theses conform to the McGill University specifications for Master’s and Doctoral theses.

Master’s Theses

  • A thesis for the Master's degree must show familiarity with previous work in the field and must demonstrate the ability to carry out research, organize results, and defend the approach and conclusions in a scholarly manner according to disciplinary norms.
  • An exhaustive review of work in the particular field of study is not necessarily required. Expectation for the level of original scholarship at the Master’s level varies with the discipline.
  • The thesis must be written in compliance with norms for academic and scholarly expression and for publication in the public domain (see section: withholding a thesis from circulation temporarily ).

Doctoral Theses

  • A thesis for the Doctoral degree must constitute original scholarship and must be a distinct contribution to knowledge.
  • It must show familiarity with previous work in the field and must demonstrate ability to plan and carry out research, organize results, and defend the approach and conclusions in a scholarly manner.
  • The research presented must meet current standards of the discipline; as well, the thesis must clearly demonstrate how the research advances knowledge in the field.
  • Finally, the thesis must be written in compliance with norms for academic and scholarly expression and for publication in the public domain (see section: withholding a thesis from circulation temporarily ).

The nature of academic research requires adherence to McGill’s policies on research ethics and intellectual property, as described below.

Research Ethics

Research involving human participants, animal subjects, micro-organisms, living cells, other biohazards, and/or radioactive materials must have had the appropriate compliance certification. Copies of any certificates of compliance must be retained by the supervisor and student in accordance with McGill’s policies on research ethics. Supervisors indicate on the Nomination of Examiners and Thesis Submission Form that the thesis research has complied with all ethical standards. Intellectual Property

Any issues regarding intellectual property deriving from the research, leading up to the thesis, or in the completed thesis itself should conform to McGill’s  Policy on Inventions and Software . In addition:

  • Students, supervisors, and any other collaborators must have written intellectual property agreements regarding thesis research.
  • These agreements must be consistent with the requirements of thesis examination and availability in the public domain.
  • Students must be aware of any limitations or approvals required for publication of the research, including the examination and publication of a thesis.

Please Note: When previously published copyrighted material is presented in a thesis, the student must obtain signed permissions/waivers from the publisher(s). Permission must also be obtained from co-authors of manuscripts submitted or in preparation for inclusion in the thesis; an email to that effect should suffice. 

*Unit  refers to a department, a division, a school, an institute, or a Faculty/University-wide program.

Classics and Philosophy Combined Ph.D. Program

The Classics and Philosophy Program is a combined Ph.D. program, offered by the departments of Philosophy and of Classics at Yale, for students wishing to pursue graduate study in ancient Greek and Roman philosophy. Suitably qualified students may apply for entry to the program either through the Philosophy Department for the Philosophy Track, details of which are given below, or through the Classics Department for the Classics Track.

Applicants for the Philosophy track of the combined program must satisfy the general requirements for admission to the Philosophy graduate program, in addition to the requirements of the Philosophy track of the combined program. Applicants for the Classics track of the combined program must satisfy the general requirements for admission to the Classics graduate program, in addition to the requirements of the Classics track of the combined program. Applicants to the combined program are strongly encouraged to submit a writing sample on a topic in ancient philosophy. Applicants interested in the combined program should indicate this at the time of application; admission to the program cannot normally be considered after an offer of admission is made.

The program is overseen by an interdepartmental committee consisting of professors Tim Clarke, Verity Harte, and Brad Inwood, as well as the Director of Graduate Studies for Classics and the Director of Graduate Studies for Philosophy.

Requirements of the Philosophy Track of the Classics and Philosophy Program

Entry language requirements.

