Application Letters

Application letters are letters that you write to formally request for something from authority, apply for a job, or join an institution. Effective application letters will give a detailed explanation for your interest in the specific item, company, or institution. They showcase your abilities and strengths and illustrate your experience. In most cases, people write application letters to express their interest in receiving a position, attending an institution, or when applying for a visa, for instance. In all scenarios, application letters must be accompanied by the relevant documents. Application letters are the perfect tool to demonstrate something of your personality. Therefore, you should write in a professional tone setting a clear outline that allows the reader to scan the primary data quickly. Introduce yourself and briefly explain your intent and reason for the application. Address the letter with a title or name of the recipient. If your application is for a job or to join an institution, for example, you need to highlight your experience and qualification; if you are applying for a travel visa, make sure to state a clear intention for your travel. End with a positive tone and invite the recipient to contact you.

Letters to Schools

Letters to schools are letters written to institutions designed to provide learning environment and spaces to pupils and students. There are many times when you may feel the need to write to a school administration. Maybe you want to recommend a student or employee or want to apply for an academic program. Perhaps your child has a disability, and you want to make sure that he/she is receiving special education services. Whatever the issue, putting your thoughts in writing avoids confusion since it provides you and the recipient with a record of your request. It is, therefore, crucial to keep a copy of any letter you send. All letters to schools must use the standard business letter style. Start your letter with the proper address and salutation. Introduce yourself and explain the reason for your letter clearly and concisely. Depending on the content of your letter, provide any documentation that gives the recipient reference to the case or clarifies your concerns. Keep the tone polite, respectful, and professional. Close by thanking the recipient for his/her time and with a note of anticipation of positive feedback. Sign off and proofread the final draft before sending it.

Sub: Request Letter for admission of my son.

Respected Sir,

I am Vikas Singh, a social worker in Gujarat state. I am writing this letter to request that you please admit my son Arjun Singh to your renowned school in class 6.

Arjun is excellent in mathematics and is very fluent in speaking English. He is also good at sports and has even played football up to the state level. I have always wanted to admit Arjun to Saraswati Vidya Mandir, but as your school was far away from our place and Arjun was small, I couldn’t allow him to travel so far. But now, as he is in class 6, he can travel in a school van on his own. So I would like to admit him to your school to provide my son with the best educational opportunities available at your school.

I have attached proof documents with the letter. I assure you that Arjun will surely raise the name of your school. I would be very glad if you admitted my son to your school.

Thank you in advance.

When a student is applying for admission to a school, it is usually their first entry into the school. Therefore, the letter should be brief and include all the aspects that the parents want their child to be provided with during their education. Some schools also require information about the student's family background and qualifications, so it's important to include these details in the letter if necessary.

School Application Letter

A school application letter is used to introduce an applicant to the person or selection committee in charge of admissions. This letter can be used for private school admissions for students in grades kindergarten through 12 and for students seeking admission toan undergraduate program at the university level.

Format and Content

Build a rapport with the head of admissions by addressing him or her by name. The school application letter format should include the date, your name and contact information, the name and contact information of the person addressed in the letter, an introductory paragraph that explains your interest in the program, 1 or 2 paragraphs that highlight your skills, achievements and career goals, and a closing paragraph that reiterates your interest in the program and provides your contact information.

In this school application letter sample a student introduces herself to the head of student admissions. She states why she believes she is a good candidate for the school’s art program and includes a paragraph that emphasizes her dedication, skills and personal strengths. In the closing paragraph she includes a statement of appreciation for the time the reader dedicates to review her application materials.

It is with great enthusiasm that I am submitting my application for admittance into the Interior Design Institute. I am currently a senior at the Austin Academy for the Gifted and will graduate this spring. I have researched the various art programs offered by universities in the South Texas area and firmly believe the one offered by your institution offers the best plan based on my personal career goals and objectives.

