How to Edit Footer in PowerPoint? [An EASY Solution!]

I know the feeling! You try clicking, double-clicking, and everything else that you know, and you still can’t select the elements in the footer! It is really annoying, to say the least. Does that mean, you can’t edit the footer in PowerPoint? Well, you can!

To edit the footer in PowerPoint, click on the “View” tab. Then, select the “Slide Master” view. Select the “Master Slide” or the first slide. From this slide, you can add, edit or remove the footer in PowerPoint. Changes to the master slide will apply to all slides.

Some elements in the footer of a presentation are easier to edit than others. This is based on how they are placed when designing the presentation. If they are present directly on the slide, you may find it easier to edit. However, if the objects are placed using the “Slide Master”, this article will help you fix the problem!

My goal with this article is to help you understand everything you need to know about editing or adding a footer in PowerPoint.

So, let’s get started!

1. How to Change Footer Text in PowerPoint? 

As mentioned earlier, if you are unable to select the footer elements directly on the slide, you will have to go to the “ Slide Master ” view and change the footer in the “ Master Slide. ”

Don’t worry, I’ve described the complete process in a step-by-step manner below.

Step-1: Select the “Slide Master View” option

The first step of the process is to go to the “ View ” tab from the ribbon the select the “ Slide Master View ” option, which is located inside the “ Master Views ” section.

This will take you to the “ Slide Master ” view.

Step-2: Select the “Footer” in the “Master Slide”

After you have opened the “ Slide Master ” view, you will notice that the slides in the “ Slide Navigation ” bar have changed.

Here, you can edit almost all parts of the layout of the slides in your presentation. The first slide in this view, the slide that is a little bit to the left from all the other slides is the “ Master Slide ”.

In this step, you have to select the footer which will enable you to edit the text inside the “ Text Box ” of the footer.

Step-3: Edit the text

In this step, after you select the “ Text Box ” of the footer, all you have to do is to edit the text of the footer and then select anywhere outside the “ Text Box ”.

After that, click on the “ Close Master Views ” option to close the “ Slide Master ” view and you will notice that the edit in the footer has been updated to all slides.

2. How to Remove Footer from All Slides in PowerPoint? 

To remove Footers from all the slides in your PowerPoint presentation, you have to delete the footer in the “ Master Slide ” in the “ Slide Master ” view of your presentation.

Go to the “ Slide Master ” view and follow the process described in the 3 steps below.

Step-1: Open the “Slide Master” View

The first step is to open the Slide Master view in PowerPoint as we did in the previous section.

Step-2: Select the Footer in the “Master Slide”

After accessing the “ Slide Master ” view, the first thing that you have to do is to go to the “ Master Slide ” and select the “ Text Box ” of the footer.

To do that, you have to “ Left click ” once on the “ Text Box ” and the border of the text box will appear indicating that it has been selected.

Step-2: Press the “Back Space” or “Delete” keys

While keeping the “ Text Box ” of the footer in the “ Master Slide ” selected, hit the “ Back Space ” on the keyboard of your computer and the footer will be removed instantly.

Since edits on the “ Master Slides ” apply to all the slides that are following the layout, the footers from all the slides will be removed by removing them from the “ Master Slide ”.

3. How to Add Footer to All Slides in PowerPoint? 

Open the “ Slide Master ” view (as described in the previous sections) and follow the steps given below to add a footer to all slides in PowerPoint.

Step-1: Go to the “Header & Footers” option

After opening the “ Slide Master ” view, the first step is to click on the “ Header & Footer ” option which is located in the “ Text ” section of the “ Insert ” tab. This will open a pop-up window.

Step-2: Check the Footer box and type in the text

From the pop-up window, click on the box next to the “ Footer ” option and then type in the text that you want to add in all the slides as a footer inside the rectangular box below.

After that, click on the “ Apply to All ” button and the footer will be added to all the slides in your PowerPoint presentation.

4. How to Add Logo to a Footer in PowerPoint? 

To add a logo in the footer of your PowerPoint presentation, you have to insert an image in the “ Master Slide ” of your presentation.

Go to the “ Master Slide ” using the steps described earlier and follow the instructions given below.

Step-1: Open the Slide Master View

As usual, in order to make changes to the complete presentation, you will need to open the “Slide Master”.

Step-2: Insert the Logo to the Master Slide

Once you are in the “Master View”, the first step to adding an image/logo in the footer of your PowerPoint presentation is to upload the logo to your presentation. Go to the “ Insert ” tab and click on the “ Pictures ” option, which is located in the “ Images ” section.