It is recommended that applicants to the program possess a basic knowledge of Greek, up to the level of being able comfortably to read Plato’s Socratic dialogues and/or comparable abilities in Latin. While this level of proficiency is recommended, the minimum requirement for entry to the Philosophy Track is intermediate proficiency in at least one of Greek and Latin (where such proficiency standards could be met by attendance at an  intensive  summer school, such as the CUNY course, in which the course covers the ground typically covered by both a beginners and an intermediate course, in the summer prior to entry). Students who satisfy only the minimal level requirement in Greek and Latin must, in addition, have demonstrable proficiency in one of the Modern Languages: French, German or Italian. Such students should make clear in their applications their current level of language attainment and their plans to meet the minimum language requirement. On completion of the program, graduates will have proficiency in Greek and Latin and a reading knowledge of two of the following languages; French, German, or Italian. These will be established and assisted by diagnostic tests as follows:

Greek and Latin Proficiency Tests in Greek and/or Latin

Diagnostic sight translations in Greek and Latin will be given to assess the student’s progress in the Classical languages and to assist with placement into classes. These exams are offered at the beginning of the first and third semesters of registration. Diagnostics must be taken in at least one of Greek and Latin at the beginning of the first semester and repeated in the third. Diagnostics in the second language must be taken no later than the third semester. Depending on the student’s progress, additional diagnostic testing may be required in consultation with the program committee.

Modern Languages

  • Departmental language exam in German, French, or Italian by the beginning of the second year (early September). Native speakers are excused. Students have up to two attempts to pass. 
  • Departmental language exam in a second language of German, French, or Italian by the beginning of the third year (early September). Native speakers are excused. Students have up to two attempts to pass.
  • Students with sufficient language proficiency may take the tests in two languages in the first year.

First-year seminar in Philosophy

  • The First Year Seminar, Philosophy 705, must be taken by all students in their first year.  This course counts towards the 5 courses to be taken in Philosophy but does not count toward any of the distribution groups.
  • At least 4 should be in ancient philosophy, including at least two involving original language work.
  • Of 5 in Philosophy, one should be in history of philosophy other than ancient philosophy, at least one should be in Metaphysics, Epistemology, Philosophy of Mind and/or Philosophy of Language, and at least one should be in ethics and value theory. Students must satisfy the Logic requirement as per the general Philosophy PhD program.
  • In recognition of previous graduate-level work done at Yale or elsewhere, the Program Committee in consultation with the two Directors of Graduate Studies may recommend waiving a maximum of three courses of the requirement (including logic), not more than two of which may be counted against Philosophy graduate courses and not more than one of which may be counted against Classics graduate courses at Yale. Graduate students must take at least one class in two of the three categories listed in the Yale Philosophy department, not counting classes in ancient philosophy. Credit for course work done elsewhere does not reduce the tuition or residency requirement of the Graduate School. Whether a waiver is granted is ultimately be decided by the Graduate School.

Qualifying Exams and Papers

  • Translation examinations in Greek and Latin, based on the  Philosophy Track Reading List , by the beginning of the 6th term in residence.
  • An oral examination in Greek and Latin based on the Philosophy Track Reading List, by the end of the 6th term in residence.
  • Two qualifying papers, one of which must be in ancient philosophy and one of which must be on a philosophical topic other than ancient philosophy, by the end of the 5th term in residence.

Dissertation Prospectus

A Dissertation Prospectus must be complete by the end of the 7th term in residence.

Philosophy Department work-in-progress seminar

The Philosophy Department has a work-in-progress seminar once or twice a year where students present their work-in-progress (qualifying papers, chapters of the thesis, or other publications) and discuss other students’ work.  We strongly encourage those who are advanced to candidacy to take this seminar.

Dissertation

Timing Candidates should expect to complete their dissertations within 6 years of entering the program.

Adviser Registered doctoral candidates must have a principal adviser with an appointment on the Graduate School faculty. The Graduate School requires that each dissertation be read by at least three people but not more than five, at least two of whom hold faculty appointments in the Graduate School. All readers must hold the Ph.D. degree as well as a faculty position or be considered otherwise qualified to evaluate the dissertation

Length It is recommended that the dissertation not exceed 75,000 words.

Joint work Dissertations that rely on joint work must include in their Preface a detailed description of which parts of the thesis are the result of joint work and what the candidate’s contribution was to the joint work. The primary advisor must verify the description in a message sent to all readers of the dissertation. We leave it to the readers to factor this information into their judgment about the merit of the dissertation.

