Skype for Business presentation size limits.

I recently had an implementation where very large PowerPoint presentations was needed. When those pptx files were pre-uploaded to the meeting, the following dreaded “allowable file size exceeded” message occurred:

It got me interested in finding out what the allowable file sizes are for Skype, and after scouring documentation, I discovered the following:

As of September 2017:

  • With Office Web Apps 2013, the max file size is 150Mb
  • With Office Online Server, the max file size is 300Mb

The explicit limits, where applicable, are listed in the table below. However, note that there is a 60-second file download time out that applies to all GetFile operations, and this time out can affect the perceived file size limit. In practice, this time out is rarely hit, since connectivity and bandwidth is typically very good between Office Online and host datacenters. However, hosts should be aware of this limit.

The process to configure these max sizes is fairly simple, and is configured in the “ Settings_Service.ini ” configuration file. The default location for that file is:

C:\Program Files\Microsoft Office Web Apps\PPTConversionService

At the bottom of the file, just add the following entries:

For Office Web Apps 2013, add:

PowerPointEditServerMaxFileSizeBytes=(System.UInt64)153600000 PowerPointServerMediaEmbeddedMaxSize=(System.UInt64)153600000

For Office Online Server, add:

PowerPointEditServerMaxFileSizeBytes=(System.UInt64)307200000 PowerPointServerMediaEmbeddedMaxSize=(System.UInt64)307200000

Once the changes are saved, restart the server service. You may do so in PowerShell with the following command:

Restart-service WACSM

Please note, these max sizes are for the entire meeting, not per attachment, therefore, if your meeting has much larger files, you will have to split them, upload one, go through it, remove it, upload the next. – You can upload several files at a time, but they cannot collectively be larger than the total MB size limits.

The best ways to use Skype for Business

If you have used Skype before, the chances are that you have been involved in a conference call or video presentation before.

As some may think of Skype as a simple chat and phone call service, it is actually a multifunctional means of both communication and collaboration. Skype provides a way to connect teams, work sites and businesses to clients without having to be in the same room.

Speaking in public is anxiety-inducing enough as it is. Having to show off your verbal acuity on top of your technological adeptness could be potentially overwhelming. They can't see you sweating through a monitor, though!

Take a look at some of these features available through Skype to help you prepare for your big moment.

Create groups for team conference calls

Ideally, you would want to create an appointment for your team to attend, but sometimes you may need to jump on a conference call to address a topic. In Skype, you can create collections of people and then choose to begin a conference call with members of those groups instantly.

Using Skype for Business to create and use groups

  • From the Skype menu, click on the Add icon.
  • From the list, select Create a New Group .
  • Enter the name of the group.
  • Search or click and drag on existing contacts to copy them to the new group.
  • Right click on the group name and select either Start a Conference Call or Start a Video Call .

Alternatively, you could create an ad hoc call simply by pressing Alt+M from the Skype Menu. You would then begin adding in contacts.

  • In the call screen, click on Invite more people .
  • Search for contacts by entering their name in the search field or scroll through your list.
  • Click on the contact and select Ok .

Skype share screen

Adding documents, images, and other files during your meeting or presentation can have many benefits. It can add depth to the conversation and helps participants to understand what is being communicated by accommodating for different learning methods.

Here are a few sharing methods to consider:

To share your screen while on a voice or video call

  • Click the Present button located the in call bar near the bottom of the screen.
  • From the list, click on Present Desktop to share your screen or Present Programs for specific windows.
  • If you are a multi-monitor user, you will need to select which screen you want to share with the participants.
  • Once selected, press Present to begin.

This provides participants with a live view of what is on your screen or window. Be mindful of what you may have open on your screen as well as you may be sharing private information as well.

To share a PowerPoint presentation

  • During a call, click on the Present icon and select Present Powerpoint .
  • Locate and click on the file and select Open .

The participant can now follow along with the PowerPoint as you are presenting. Alternatively, they can also scroll forwards and backward in case they were looking for more information or clarification.

This can help viewers understand details at their own pace. If they find the text too small to look at, the participant can alter their view by switching to full-screen mode or by utilizing zoom and pan options.