This will open a drop-down menu. From the drop-down menu, click on “This Device.”

Step-3: Select the logo file

After you click on “ This Device ”, a new window will pop up on your screen. From that window, go to the folder on your computer which contains the logo you want to add and click on it. Then hit the “ Open ” button at the bottom right corner of the pop-up window to add it to your PowerPoint presentation.

Step-4: Format the logo and place it in the area of the footer

After adding the image to the slide, simply resize it and place it in your preferred area as a footer. This will add the logo to all the slides that are using the layout of the “ Master Slide ” in your PowerPoint presentation.

5. Can You Add Multiple Footer in a PowerPoint Presentation? 

Unfortunately, you can’t add multiple footers in your PowerPoint presentation directly. However, there is a workaround to this problem. The “ Master Slide ” in the “ Slide Master ” view is a master key to all the slides with the layout of the “ Master Slide ”.

You can use two different custom layouts to create a two-footer option. Then, when designing your presentation, simply choose the type of custom layout for the slide depending on the type of footer required.

Let me show you step by step how this can be achieved.

Step 1 – Go to the Slide Master View

As always, the first step is to go to the slide master view. By now, you should know exactly how this can be done. If you are not sure, simply scroll up and read through the first section of this article.

Step 2 – Add a Custom Layout

To add a custom layout, simply click on the “ Insert Layout ” option in the ribbon. This will add a new custom slide layout after the select layout slide.

Step 3 – Delete All Placeholders

The next thing that you want to do is to delete all the placeholders so that you are left with a blank slide.

To delete, simply click anywhere on the slide (outside the boxes), and press “Ctrl+A”. This is a shortcut to select all. Then, press the “Delete” or “Backspace” key on your keyboard.

You will now be left with a blank custom layout slide.

Step 4 – Duplicate the Blank Custom Layout Slide

Next, create a copy of this blank custom layout slide that we just created. You can do this by simply using copy and paste in PowerPoint .

Alternatively, you can also right-click on the slide, and from the options, choose “ Duplicate Layout “.

Step 5 – Create Multiple Custom Footers

Now, create the two different footers on both the custom layout slides respectively. Do so just as you would on a normal slide.

For the sake of this example, I’ve added the logo of my brand – artofpresentation.

Step 6 – Rename the Custom Layouts

Now, rename the custom layouts so that you are able to easily identify the two layouts with two different footers and exit the slide master view.

Step 7 – Selecting the Layouts

The final step of the process is in the front end.

When inserting the slide with the custom layout option, simply click on the “Home” tab . Then, click on “Layout”. From the dropdown, choose the layout with the custom footer that you want to apply.

As you can see in the image above, two different footer styles have been applied to two different slides using custom slide layouts in the slide master view.

One thing to remember is that make sure that you delete any pre-existing footer from the “Master Slide” in the slide master view.

You can also add the footer directly to a specific slide in “Normal View” . To do that, create a custom blank layout by deleting the elements as mentioned in the steps above.

Then, in “Normal View”, insert the blank custom layout, and add the elements directly to the footer of a specific slide instead of using the “Slide Master View”.

6. How to Lock Footer in PowerPoint? 

There is no direct way to lock the footer of your presentation in Microsoft PowerPoint so that other people with the PowerPoint file cannot edit it.

However, there are third-party software that can help you to do this. I would like to recommend “ OfficeOne: Shape Locker. ” It is a software that allows you to lock not only the footer in your PowerPoint presentation but also headers, shapes, objects, images, and more.

To use this software, all you have to do is download it from their website using this link and it will be automatically integrated into your PowerPoint. You will find it in the “Design” tab of your PowerPoint presentation. 

7. PowerPoint Footer Not Showing? Here’s What to Do!

Some users have complained that they can’t add a footer or the footer that they have added to their PowerPoint presentation is not showing on the slides. This may happen because there is no placeholder for a footer in the “ Master Slide ” of your PowerPoint presentation.

To add a placeholder in the “ Master Slide ” of your presentation, follow the simple steps given below.

Step-1: Select the “Master Layout” option

The first step is to “ Right Click ” on the “ Master Slide ” and select the “ Master Layout ” option which is the second to last option in the drop-down menu.

Step-2: Ensure that the “Footer” is enabled

In this last step, all you have to do is to click on the box right before the “ Footer ” option and then hit the “ OK ” button at the bottom right corner of the pop-up window.

After that a placeholder for the footer will be added to your “ Master Slide ” and you will be able to see the footer in your PowerPoint presentation.