No dissertation should be submitted to the Graduate School until a PDF copy has been seen by the dissertation committee. An oral defense of the thesis is required.

What you need to know to apply

If you are intellectually curious and like to be challenged by new ideas and experiences, consider a Kellogg PhD. Our students shift from being consumers of knowledge to being producers of new knowledge. Through their publications and teaching, Kellogg graduates contribute to business practice and society.

Preparing to apply

Each year, Kellogg receives over 850 applications to its eight PhD programs. On average 25 students enroll each fall.

PhD study requires strong quantitative skills to develop theories and manage and analyze data. This program is especially well suited to those who have previously studied social sciences (such as economics, political science, psychology and sociology), mathematics, natural sciences or engineering.

To be eligible for admission, you must hold a U.S bachelor’s degree — or a comparable non-U.S. degree — from a regionally accredited institution. You may be considered for admission before you finish your undergraduate degree, but you must complete that degree before you enroll at Kellogg. A three-year bachelor’s degree is also accepted.

Application review

During the admissions process, we will evaluate your application file and how your research interests align with the research expertise of our faculty. Also included in our review is the strength of your recommendation letters, academic record, and performance on standardized tests. Your application will help us understand if you are ready to seize all the opportunities that come with joining Kellogg.

Master’s degree holders

A master’s degree is not required for enrollment in our PhD programs. For applicants with a master’s degree, note that the coursework taken in a master’s program will not shorten your time to degree. No transfer credit is provided with a master’s and students must satisfy their PhD coursework requirements in full while studying at Kellogg.

Opportunities for collaborative research across programs and schools at Northwestern University are always available; interdisciplinary research is our strength. However, Northwestern permits applicants to apply to one PhD program a year .

There is an exception through the dual application option with the Economics PhD Program, which is outlined below.

Academic experience

The Kellogg PhD Program offers eight distinct areas of focus, each with varying types of experience that are needed for success.

Economics-based PhD programs

  • These include Accounting Information & Management, Finance, Financial Economics, Managerial Economics & Strategy, Operations Management, and Marketing (quantitative area)
  • Evidence of solid training in math, econometrics and statistics within the application
  • Recommended math courses include calculus, linear algebra, probability and mathematical statistics

Behavioral/Sociological-based PhD programs

  • These programs include Marketing, Management & Organizations, and a joint program between Management & Organizations & Sociology
  • Evidence of statistics for social scientists and quantitative thinking, as well as a strong understanding of central concepts of probability and statistics
  • Background in social psychology and sociology

Dual application with Weinberg Economics

Applicants seeking to enroll in an economics-based doctoral program have the option to submit a second application for review to the Economics PhD Program. Your resume or CV should summarize all of your qualifications, honors, educational accomplishments, and if applicable, current research papers.

Please list all schools where you were registered for courses at the college level, including community colleges, study abroad institutions and current registrations whether or not in a degree program.

Provide one transcript from each college/university you have attended that documents each course taken beyond high-school level, whether or not within a degree program. Certification of degrees received, including the date the degree was awarded, should be noted on the transcript and/or diploma. Please note:

Standardized tests

All applicants are required to submit either the GRE or the GMAT regardless of previous experience and/or advanced degrees. We take a holistic approach to the application-review process, meaning there is no minimum score required for eligibility. Test scores are reviewed within the context of the entire application.

Unofficial test score reports are used during the application review process; however, official GRE and GMAT test scores are required if admission is recommended.

  • MET:  We accept Michigan English Test scores of 70 or higher
  • Earning an undergraduate or graduate degree from an accredited institution where the language of instruction is English. Please note, Kellogg provides the waiver after an application is submitted and transcripts have been reviewed. No additional documentation is required. Applicants will see the waiver noted within their online account
  • Automatically Waived:  Applicants that are citizens from the following countries where English is the native language will have the requirement automatically waived upon submission of the application (Australia, Barbados, Bermuda, Great Britain, Gibraltar, Israel, Jamaica, New Zealand, Puerto Rico, Virgin Islands)

Write a statement that addresses the following prompt (500 words max):

Your answer may draw upon past or present experiences, whether in academic work, extracurricular or community activities, or everyday life.