As the presenter, you have on screen options to view any notes on the presentation or view the order of slides; making it easier to refer to previous information or prepare a proper segue to the next slide.

To share a file:

  • Click the Present icon.
  • Select Add Attachment .
  • Choose the file and select Open .

Keep in mind that there's a file limit of 300 MB and a 30-day expiry on the shared file in a conversation history; be sure to save when necessary.

Skype record call

There are a variety of reasons why a presenter would record their call or presentation; perhaps they just finished a dry run with a test subject and wanted to review their performance. It could also be necessary for reporting purposes. Regardless of the reason, Skype for Business allows you to record without the need for a 3rd party solution. Every type of interaction is captured in the recording in an MP4 format, including chat, files presented and shared, even audio and video.

To record during a call:

  • Click the More icon to open a list of options.
  • Select Start Recording .
  • Recording options appear to the right of the end call icon. You can stop, pause or resume the recording.
  • To end, click Stop Recording .

Skype for Business also facilitates the option to play or share any recorded presentation.

  • From the main screen, click the tools icon.
  • Select Recording Manager .
  • In the popup, select the desired recording and click Play to review it.
  • To send a copy, click browse , right-click on the file and select share . You can then choose to delivery options such as email or send to OneDrive.

Skype meeting options

While you are the presenter of the meeting, the fact remains that you may not always be in control of the meeting. The more people that are attending, the greater the risk of interruption; intentional or otherwise. There may be a participant in a loud environment or someone who is all too willing to share their opinion. There are a few options available to help manage behaviors, individuals, and audio mishaps.

Skype meeting options in Outlook

  • If you're creating a meeting from Outlook, you can edit the meeting before sending the invite.
  • From your Outlook calendar, click on New Appointment .
  • In the popup, under Skype Meeting , select Meeting Options .
  • To edit all options, select A new meeting space .
  • Use These people don't have to wait in the lobby to select which individuals can enter the conference before the presenter.
  • Use Who is a presenter to choose who can manage and modify items and files presented during the meeting (great for collaborative work).
  • Use Do you want to limit participation to disable IM, mute all attendees or block a participant's video.

Skype and OneNote

Rather than solely relying on an MP4 of your presentation with colleagues, the presenter could allow for a shared note with participants through OneNote. The presenter could assign a minute taker, or everyone could contribute their ideas collectively. If you would prefer to take your own minutes, you can compose them privately.

To access notes

  • Click on the presentation icon and select Shared Notes or My Notes .
  • For private notes, click My notes .
  • For publically viewed notes, click Shared notes .
  • Choose a section from within the note selector; a section will generate a blank page within it.
  • The page is then fixed to your desktop while participants will be notified about the notebook.
  • All participants will be able to open the same notebook from their own computer to capture their notes.

As you keep these tips in mind, don't forget to cover the basics. Always make sure you check your audio and video capabilities. If you want your voice to be heard, you should check your volume and quality. The files you are prepared to deliver should also be organized in advance. Keep all items handy so that can be easily retrieved, rather that fumbling through folders as you go.

Skype for Business with PowerPoint

With a lot of presentation the facilitator will take everybody's slides and consolidate into one big deck.

Then during the presentation the various presenters has to constantly ask for "next slide" ...

Because it is PowerPoint, it would be great if Skype could have a function where any of the presenters (not the regular participants) could just press a button in Skype when the want to have the presentation advance to next slide. That would make it much more interactive and flowing easily.

This function should be able to advance the slides both in presentation mode as well as in standard mode. Sometimes the main presentation is not shown in presentation mode - so that it is easier to jump around, go back, and as well avoid animation. Therefore this function should be able to handle standard mode as well.

Based on your description, here is my understanding of your requirement:

When a user presenter his PowerPoint file to other users, only the presenter can move to the next slide, and other users in the meeting show the same page of the presenter and they don’t need to change the page themselves.

If my understanding is correct, the presenter can change the Skype Meeting Options when organizing the meeting as screenshots show below:

Not exactly what I am looking for I believe.

Here is a scenario:

Sales Manager is preparing a session for all his sales people, and he has requested that four product manager present the latest update on their products to the team.