My interest in interior design revealed itself at the age of three when I received a dollhouse for Christmas. I spent countless hours decorating and redecorating the rooms in the house, often by using scraps of material and other miscellaneous items I found in our house. I benefited greatly by parents who encouraged my decorating desire by allowing me to experiment by redesigning rooms in our home. In high school, I served as an intern at the Savory Design Firm where I learned the business side of interior design.

In high school, my grades allowed me to take dual-credit classes. As a result, I will begin my undergraduate studies with 12 college credits logged in the earned column. This summer, I will be traveling to Italy and Paris with a group of students to study architecture and design. I am extremely dedicated to my goal of a successful career in the interior design industry. I am a motivated student who believes in education and experience as the path to success. The hands-on programs provided by your institution will allow me to grow and develop as a talented professional in this field.

I am enclosing my application packet along with letters of recommendation for your consideration. I will be happy to answer any questions you may have or to send additional materials if needed. You may reach me by phone at (555)-555-5555 or by email at [email] Thank you for your time and consideration. I look forward to hearing from you soon.

Application for School Admission Format: Things to Consider

When it comes to applying for school admission in India, submitting a well-structured and comprehensive application is crucial to stand out among the competitive pool of applicants. Here are the key components of a proper admission application:

Components Of A Proper Application

1. Personal details: The personal details section of the school admission application typically includes the student’s name, date of birth, parent or guardian’s name, and contact information.

2. Educational background: Here, you would include the student’s past academic achievements along with any relevant degrees and certificates.

3. Extracurricular activities: This section is for showcasing all the additional activities the student has taken part in, including sports, music, drama, debating, etc.

4. Specific questions: In some school admission applications, you may encounter specific questions that applicants are required to answer. This section can cover topics like why you wish to attend the particular school, challenges you have faced, or future goals and aspirations.

Structuring The Application

While the structure of a school admission application can vary, there are a few essential formatting tips to keep in mind:

1. Use clear headings and subheadings for each section of the application. This gives the admission board a sense of order and helps them navigate the document efficiently.

2. Make sure the application is well-organized, easy to read, and free of grammatical errors or typos.

3. Use bullet points to break up large paragraphs or chunks of text. This makes the application more scannable and can help key achievements or qualifications stand out.

By following these guidelines and formatting tips, you can put together a strong admission application that highlights your child’s strengths, achievements, and potential. Remember, a well-structured application can be the difference in gaining admission to your desired school or not.

What documents are required for the school admission request letter?

The necessary documents required for a school admission request letter are the child’s birth certificate, previous year’s report card, transfer certificate, and passport size photographs.

Is it necessary to mention the reason for admission in the letter?

It is not mandatory to mention the reason for admission in the letter explicitly, but it is advisable to include a concise paragraph expressing the family’s interest in the school and the applicants’ qualifications and achievements.

Should I handwrite or type the school admission request letter?

Typing the admission request letter is preferred as it is more professional and legible. However, if there is no access to a computer, a well-written handwritten letter is acceptable.

Getty Images

Whether you’re applying for a job , internship , scholarship, or volunteer position, a well-crafted application letter can help you stand out. It's your chance to introduce yourself and make a strong first impression that sets you apart from the competition.

But how do you write an application letter that’s effective? Below, we’ll explain when to use this method of introduction and give you practical tips on writing one that gets results. Plus, we've included a sample application letter and a template to help you create the perfect document for any opportunity.

Apply for the role of your dreams! One of these open jobs on The Muse could be the perfect fit »

What is an application letter?

An application letter is a document sent with your resume to provide additional information on your skills and experience. It's a crucial part of an application for work as it introduces you to potential employers and highlights your qualifications.

While some companies request it at the beginning of the application process, others might ask for it later, or not at all—but it's always a valuable addition.

Unlike a resume, which outlines your work history, a written application allows you to elaborate on your achievements and how they relate to the job you are applying for. It is a much more specific way to introduce yourself and explain why you would be a good fit for the job.