While a paper is not required for admission to Kellogg’s PhD programs, the Sociology Department does require one, where the applicant is the sole-author, for consideration to the joint program in Management & Organizations and Sociology.

We do not require a writing sample to be submitted with the application; however, you may include one writing sample (30-page maximum) with your application. Hyperlink this paper and any other papers you have on your resume. *Please note: Only one writing sample will be reviewed. Do not upload more than one paper.

We require three letters. Additionally, we ask all recommenders to include Northwestern University’s Graduate Applicant Assessment Form found within the application. Recommendation letters from professors or instructors could include:

  • A description of the nature of your relationship. Did you take one or more classes with the professor?
  • A description of a research project or honors thesis, discussing the quality of the work, technical and writing skills, research methods used, data analysis, originality, depth of research undertaken, questions/problems raised, contribution to the field, etc.
  • The letter should also provide a ranking — how you compared to other students

Recommendation letters from employers and business associates could include:

  • Insights into your aptitude, character and working style — ability to work on your own, self-starter, complete a project on time, etc.
  • Any research or data analysis you have done within the scope of your work

All letters must be submitted online through our web-based application, CollegeNET . Directions for uploading letters and accessing the Graduate Applicant Assessment Form will be sent to recommenders once the applicant has entered the contact information within the application. We are not able to accept recommendation letters by email.

A $95 non-refundable fee must be paid by credit or debit card within the online application. For those participating in the dual application option with the Economics PhD Program, the application fee is $175. The Graduate School (TGS) at Northwestern University administers the fee waiver program. Ph.D. in Urban and Regional Planning Degree Information

The doctoral curriculum integrates analytical methods, research design, a rigorous understanding of urbanization dynamics, and an examination of broader social theories, processes and policies.

Students address complex systems that typically encompass an array of spatial, environmental, social, political, technical, and economic factors. The emphasis is on theory, analysis, and action.

Each student is also expected to demonstrate an understanding of the literature, theory, and research in a specialization area within the larger discipline of urban and regional planning.

Required Courses

Four courses are required of all Ph.D. students: two doctoral-level planning theory courses and a two-course research seminar sequence.

Students meet these requirements through coursework and exams over a two-year period. During this time, a student’s cumulative grade point average may not fall below a B without academic discipline or probation.

Analytic Methods Courses

Students are expected to be skilled in statistics, in at least two analytic research techniques, and reasonably knowledgeable about several others. Students qualify in analytic techniques by completing the following:

Satisfactory performance (B or higher) in two cumulative graduate-level statistics courses.

Students entering with previous statistics experience may wish to enter directly into a second semester statistics course. In the past, students have typically selected one of the following sequences:

  • Statistics 402 (Introduction to Statistics & Data Analysis), Statistics 403 (Statistics & Data Analysis II)
  • Sociology 510 (Statistics); Sociology 610 (Statistical Methods)
  • Natural Resources 438 (Natural Resources Biometrics), Natural Resources 538 (Natural Resources Data Analysis)
  • Biostatistics 503 (Introductory Biostatistics), Biostatistics 523 (Biostatistical Analysis for Health-Related Fields)
  • The sequence in political science

NOTE:  Students wishing to study statistics during the spring or summer terms may want to investigate the Summer Program in Quantitative Methods of Social Research sponsored by the Inter-university Consortium for Political and Social Research (ICPSR) and/or the Summer Institute in Survey Research Techniques conducted by the research staff of the Survey Research Center, Institute for Social Research. Choice of courses to meet requirements should be discussed with your advisor.

Competence in at least two analytic/research methods satisfied through six credit hours of total coursework.