All four product managers prepare their presentation and send a copy to the Sales manager, who in order to make it easier, copies all the presentation into one presentation, that he then intends to present at the meeting.

In a normal fashion, all four product managers are now going to speak one by one, and they will ask the sales manager to advance the slides one by one - which makes the presentation not flow as easy - most people would want to pace their own presentation as they speak.

My suggestion is to have a function that basically works like any of the wireless presenters from Logitech and others. They have a slide advance and reverse button.

My thought would be that Skype had a slide advance and reverse button, that any of the people on the call identified as presenters can press (or they could take ownership of the buttons and release the ownership when it is the next presenters turn).

When the advance slide button is pressed by any of the presenter participants, that function is then forwarded to the computer that is actually sharing its screen, and if the function works like the Logitech presenter, the slide on power point would automatically advance - that being when the slide presentation is loaded in powerpoint or if the slide presentation is in presentation mode.

That would actually be pretty nifty - and make Skype for Business integrate even better with Office 365.

About “most people would want to pace their own presentation as they speak”, the participant of the meeting can click the “Take Over as Presenter” when it is his turn to slide advance and reverse button to give the presentation.

Moreover, meeting participate have access to slide advance and reverse button to view the PowerPoint themselves. If other participates want to view the PowerPoint by following the presenter’s desktop, they can select “back to presenter view”.

I was not trying to find a solution within the current product - those are fairly well known.

The problem is that most presentations are not that "clean"

Most times the main presenter is sharing his/her desktop, not the presentation. ... to be more flexible in switching content when needed. Lot of times the presentation is not even in presentation mode.

If everyone would always share just their presentation, and in presentation mode, it would work much easier, but that is not the case in normal business meeting environments. 

My ideas would tie Skype much closer to PowerPoint, and make it work any way that the content is shared: desktop, not in presentation mode, or presentation in presentation mode. Every way would work. It would be pretty nice.

The main presenter would press a button to: "Allow other presenters to advance slides", and now who ever is talking about their content in the main slide deck, can control their content, without having to ask the main presenter to advance the slides.

This is an idea that should be forwarded to development and evaluated for its merits.

There is no need to find other solutions within the current product to solve it. That was never my intent.

Instant Messaging Presence and Contacts

Presence is the ability to detect another user’s availability. Using Skype for Business, users can display their presence status—for example, Available, Away, Do Not Disturb, or Offline—to let others know their availability. Skype for Business presence information is presented throughout the Office 365 suite, such as in OneDrive for Business, which shows the status of the person who last edited a document. Users can instantly find and communicate with people from within Microsoft Outlook. This connection occurs wherever the user sees a coloured presence indicator that represents a person’s presence status. The user can then click the presence icon and initiate a communication by using Skype for Business and the interactive Office contact card. This feature is called “click-to-communicate.”

When Outlook calendar integration is enabled, a user can check another user’s schedule and get up-to-date availability information directly from that person’s calendar. This makes it easy to determine when someone will be available.

Instant Messaging

Instant messaging (IM) is the ability to transfer text messages in real time over an Internet Protocol (IP) network such as the Internet or an organization's corporate network. Instant messaging is available for both Skype-to-Skype and multiparty communication. IM text is encrypted for enhanced security.

Contact Card Configuration

Customers can configure how their own Skype for Business contact card appears to other people.

My Picture Configuration

If picture display is enabled, users can also change their picture from the default picture that is stored in the directory service. With Skype for Business for Office 365 client users’ replacement pictures can be of any fidelity, including high-definition (HD), and of any size. Exchange will adjust the file size and image dimensions to make it suitable for the contact picture.

Contacts List Configuration

You can create a persistent list of contacts for all Skype for Business users, ensuring that the contact information a user requires is immediately available. You can add other users to your Contacts list, organize, and group these contacts in different ways (by department, for example). You can also search those user's company address books to find other users—which means it is not necessary to add someone to the Contacts list to detect presence or send an instant message.

Address Book and Distribution List

Using Skype for Business, service users can search the address book for other users in their organization. They can also add email addresses and distribution lists to their Contacts lists. Instant messages can be sent to individual members of a distribution list or the entire distribution list. Distribution lists can be expanded to see the individual members.