How is an application letter different from a cover letter?

Some people use the terms “application letter” and “cover letter” interchangeably, but there are subtle differences between the two.

An application letter serves as your formal introduction to a potential employer. It highlights your interest in the role, your qualifications, and why you're a good fit for the position. It's a standalone document that provides a comprehensive overview of your skills and experiences.

On the other hand, a cover letter is usually more concise than an application letter and serves as a complementary document to your resume, providing additional context to your job application. It elaborates on specific points from your resume and explains how your background aligns with the job requirements.

Also, job application letters follow a more formal structure, often resembling a traditional business letter. They include your contact information, the date, and the employer’s contact information at the top. An application letter is usually addressed to a specific individual, such as the hiring manager or recruiter. While cover letters also have a professional tone, they can be less formal in structure.

Finally, the application letter is used primarily for job applications, internship applications, scholarship applications, and volunteer positions. In contrast, the cover letter is specifically used to accompany a resume during job applications.

When do you need to send an application letter?

Application letters are typically required when applying for jobs. However, there are other scenarios where you might need one:

  • Scholarship applications: When applying for scholarships, this kind of letter can help you stand out by showcasing your academic achievements and career goals .
  • Volunteer positions: Some volunteer organizations require an application letter to understand your motivations and skills relevant to the position.
  • Internship applications: Internships often require this document to understand your interest in the role and what you hope to gain from the experience.
  • Networking purposes: Sending one when reaching out to potential mentors or industry professionals can help you establish a connection and explain your career aspirations.

7 tips on how to write a job application letter

Writing an effective application letter involves more than just summarizing your resume. Here are seven tips to write yours:

1. Research the company—at least do a quick Google search!

Before you start writing, research the company to understand its culture, values, and needs. Tailor your letter to align with the company’s mission and the job description. There is nothing better for an HR professional than feeling that you don’t just want any job; you want to work with them for specific reasons, such as X and Y.

“Address the letter to the hiring manager by name if possible,” says Mike Chappell, CEO of FormsPal , who has more than a decade of experience reviewing application letters. “This shows that you’ve done your research and are genuinely interested in the company.”

2. Use a professional format and design

Your application letter should follow a formal letter of application format. Use a standard font like Times New Roman or Arial, and keep the font size between 10 and 12 points. Include your contact information, the date, and the employer’s contact information at the top of the letter.

There are many layouts online that you can use. Find one that represents your style and complements your resume.

3. Make it engaging from the start with a strong opening

Your opening paragraph should grab the reader’s attention. Mention the position you're applying for and where you found the job listing. If you were referred by someone, include their name. Briefly introduce yourself and explain why you’re interested in the role.

4. Highlight your qualifications—what you can’t fully convey in your resume

In the body of your applicant letter, highlight your relevant skills, experiences, and achievements. “Use specific examples to showcase your accomplishments and how they relate to the job you’re applying for,” Chappell says. “ Quantifiable results can make a strong impact.”

Avoid repeating information from your resume; instead, expand on your most relevant experiences.

5. Show enthusiasm and genuine interest

Employers want to hire candidates who are enthusiastic about the role and the company. Show your excitement for the opportunity. Explain why you are specifically interested in this job and how it aligns with your career goals.

6. Keep it concise

While it’s important to provide enough detail, your application letter should be concise. Aim for one page, with three to four paragraphs. Be clear and to the point, avoiding unnecessary fluff.

7. Proofread carefully

Typos and grammatical errors can leave a negative impression on employers. Carefully proofread your letter before sending it. Consider asking another person to review it as well.