These are methods used in planning research and should prepare the student for their likely area of dissertation work. The requirement is met through completion of nine credits of course work in two analytic/research methods (in addition to statistics), to be defined by the student in conjunction with his or her advisor. (The two methods may be interrelated.) Depending on the research method and the student’s background, more courses may be needed. Courses in these two areas must be completed with a grade of B or higher in order to fulfill this requirement. Graduate level courses that are audited can count for this requirement, as long as the student completes all the work of the course and the instructor provides a letter indicating the grade the student would have received had he or she been enrolled. All plans for satisfying this requirement are the joint responsibility of the student and his or her advisor.

Annual Review of Progress

At the end of each year of study, students are required to complete an Annual Review.  The advisor and the Director of Doctoral Studies may make recommendations for any modifications deemed necessary prior to the start of the following academic year. Note: financial support for the subsequent year, if applicable, depends on timely completion of a satisfactory annual review.

Annual Review Steps

By April 15, the student submits:

  • A draft annual review form to their advisor, including a concise narrative of and goals for the upcoming summer and academic year.
  • An up-to-date CV

The student and advisor meet; the advisor provides comments to the student and, where necessary, recommends changes in the academic plan in the annual review form.

Once the advisor has approved the plan of study for the coming year, they send the Director of Doctoral Studies a short narrative of student progress.

The URP Ph.D. Advisory Committee reviews the materials, and sends a letter to the student, either confirming their good standing in the program or specifying additional requirements to be in good standing.

Comprehensive Exam

The comprehensive exam tests a student’s knowledge of both their primary and secondary areas of specialization. The exam consists of a take-home, written examination followed by an oral exam. The examination normally occurs at the end of the student’s second year, after completion of all relevant coursework.

The Committee

The student convenes an examination committee of three faculty members, choosing faculty who have expertise in the areas of specialization. At least one member of the committee should be a member of the urban and regional planning faculty. The chair or co-chair of the committee must be a regular member of the planning faculty and cannot be an affiliate faculty member. At least one committee member should represent the student’s secondary area of specialization. (If the student has identified a secondary area of specialization that is traditionally housed in another department on campus, then the student is encouraged to select a faculty member from that outside department as their third committee member.) On occasion, examiners from outside the university have served on students’ examining committees. While this practice is generally not encouraged, written requests for an outside examiner by students are treated on an individual basis by the director of doctoral studies.

The Field Statement

The student meets with the committee chair to plan for the exam and agree on expectations prior to the construction of the exam. In consultation with the chair and committee members, the student identifies appropriate readings and prepares a detailed “field statement” that defines the primary and secondary fields, contains a detailed bibliography of readings, organizes the readings into subfields, and outlines a set of major questions for the fields. The field statement is normally designed principally with the chair and is sometimes analogous to a detailed syllabus that one would prepare for a year-long graduate-level course on the selected specializations. The student often writes possible exam questions that he/she feels are appropriate for the area the exam will cover. The questions are not the questions the committee asks the student; their major function is to help the committee and the student to agree on the scope of the exam.

Scheduling the Exam

The exam must be completed by the end of May, at the end of a student’s second year in the program, and is scheduled on the student’s initiative. Prior to the exam, the student should have completed all coursework (including all incompletes). A student may delay the exam for exceptional circumstances with approval of the faculty adviser and the Director of Doctoral Studies. Students must notify the Director of Doctoral Studies of their intent to take the exam, with a date and time, location, and names of committee members at least one month prior to the exam.

The written part of the exam is in the form of a take-home essay. The committee chair typically solicits exam questions from the committee, selects questions to be used, and composes the final examination. The allotted time period to write the exam is determined by the chair, and typically is over three days. The student must submit the exam in the form as directed by the chair (usually as a Word document submitted by email), plus one copy to the program administrator to be placed in the student’s records. The written exam is followed by a two-hour oral exam, generally scheduled to take place within about one week after the written exam. The exam is evaluated on a “Pass/Fail” or “Conditional Pass” basis. If the student does not achieve a passing evaluation, he/she may take the exam one additional time to achieve a “Pass” or “Conditional Pass” status. A “Conditional Pass” indicates that additional requirements must be met, but the exam need not be retaken. Upon completion of the oral portion of the exam, please refer to the Applying for Candidacy section for next steps.