Presenters often need to edit PowerPoint templates or Google Slides templates edited using PowerPoint to replace the default header and footer information. There is more than one way to add or edit a PowerPoint header, with some methods that can help embed more comprehensive branding features across your slides, such as SlideMaster.

If you want to edit the header in PPT or make changes to the footer, go to Insert -> Text -> Header and Footer .

The Slide tab gives the options to add and edit the header and footer for your slides. You can add a fixed or automatically generated date, slide number, and footer text from here. These changes can also be hidden from the title slide by selecting the Don’t Show on the title slide option. Select Apply to apply the change to the current slide, or select Apply to All to apply the changes to all slides.

How to Edit Manually Added Header in PowerPoint

Sometimes, presentations might contain manually added headers and footers. Presenters add these individually by inserting images (such as a logo) and text boxes.

Similarly, you can add a textbox via Insert -> Text -> Text Box to insert a manual header.

If the information is already added, you can simply edit it by selecting and editing text or adding or removing images.  In such a case, the added header and footer can be edited in Normal mode. However, if you cannot edit it, you might need to switch to Slide Master. 

How to Edit Header using SlideMaster

A header in PPT that is applied across one or more slides and isn’t editable in Normal mode will need to be edited via SlideMaster. To access SlideMaster go to View -> SlideMaster .

Go to the Master Slide and head over to Insert -> Header and Footer.

The changes made here can be applied to one or more slides in your slide deck by editing the Master Slide.

We changed all slides to keep your slide deck uniform with a standard header using SlideMaster. This method can help make it easier to incorporate branding and other information necessary for the presentation automatically.

Final Words

To add a simple header with text, timestamp, and other information, you can use the default option via Insert -> Text -> Header & Footer either from Normal view or via SlideMaster to make more sweeping changes to your slide deck. Additionally, you can add a logo or other images and related information in SlideMaster or manually in Normal mode to suit your needs.

1. Open the Header and Footer PowerPoint Window

Let's go ahead and switch to the Insert tab on PowerPoint ribbon to get started. Now find the text section on the right side of the menu and let's click on Header and Footer .

2. Set the Date and Time PowerPoint Slide Options

Now the first option that you might want to add is the date and time, which you can add by checking the box for Date and Time . This adds the current date and time to each and every slide automatically. I like to leave the Update Automatically box checked, so that PowerPoint will always have the date I present or print my slides.

3. Edit Your PowerPoint Footer Slide Information

Next, you can tick the Slide number to add that to each slide and it automatically increases on every slide. Also, click the Footer checkbox so that you can add your very own custom text to each slide's footer. You can type something that you want add to each slide. And lastly, I like to check the option to Don't show on title slide , to not show any of these things on the very first slide.

4. Now Your PowerPoint Slides Will Show the Changes 

When you press Apply to All , you'll notice that each slide has the data we add. You can see as we change slides that each slide automatically adapts the slide number.

Headers and footers in PowerPoint are great for adding those important details to your presentation, whether it’s slide numbers, date and time, or other information. You can easily add a header or a footer in PowerPoint, then customize and edit it to fit your presentation better.

Why Use Headers and Footers in PowerPoint

Headers and footers appear at the top and bottom of your slides and are there to display additional information. After you insert a header or a footer, you can always edit and add more data to it. However, be careful not to overload your audience with it.

The most common use of headers and footers in PowerPoint is to help your audience follow the presentation. You can add page and slide numbers which will help you keep track of where you are when presenting the content. Plus, it’ll be easier for you to see if you’re going to finish presenting on time, or if you’re a little behind by following the page numbers. 

You can also use headers and footers to insert some of your personal information, like your brand name or some personal details that you want to be displayed in front of your colleagues. It’ll be helpful for your audience to remember your name and address you by it during the Q&A section or after you finish the presentation.

To insert headers and footers into your PowerPoint presentation, follow the steps below.

  • Open your PowerPoint presentation.
  • Select Insert .
  • Select Header and Footer .

  • In the Header and Footer window you’ll see two options: you can add headers and footers to your slides, or you can add them to your notes and handouts. Select the right tab and proceed adding your information to the headers or footers in your presentation.

When you open the Header and Footer window, you’ll see there are different types of headers and footers that you can add to your slideshow.

Under Slide , the first option is the Date and time footer that you can add to your slides. You can either have your Date and time footer update automatically , meaning that every time you open the presentation the date and time will be updated automatically. Alternatively, you can select to have it Fixed , meaning that the original date and time will stay the same, even if you open your presentation a month from now.