Common mistakes to avoid

When writing a letter of application for employment, be aware of these common mistakes:

  • Being too generic: Focus your letter on the specific job and company, and mention detailed information about them. Don’t default to a one-size-fits-all approach or AI-written document. “It is generally best to avoid using generative AI to write your application letters for you,” says Edward Tian, CEO of AI detector GPTZero . “Only you can write about those specific aspects of your identity and experiences in such a personal way.”
  • Focusing too much on yourself: While it’s important to highlight your qualifications, make sure to explain how you can benefit the company. “You can talk about your career goals, college classes that piqued your interest in the type of job you're applying to—just make sure that they tie into why they make you uniquely qualified or well-positioned for the job,” Tian says.
  • Including irrelevant information: Avoid discussing unrelated jobs or hobbies, for example.
  • Using a casual tone: Maintain a professional tone throughout your letter. Avoid slang or overly casual language.

The department's  2022-23 Graduate Student Handbook  outlines the requirements and expectations for undertaking graduate work with the department.

In addition to the requirements of The Graduate School, admission to the department's program is also based on:

  • A minimum grade point average of 2.8 with special emphasis given to courses in the science areas
  • The GRE is used as another factor in assessing student promise. However, we consider all applicants individually and do not publish specific score requirements for our applicants
  • Letters of recommendation (not required by the university)
  • A minimum TOEFL(iBT)/IELTS score of 94/7 respectively or acceptable alternate by the director of undergraduate studies (DGS) or department chair
  • The availability of a major advisor to work with the prospective student

A prospective student's records will be reviewed by the department's graduate committee. The graduate committee forwards its recommendation to the DGS concerning admission.

Provisional Admission

Students who wish to pursue an advanced degree but are temporarily ineligible for regular graduate admission status may be recommended by the DGS for provisional admission status for one or more of the following reasons:

  • Missing transcripts or other requirements for admission such as letters of recommendation
  • Temporary waiver of the Graduate Record Examination (not to exceed one semester)
  • Deficiencies as determined by the DGS

Deficiencies are often related to requests for admission from students with degrees in areas other than engineering. The basic philosophy of the department is that each graduate student should have the equivalent of a B.S. degree in biosystems and agricultural engineering prior to receiving an advanced degree. The B.S. equivalent is based on the completion of certain basic science and engineering courses including physics, chemistry, calculus, statics, dynamics, the strength of materials, thermodynamics, heat transfer, fluid mechanics and electricity. Other courses pertaining specifically to biosystems and agricultural engineering may also be required. The departmental graduate committee may specify that the applicant is provisionally admitted, contingent on the completion of certain courses at which time the student's record will again be evaluated.

See Minimum Required Coursework

Similarly, students not satisfying the 2.8 GPA requirement may be provisionally admitted if there is sufficient evidence to indicate that the student can successfully complete the degree program. In these cases, the graduate committee may specify that the student obtains a stated minimum grade on certain specified courses during the first semester of study. Provisional status is permitted for a maximum of one full-time semester or up to 12 hours after which the work will be reviewed, and, within 30 days into the following semester, and on recommendation of the DGS, the status will be moved automatically from provisional to regular program status or removed from the provisional status entirely.

Post-Baccalaureate Status

Prospective students may also seek to be admitted in a post-baccalaureate status. Admission to this status may be granted to an applicant who demonstrates promise but has not qualified for admission to a degree program. Students may take courses for graduate credit but may not apply more than nine hours of credit with a grade of A or B earned in the post-baccalaureate status to a degree program leading to an advanced degree. All transfers of credit hours to a graduate program must be approved by the DGS and the dean of graduate studies.

An application for admission to The Graduate School as a post-baccalaureate graduate student should be on file in the Admissions Office at least 30 days in advance of the registration date for the term in which the student plans to enroll.

Post-baccalaureate students who wish to apply for a graduate program must have a 3.0 GPA on all work attempted as post-baccalaureate students. They should write The Graduate School offices indicating they wish to apply and stating the semester for which enrollment in the program is planned. Permission to enter any graduate class as a post-baccalaureate student will be granted only if the student meets the prerequisites and if space is available.