Applying for Candidacy

A student advances to candidacy when all program requirements except the dissertation proposal and dissertation have been satisfied. The normal and expected time to achieve candidacy is two years from the date of first enrollment in the doctoral program. In addition to urban and regional planning program requirements, a student must also meet  Rackham Candidacy Requirements . Any incomplete courses that are critical to satisfying requirements must be completed before applying for candidacy.

Once all required coursework and the comprehensive exam are successfully completed, a student applies for Candidacy by sending a request by email to the URP Director of Doctoral Studies, along with a signed Comprehensive Exam Certification Form.

The Director of Doctoral Studies will recommend a doctoral student for candidacy by submitting a recommendation to the Rackham Graduate School. When candidacy is approved, a student is ready to begin work on the dissertation and is eligible for URP 995 candidacy registration.

Dissertation

Forming dissertation committee.

After completing the comprehensive exam and advancing to candidacy, the student must form a dissertation committee, in accordance with the Rackham Graduate School’s  “Guidelines for Dissertation Committee Service.”

The Dissertation Committee should be formed prior to defending the dissertation proposal, which should be formed several months before the student expects to defend their proposal URP. When prepared to do so, the student should send the Director of Doctoral Studies and Lisa Hauser the completed “Dissertation Committee Worksheet for Students to submit to Program”, which can be obtained from the link above. The Director of Doctoral Studies and Lisa Hauser will then submit the formal request to the Rackham Graduate School.

Dissertation Proposal

Dissertation proposals can be defended anytime after taking the Comprehensive Exam, but no later than the end of the fifth semester (i.e. December). It is the student’s responsibility to schedule the proposal defense attended by the dissertation committee.

The student must notify Lisa Hauser by email of the proposal defense date at least three weeks prior to the meeting, including the location of the defense meeting, a title, and an abstract. After gaining approval from the dissertation committee, the dissertation chair must send an email to the Director of Doctoral Studies that includes (a) the date of the proposal defense, (b) a list of all committee members present at the defense, (c) a title of the proposal, (d) an abstract of the proposal (250 – 350 words), and (e) a copy of the final dissertation proposal to be filed with URP records. Receipt of the email from the dissertation chair will constitute formal approval of the proposal by the committee and readiness to proceed with dissertation work.

Dissertation Process

The dissertation is prepared in accordance with the  Rackham Graduate School’s Doctoral Dissertation Requirements , and as outlined in the URP Ph.D. Program Overview Schedule and Policies document.

The student is responsible for several steps: (a) scheduling and reserving rooms (and/or a Zoom link if virtual or hybrid) for the URP pre-defense hearing (which ordinarily should occur at least six weeks and no less than three weeks prior to the dissertation defense) and the defense meeting, both in a timely manner; (b) notifying Lisa Hauser by email of the defense date at least three weeks prior to the meeting, including the location of the defense meeting, (and Zoom link, if relevant), a title, and an abstract; (c) providing a complete dissertation draft, including an abstract and bibliography, to committee members at least two weeks (longer is advised) before the defense date; and (d) registering for an eight-hour candidacy enrollment (995 Dissertation Research) for the term in which the defense is held.

A dissertation defense typically consists of two parts: the first is a formal, public presentation of the dissertation research, followed by questions and answers from both the dissertation committee and the audience. Defenses are advertised and open to the public, and other students and faculty are frequently in attendance. The second part is a closed session for the candidate and the dissertation committee. During the defense, the student may be asked to reconsider certain aspects of the work and to make changes or corrections in the dissertation. At the end of the session, the chair will discuss the oral defense with other members of the committee and inform the student of the outcome. The duration of a defense can vary, but the candidate should reserve the room for a three-hour period.

Formal approval of the dissertation (e.g., formatting of the final document) and applying for graduation are governed by the Rackham Graduate School.