The second option is Slide number . This one’s self-explanatory, you can use it to display a page number either on one of your slides or on all of them.

The last option is Footer , which gives you more space to add your personal info at the bottom of your slides.

You’ll find similar options under Notes and Handouts . You can choose to add a Date and time header, a Header with your personal info, a Page number , or a Footer .

You can select whether you want to add headers and footers to all of your slides, or to a selected one. Select Apply to insert your header or footer into the selected slide, or Apply to All if you want to add it to all of your slides at once.

After you choose the type of a header or a footer that you want to add, you can check the way they’ll appear in your presentation on the right side of the Header and Footer window under Preview .

If you’re not happy with the way your headers and footers appear in your presentation, you can always edit them to suit your slideshow better.

When you want to change a header or a footer on just one of your slides, you can easily do it by selecting the text of the said header or footer. You can then edit the text as you would any other part of your PowerPoint slide. To edit the format of the text, highlight it and then use the formatting tools on top of your PowerPoint slide.

To edit headers or footers on all of your slides at once, follow the path Insert > Header and Footer and then edit the text in the Header and Footer window.

If you need to edit the format of your headers and footers on all slides, like changing the font or the size of the text, follow the path View > Master > Slide Master . Then on the left side of the screen select the top slide. Highlight the header or the footer that you want to edit and use the formatting tools on top of the PowerPoint window to change the format of the text.

To exit the Slide Master view, select View > Normal . Your changes will now appear on all of your slides.

If you’re wanting to reuse a PowerPoint presentation but would like to clear the slideshow's formatting, there’s no need to do it slide by slide---you can do it all at once. Here’s how.

First, open the PowerPoint presentation with the formatting you want to edit. To illustrate the before and after, here’s what we’ll be working with in this example.

Looking even closer, here are the formats our current slideshow is using:

  • Colors: Gallery
  • Headings: Gill Sans MT
  • Body: Gill Sans MT
  • Effects: Gallery
  • Background Style: Style 10
  • Background Graphics: Wooden Flooring

Once you’re ready to reformat, select the “ Slide Master ” option in the “Master Views” group of the “View” tab.

The first child slide is selected by default. Be sure to choose the parent slide above it, or the changes won’t take place for every slide.

If you want to assign a new theme to the presentation, you can do that here. Select “Themes” from the “Edit Theme” group and choose your desired theme from the drop-down menu.

Each theme comes with its own unique set of fonts, colors, effects, and so on---and there's certainly no shortage of items to choose from. If you want to stick with your current theme but change some of the individual formatting options, you can do so with the options available in the “Background” group.

Here are the different options available for reformatting:

  • Colors: Changes all the colors used in your presentation, as well as the color options available in the color picker.
  • Fonts: Changes all the headings and body fonts used in the presentation.
  • Effects: Changes the appearance (shading, border, etc.) of objects in your presentation.
  • Background Styles: Choose the background style for the selected theme.
  • Hide Background Graphics: Hide (or unhide) background graphics that come with a theme. This can only be used on each slide type in the Master view.

To make changes, select the option from the menu and choose your desired change from the menu that opens. For example, if we wanted to change our colors from “Gallery” to “Green Yellow,” we’d select “Colors” from the “Background Group” and then choose “Green Yellow” from the drop-down menu.

Repeat these steps for whichever options you’d like to change. We’ll make the following changes to our slideshow in this example:

  • Colors: Green Yellow
  • Headings: Calibri
  • Body: Calibri
  • Effects: Glossy
  • Background Styles: Style 10
  • Hide Background Graphics: Title Slide only

Once you’ve made the desired changes, select the “Close Master View” button in the “Close” group.

Do you want text to appear at the top and bottom of your slides? Adding headers and footers is as easy as clicking a few buttons! Note that you cannot add headers and footers using the mobile app on your Android, iPhone, or iPad. This wikiHow article teaches you how to add Headers and Footers in PowerPoint on Windows and Mac computers.

Quickly Adding a Header and Footer

  • Go to Insert > Header & Footer .
  • Choose your header options, like the date and text.
  • Decide whether to display slide numbers.
  • Click Apply to All .

Step 1 Click the Insert tab and select Header & Footer.

  • If you want to create a header for your slideshow, go to View > Master and then create an image or text box on the Master so it'll show up on each slide.

Step 4 Check the

  • Check the box next to "Page Number" if you want each slide numbered in the footer.

Step 5 Click Apply to All to save your changes.