Persistent Chat

Photos of Sender/Receiver

Within the Skype for Business IM window, photos of the sender/receiver appear inline with the conversation. This adds visual context to IM conversations, particularly in meeting scenarios where multiple people may be chatting at the same time.

Privacy Mode

With enhanced presence privacy mode, users can restrict their presence information so that it is visible only to the contacts listed in their Skype for Business Contacts list. When enabled, the option to restrict presence information to contacts becomes available in the Skype for Business status options. When disabled, users can choose either to always let everyone see their presence information, or to adhere to any future changes the administrator makes to the privacy mode.

Skype-to-Skype Audio, Video, and Media

Skype for Business Online users can make one-to-one computer-based audio and video calls to other Skype for Business users using a PC and a web camera. A Skype for Business Online user can initiate Skype-to-Skype audio and video calls with another user in the same Skype for Business Online organization (within or outside the corporate firewall), or with another Skype for Business user in a Skype for Business federated domain as long as the two Skype for Business domains are correctly configured, supported, and permitted for federation.

Skype-to-Skype High-Definition Video

High-definition video (1920 x 1080) is supported for peer-to-peer calls between users running Skype for Business on high-end computers.

The resolution viewed by each participant in a single conversation may differ, depending on the video capabilities of each user’s respective hardware.

File Transfer

Skype for Business provides PC-to-PC file transfer that lets users transfer files as part of a Skype for Business session.

Skype-to-Skype Desktop and Application Sharing

Skype for Business provides PC-to-PC data sharing capabilities including desktop sharing and application sharing.

Skype for Business Online Meetings

Ad-hoc skype for business meetings.

Users can start or join an ad-hoc Skype for Business Meeting with just a few clicks in the Skype for Business client or in Office. Skype for Business lets users escalate simple instant messaging conversations or email conversations to PC-based, multiparty audio and video meetings with shared desktops, applications, and documents.

Skype for Business Multiparty Audio and Video

Skype for Business provides for Skype for Business-based, multiparty (three or more users) audio conferencing capabilities. Skype for Business multiparty audio provides users with an adaptive audio codec for optimal performance under varying bandwidth conditions, visual call and roster controls, network quality indicator, and powerful user management features (for example, drag and drop a participant name to add them to a meeting).

In addition to audio, Skype for Business enables users to connect through high quality video sessions. Both person-to-person and multiparty (three or more users) sessions are supported. Active speaker video is available only for multiparty sessions. With Skype for Business, users can easily schedule an online meeting with video or seamlessly escalate an IM session to a video call.

The video experience is enhanced by the following features:

  • HD video    Users can experience resolutions up to HD 1080P in two-party calls and multiparty conferences.
  • Gallery View    In video conferences that have more than two people, users can see videos of participants in the conference. If the conference has more than five participants, video of only the most active participants appears in the top row, and a picture appears for the other participants.
  • H.264 video    The H.264 video codec is now the default for encoding video on Skype for Business desktop clients. H.264 video supports a greater range of resolutions and frame rates, and improves video scalability.

Presenter Controls

In Skype for Business meetings, presenters have access to the following meeting controls:

  • Mute or unmute all attendees, or mute individual attendees.
  • Block attendees from starting video.
  • Hide names on the pictures.
  • Change permissions so that all participants are attendees instead of presenters.
  • Send email invitations to additional people.
  • Backstage content preview if the user is a presenter.

Participant Views

In a Skype for Business meeting, participants can select from the following options depending on how they want to view the meeting content, presenter, or participants:

  • Gallery View shows all the participants’ pictures, or videos, plus meeting content.
  • Speaker View shows the presenter’s picture or video at the lower-right corner of the meeting window, plus meeting content.
  • Presentation View shows only the meeting content.
  • Compact View shows the tiles of the participants’ pictures in a compact window.

Multiparty Desktop and Application Sharing

Skype for Business provides powerful PC-to-PC and multiparty data sharing capabilities. Desktop sharing enables presenters to broadcast any visuals, applications, webpages, documents, software, or part of their desktops to remote participants in real time, right from Skype for Business. Audience members can follow along with mouse movements and keyboard input. Presenters can choose to share the entire screen or only a portion.