  • You can also adjust the Header location. If you want to move the header to another place on the page, hold your mouse cursor over one of the lines surrounding it until a 4-way arrow cursor appears. Hold the mouse button down and drag the header to another location.
  • Moving the header to another location on the Notes Master will not move it on the Handout Page—you’ll have to switch to the Handout Master on the Views tab if you want to reposition the header in that style of printout.
  • Footers can also be moved this way.

Powerpoint 2016 - Inserting automatic titles/headers based on section name

I have my slides organised into sections, and would like each slide to automatically have its title (header) be of the form "SectionName >> Subtitle". SectionName should be the name of the section that contains the current slide, and Subtitle is text I would input manualy for each slide (ideally in text rather than slide view; for that I guess I'd have to use outlineView, and thus that my titles have to function as the slides' Title rather than as a simple text heading).

Also, is there any way to make sections organised hierarchically, much like Heading1, Heading2 etc styles in Word, and collapse a certain section with all of its subsections? If so, it would be excellent to have the titles actually named as "Section1Name>>Section2Name>>..>>ManualSubtitle".

  • 3 PowerPoint doesn't have anything like this built-in, but it should be possible with some VBA or other programming. If you have some VBA experience, give it a shot and if you get into trouble, post your code on StackOverflow and ask for help. –  Steve Rindsberg Commented Jun 7, 2016 at 2:19

Basically, converting Steve Rindsberg's comment into an answer:

PowerPoint has no function like this built-in.

However, like most Office products, PowerPoint does have the very powerful VBA macro engine, which would certainly be capable of doing this.

Your macro would have to capture the Section name based on whatever parameters you choose to use to mark that, and then it could place that information anywhere you please within subsequent slides.

Because slides are more about visual layout than programmatic auto-creation, this is something you'd have to build yourself.

But, also like Steve Rindsberg noted: Get something started and as you come upon questions, our programming sister site StackOverflow would be a great place to ask them.

Show footer information on your slides

You can add information like a presentation title or the words ‘Company Confidential’ to the bottom of your slides. You can also add things like the date and time, and slide numbers.

Click INSERT > Header & Footer .

On the Slide tab, check Footer .

In the box below Footer , type the text that you want, such as the presentation title.

Check Date and time to add that to your slides.

Check Slide number to add that to your slides.

To stop the footer from appearing on the title slide, check Don't show on title slide .

Click Apply to All . Or, if you want the footer information only on the selected slide, click Apply instead of Apply to All .

In our Contoso Pharmaceuticals presentation, we are ready to add headers and footers.

We want slide numbers everywhere, but on the title slide, and we want the date only on the title slide. How do we do that?

To review our options, let’s click INSERT , Header & Footer . In the Header and Footer dialog box, the Slide tab is selected.

Note this option: Don’t show on title slide . This allows me to make an exception for the title slide.

So, I’ll check everything I want for all the other slides: Slide number and Footer , where I’ll type the company’s web address.

I’ll click Don’t show on title slide , and then Apply to All , to apply these choices everywhere else.

The title slide is unaffected and the slide number and footer appear on the other slides.

Let’s Zoom In for a better view. I don’t really like the green color for the footer — it’s hard to see.

But that is a formatting issue, and we’ll deal with that in Movie 3.

I’ll zoom back out.

To apply what we want on the title slide, we’ll select that slide, and click Header & Footer .

Now, the effect of the option Don’t show on title slide is to clear all the check boxes for the title slide.

A way around that is to choose what I want for the title slide and click Apply , which affects only the selected slide.

So, I’ll check Date and time , leave it set to Update automatically , and select a date format.

The formats include Just the date , The date and time , or Just the time . I’ll choose a Simple date .

I’d also like to include the text footer, the web address, on the title slide. So, I’ll check Footer .

Last, we’ll uncheck Don’t show on title slide and click Apply .

The date and the text footer appear, but not the slide number. That’s what we want.

Note that the vertical formatting here is determined by the layout for this title slide.

The other slides are unaffected by my choices for the title slide.

We now have two sets of options applied. When I select the title slide and click Header & Footer to open the dialog box, I see the selections I made for this slide, the date and footer.

As long as I click Apply , rather than Apply to All , the settings here affect only the title slide.

When I select Slide 2 and click Header & Footer , I see the selections I have applied to all the other slides, the slide number and footer.

If I make a change here, such as unchecking the Footer box, and click Apply to All the footer disappears from the slides, and the change also applies to the title slide, which now shows a slide number and nothing else.

I’ll need to reopen the Header & Footer dialog box for the title slide, reselect what I want for that slide, and click Apply .

  • Open your PowerPoint presentation and go to the “View” tab.