Application sharing enables presenters to share control of software on their desktops without losing sight of participant feedback or text questions. Presenters can also delegate control of the application to meeting participants.

Skype for Business provides multiparty PowerPoint presentation, with higher-resolution displays and support for PowerPoint capabilities, such as animations, slide transitions, and embedded video. Mobile devices can also access the presentations because the feature uses standard HTML 5 and JavaScript to broadcast PowerPoint presentations. Users with the appropriate privileges can scroll through a PowerPoint presentation independent of the presentation.

Web Conferencing Tools

Skype for Business provides multiparty web conferencing capabilities including virtual whiteboard and annotations. A whiteboard is a blank canvas that can be used for collaboration, with text, ink, drawings, and images. Annotations made on whiteboards can be seen by all meeting participants. The whiteboard feature enhances collaboration by enabling meeting participants to discuss ideas, brainstorm, take notes, and so on.

The polling feature enhances collaboration by enabling presenters to quickly determine participants’ preferences. During online meetings and conversations, presenters can use polling to gather anonymous responses from participants. All presenters can see the results and can either hide the results or show them to all attendees.

Recording and Playback

The recording feature allows organizers and presenters to record all aspects of a Skype for Business session, including who entered the meeting, audio and video, and content from IM conversations, program sharing sessions, PowerPoint presentations, handouts, whiteboards, and so on. Organizers and presenters can choose 480p, 720p HD, or 1080p Full HD as their preferred resolution for client-side recordings. Recordings are saved to the organizer’s or presenter’s computer. To make a recording available to others, the organizer or presenter can move or copy the recording to a shared location.

Meeting Lobby

With the Lobby feature, users decide who gets into the meeting directly, and who waits until the presenter lets them in. This feature is recommended for large meetings, or meetings that will involve confidential or sensitive information. Different Lobby options can be set for users who are connecting through a Skype for Business client and users who are dialling in.

Authentication and Skype for Business Web App Users

Skype for Business now supports both authenticated and unauthenticated Skype for Business attendees. If a user receives a Skype for Business Meeting invitation but does not have an account with your organization, he or she can still join the meeting by using Skype for Business and signing in with the Guest account.

Scheduled Meetings from Outlook

The Skype for Business desktop client includes an Outlook plug-in that provides users with single-click scheduling of online meetings in Outlook. Participants can join with a single click from the Outlook reminder, or through the Outlook meeting itself. Organizers can set up meetings using predefined conference properties, or can set meeting types and admission policies for specific needs. Details (such as meeting time, location, and attendees) follow the familiar Outlook template, and conference call-specific information (such as dial-in number and meeting passcode) are automatically populated (access phone numbers require a third-party dial-in audio conferencing service).

Scheduled Meetings from Outlook Web Access

Skype for Business Online users who also have Exchange Online can use Outlook Web Access to set up Skype for Business Meetings. Details (such as meeting time, location, and attendees) follow the familiar template, and conference call-specific information (such as dial-in number and meeting passcode) are automatically populated (access phone numbers require a third-party dial-in audio conferencing service).

Scheduled Meetings with Skype for Business Web Scheduler

Skype for Business Web Scheduler provides a web-based way to schedule a Skype for Business Meeting. It provides a browser-based conference management experience that includes operations such as the following:

  • Scheduling a new online Skype for Business meeting
  • Viewing a list of existing meetings that the user has organized
  • Viewing and modifying details of an existing meeting
  • Deleting an existing meeting
  • Sending invitations
  • Joining an existing meeting

Conversation Limits

There is a limit of 50 conversations open at any one time.

File Transfer Limitations

If your attempts to upload attachments to a conference or to send files to a contact generate an error message, this means either that the contact that you’re sending the attachment to doesn’t have permission to receive files or that the file type is blocked. In Skype for Business Online, certain files types are blocked by the Intelligent Instant Message Filter (IIMF) application. IIMF helps protect Skype for Business Online users against the most common forms of viruses without degrading the user experience. By default, Skype for Business Online is configured to prevent users from sending files through IM that have the following file name extensions:
