Knowing how to write an essay can help you out significantly in both, your academic and professional life. An essay is a highly versatile nonfiction piece of writing that not only tests your knowledge of a topic but also your literary and argumentative skills.     

Each essay requires the same basic process of planning, writing, and editing. Naturally, we’ve used these stages to group our steps on how to write an essay. So w ithout further ado, let’s get into it! Here are the eight steps to write an essay:

Stage 1: Planning

1. Pick an appropriate research topic

In certain cases, your teacher or professor may assign you a topic. However, in many cases, students have the freedom to select a topic of their choice. Make sure you choose a topic that you’re well versed in and have significant knowledge of. 

Having prior knowledge of the topic will help you determine the subsequent steps to write an essay. It will also make your research process considerably easier.

2. Form an appropriate thesis statement

A thesis statement is the central idea or premise your essay is based on. It is usually a sentence or two long and is included in the introduction of the essay. The scope of your thesis statement depends on the type of your essay and its length.

For instance, the scope of the thesis statement for a 500–1000 word school essay will be narrower than a 1000–5000 word college essay. A rule of thumb is that your essay topic should be broad enough to gather enough information, but narrow enough to address specific points and not be vague. Here’s an example: 

The invention of the airplane by the Wright Brothers in 1903 revolutionized transportation and paved the way for modern aviation. It represents a monumental achievement in human history that forever changed the course of human civilization.

3. Create an essay outline

Creating a well-organized essay outline not only gives structure and flow to your essay but also makes it more impactful and easy to understand. The idea is to collect the main points of information that support or elaborate on your thesis statement. You can also include references or examples under these main points. 

For example, if your thesis statement revolves around the invention of the airplane, your main points will include travel before the invention of the airplane, how it was invented, and its effects on modern-day travel. Take a look:

The Wright Brothers’ invention had a massive impact on modern-day travel. The subsequent growth of the aviation industry led to increased accessibility of air travel to the general public.

Stage 2: Writing

4. Write a comprehensive introduction

After creating the basic outline, it is important to know how to write an essay. Begin your essay by introducing your voice and point of view to the reader. An introduction is usually a paragraph or two long and consists of three main parts:

  • Background information
  • Thesis statement

Let’s better understand this with the help of an example:

The Wright Brothers’ invention of the airplane in 1903 revolutionized the way humans travel and explore the world. Prior to this invention, transportation relied on trains, boats, and cars, which limited the distance and speed of travel. However, the airplane made air travel a reality, allowing people to reach far-off destinations in mere hours. This breakthrough paved the way for modern-day air travel, transforming the world into a smaller, more connected place. In this essay, we will explore the impact of the Wright Brothers’ invention on modern-day travel, including the growth of the aviation industry, increased accessibility of air travel to the general public, and the economic and cultural benefits of air travel.

Let’s understand how to construct each of these sections in more detail.

A. Construct an attractive hook

The opening sentence of an essay, also known as the hook, should include a powerful or startling statement that captures the reader’s attention. Depending on the type of your essay, it can be an interesting fact, a surprising statistic, or an engaging anecdote. 

B. Provide relevant background information

While writing the introduction, it’s important to provide context or background information before including the thesis statement. The background information may include the time before a groundbreaking invention, the pros and cons of a significant discovery, or the short- and long-term effects of an event.

C. Edit the thesis statement

If you’ve constructed your thesis statement during the outlining stage, it’s time to edit it based on the background information you’ve provided. Observe the slight changes we’ve made to the scope of the thesis statement in the example above. This accommodates the bits of information we’ve provided in the background history.

5. Form relevant body paragraphs

Body paragraphs play a crucial role in supporting and expanding the central argument presented in the thesis statement. The number of body paragraphs depends on the type of essay as well as the scope of the thesis statement.

Most school-level essays contain three body paragraphs while college-level essays can vary in length depending on the assignment.

A well-crafted body paragraph consists of the following parts:

  • A topic sentence
  • Supporting information
  • An analysis of the information
  • A smooth transition to the next paragraph

Let’s understand this with the help of an example. 

The Wright Brothers’ invention of the airplane revolutionized air travel. They achieved the first-ever successful powered flight with the Wright Flyer in 1903, after years of conducting experiments and studying flight principles. Despite their first flight lasting only 12 seconds, it was a significant milestone that paved the way for modern aviation. The Wright Brothers’ success can be attributed to their systematic approach to problem-solving, which included numerous experiments with gliders, the development of a wind tunnel to test their designs, and meticulous analysis and recording of their results. Their dedication and ingenuity forever changed the way we travel, making modern aviation possible.

Here’s a detailed overview of how to construct each of these sections.

A. Construct appropriate topic sentences

A topic sentence is the title of the body paragraph that elaborates on the thesis statement. It is the main idea on which the body paragraph is developed. Ensure that each topic sentence is relevant to the thesis statement and makes the essay flow seamlessly. 

The order of topic sentences is key in creating an impactful essay. This order varies depending on the type of essay you choose to write. These sentences may be arranged chronologically, in the order of importance, or in a cause-and-effect format.

B. Provide supporting information

It is necessary to provide relevant supporting information and evidence to validate your topic statement. This may include examples, relevant statistics, history, or even personal anecdotes.

You should also remember to cite your sources wherever you use them to substantiate your arguments. Always give researchers and authors credit for their work!

C. Analyze the supporting information

After presenting the appropriate evidence, the next step is to conduct an in-depth analysis. Establish connections and provide additional details to strengthen the link between your topic sentence and the supporting information. 

Depending on the type of essay, this step may also involve sharing your subjective opinions and key takeaways.

D. Create a smooth transition

In case you plan to create multiple body paragraphs, it is crucial to create a seamless transition between them. Transitional statements not only make the essay less jarring to read but also guide the reader in the right direction.

However, these statements need not be too lengthy and complicated. Use words such as “however”, “in addition to”, and “therefore” to convey transitions.

6. Construct an impactful conclusion

An impactful conclusion creates a lasting impression on the mind of the reader. Although it varies in length depending on the specific essay, the conclusion is typically a paragraph long.

It consists of

  • A restated thesis statement
  • Summary of the main points
  • The broader implications of the thesis statement

Here’s an example of a well-structured conclusion:

The Wright Brothers’ invention of the airplane forever changed history by paving the way for modern aviation and countless aerospace advancements. Their persistence, innovation, and dedication to problem-solving led to the first successful powered flight in 1903, sparking a revolution in transportation that transformed the world. Today, air travel remains an integral part of our globalized society, highlighting the undeniable impact of the Wright Brothers’ contribution to human civilization.  

Let’s take a closer look at how to construct each of these sections.

A. Restate the thesis statement

Your conclusion should call back to your original argument or thesis statement.

However, this does not mean repeating the thesis statement as is. The essence of your argument should remain the same, but it should also be modified and evolved as per the information presented in your essay.

B. Summarize important points

A powerful conclusion not only lingers in the reader’s mind but also provokes thought. You can create a strong impression on the reader by highlighting the most impactful points of your essay.

C. State the greater implications

End your essay with the most powerful and impactful part: the larger perspective. This can‌ include a question you’d like to leave the reader with, the broader implications and impact of your thesis statement, or the long-term, lingering effects of your experience. 

Make sure to include no new evidence or arguments, or to undermine your findings in any way. 

Stage 3: Editing

7. Review your essay

Knowing how to write an essay is just one part of essay writing. Properly reviewing and editing your essay is just as important. Make sure to spend enough time going over your essay and adding any bits of information that you’ve missed. 

This is also a good time to make minor structural changes in your essay.

8. Thoroughly proofread your essay

After making the necessary structural changes, recheck your essay word by word. It is important to not only correct major grammatical and spelling errors but also minor errors regarding the phrasing or tone of voice.

You can either choose to do this by yourself, ask a friend for assistance, or hire an essay proofreading service to go over your writing. To construct a fool-proof, error-free essay, it is helpful to have a trained pair of eyes go over it. Staring at a blank page before writing an essay can feel a little daunting . Where do you start? What should your introduction say? And how should you structure your arguments? They are all fair questions and we have the answers! Take the stress out of essay writing with this step-by-step guide – you’ll be typing away in no time. 👩‍💻

What is an essay?

Generally speaking, an essay designates a literary work in which the author defends a point of view or a personal conviction, using logical arguments and literary devices in order to inform and convince the reader.

So – although essays can be broadly split into four categories: argumentative, expository, narrative, and descriptive – an essay can simply be described as a focused piece of writing designed to inform or persuade. 🤔

The purpose of an essay is to present a coherent argument in response to a stimulus or question and to persuade the reader that your position is credible, believable and reasonable. 👌

So, a ‘good’ essay relies on a confident writing style – it’s clear, well-substantiated, focussed, explanatory and descriptive . The structure follows a logical progression and above all, the body of the essay clearly correlates to the tile – answering the question where one has been posed. 

But, how do you go about making sure that you tick all these boxes and keep within a specified word count? Read on for the answer as well as an example essay structure to follow and a handy step-by-step guide to writing the perfect essay – hooray. 🙌

Sometimes, it is helpful to think about your essay like it is a well-balanced argument or a speech – it needs to have a logical structure, with all your points coming together to answer the question in a coherent manner. ⚖️

Of course, essays can vary significantly in length but besides that, they all follow a fairly strict pattern or structure made up of three sections. Lean into this predictability because it will keep you on track and help you make your point clearly. Let’s take a look at the typical essay structure:  

#1 Introduction

Start your introduction with the central claim of your essay. Let the reader know exactly what you intend to say with this essay. Communicate what you’re going to argue, and in what order. The final part of your introduction should also say what conclusions you’re going to draw – it sounds counter-intuitive but it’s not – more on that below. 1️⃣

Make your point, evidence it and explain it. This part of the essay – generally made up of three or more paragraphs depending on the length of your essay – is where you present your argument. The first sentence of each paragraph – much like an introduction to an essay – should summarise what your paragraph intends to explain in more detail. 2️⃣

#3 Conclusion

This is where you affirm your argument – remind the reader what you just proved in your essay and how you did it. This section will sound quite similar to your introduction but – having written the essay – you’ll be summarising rather than setting out your stall. 3️⃣

No essay is the same but your approach to writing them can be. As well as some best practice tips, we have gathered our favourite advice from expert essay-writers and compiled the following 7-step guide to writing a good essay every time. 👍

#1 Make sure you understand the question

Now that you have familiarised yourself with the 7 steps standing between you and the perfect essay, let’s take a closer look at each of those stages so that you can get on with crafting your written arguments with confidence . 

This is the most crucial stage in essay writing – r ead the essay prompt carefully and understand the question. Highlight the keywords – like ‘compare,’ ‘contrast’ ‘discuss,’ ‘explain’ or ‘evaluate’ – and let it sink in before your mind starts racing . There is nothing worse than writing 500 words before realising you have entirely missed the brief . 🧐

Unless you are writing under exam conditions , you will most likely have been working towards this essay for some time, by doing thorough background reading. Re-read relevant chapters and sections, highlight pertinent material and maybe even stray outside the designated reading list, this shows genuine interest and extended knowledge. 📚

#3 Make a detailed plan

Following the handy structure we shared with you above, now is the time to create the ‘skeleton structure’ or essay plan. Working from your essay title, plot out what you want your paragraphs to cover and how that information is going to flow. You don’t need to start writing any full sentences yet but it might be useful to think about the various quotes you plan to use to substantiate each section. 📝

Having mapped out the overall trajectory of your essay, you can start to drill down into the detail. First, write the opening sentence for each of the paragraphs in the body section of your essay. Remember – each paragraph is like a mini-essay – the opening sentence should summarise what the paragraph will then go on to explain in more detail. 🖊️

Next, it's time to write the bulk of your words and flesh out your arguments. Follow the ‘point, evidence, explain’ method. The opening sentences – already written – should introduce your ‘points’, so now you need to ‘evidence’ them with corroborating research and ‘explain’ how the evidence you’ve presented proves the point you’re trying to make. ✍️

With a rough draft in front of you, you can take a moment to read what you have written so far. Are there any sections that require further substantiation? Have you managed to include the most relevant material you originally highlighted in your background reading? Now is the time to make sure you have evidenced all your opinions and claims with the strongest quotes, citations and material. 📗

This is your final chance to re-read your essay and go over it with a fine-toothed comb before pressing ‘submit’. We highly recommend leaving a day or two between finishing your essay and the final proofread if possible – you’ll be amazed at the difference this makes, allowing you to return with a fresh pair of eyes and a more discerning judgment. 🤓

Essays, short prose compositions on a particular theme or topic, are the bread and butter of academic life. You write them in class, for homework, and on standardized tests to show what you know. Unlike other kinds of academic writing (like the research paper) and creative writing (like short stories and poems), essays allow you to develop your original thoughts on a prompt or question. Essays come in many varieties: they can be expository (fleshing out an idea or claim), descriptive, (explaining a person, place, or thing), narrative (relating a personal experience), or persuasive (attempting to win over a reader). This guide is a collection of dozens of links about academic essay writing that we have researched, categorized, and annotated in order to help you improve your essay writing. 

Essays are different from other forms of writing; in turn, there are different kinds of essays. This section contains general resources for getting to know the essay and its variants. Transitions facilitate the flow from one paragraph to the next so that support for your thesis builds throughout the essay. "Avoiding Plagiarism" (MIT Comparative Media Studies)

Go Teen Writers is an online community for writers aged 13 - 19. It was founded by Stephanie Morrill, an author of contemporary young adult novels. 

Tumblr is a blogging website where you can share your writing and interact with other writers online. It's easy to add photos, links, audio, and video components.

Writersky provides an online platform for publishing and reading other youth writers' work. Its current content is mostly devoted to fiction.

Publishing Your Essays Online

This teen literary journal publishes in print, on the web, and (more frequently), on a blog. It is committed to ensuring that "teens see their authentic experience reflected on its pages."

The Matador Review

This youth writing platform celebrates "alternative," unconventional writing. The link above will take you directly to the site's "submissions" page.

Teen Ink has a website, monthly newsprint magazine, and quarterly poetry magazine promoting the work of young writers.

Do you dread essay writing? Are you looking for some essay tips that will help you write an amazing essay—and have fun doing it?

Lots of students, young and old, dread essay writing. It's a daunting assignment, one that takes research, time, and concentration.

It's also an assignment that you can break up into simple steps that make writing an essay manageable and, yes, even enjoyable.

These ten essay tips completely changed my writing process—and I hope that they can do the same for you.

Essay Writing Can Be Fun

Honestly, throughout most of high school and college, I was a mediocre essay writer.

Every once in a while, I would write a really good essay, but mostly I skated by with B's and A-minuses.

I know personally how boring writing an essay can be, and also, how hard it can be to write a good one.

However, toward the end of my time as a student, I made a breakthrough. I figured out how to not only write a great essay, I learned how to have fun while doing it . 

And since then, I've become a professional writer and have written more than a dozen books. I'm not saying that these essay writing tips are going to magically turn you into a writer, but at least they can help you enjoy the process more.

I'm excited to share these ten essay writing tips with you today! But first, we need to talk about why writing an essay is so hard.

Why Writing an Essay Is So Hard

When it comes to essay writing, a lot of students find a reason to put it off. And when they tackle it, they find it difficult to string sentences together that sound like a decent stance on the assigned subject.

Here are a few reasons why essay writing is hard:

  • You're trying to write something your teacher or professor will like
  • You're trying to get an A instead of writing something that's actually good
  • You want to do the least amount of work possible

The biggest reason writing an essay is so hard is because we mostly focus on those external  rewards like getting a passing grade, winning our teacher's approval, or just avoiding accusations of plagiarism.

The problem is that when you focus on external approval it not only makes writing much less fun, it also makes it significantly harder.

Because when you focus on external approval, you shut down your subconscious, and the subconscious is the source of your creativity.

The subconscious is the source of your creativity.

What this means practically is that when you're trying to write that perfect, A-plus-worthy sentence, you're turning off most of your best resources and writing skills.

So stop. Stop trying to write a good essay (or even a “good-enough” essay). Instead, write an interesting  essay, write an essay you think is fascinating. And when you're finished, go back and edit it until it's “good” according to your teacher's standards.

Yes, you need to follow the guidelines in your assignment. If your teacher tells you to write a five-paragraph essay, then write a five-paragraph essay! If your teacher asks for a specific type of essay, like an analysis, argument, or research essay, then make sure you write that type of essay!

However, within those guidelines, find room to express something that is uniquely you .

I can't guarantee you'll get a higher grade (although, you almost certainly will), but I can absolutely promise you'll have a lot more fun writing.

The Step-by-Step Process to Writing a Great Essay: Your 10 Essay Writing Tips

1. Remember your essay is just a story.

Every story is about conflict and change, and the truth is that essays are about conflict and change, too! The difference is that in an essay, the conflict is between different ideas , and the change is in the way we should perceive those ideas.

That means that the best essays are about surprise: “You probably think it's one way, but in reality, you should think of it this other way.” See tip #3 for more on this.

How do you know what story you're telling? The prompt should tell you.

Any list of essay prompts includes various topics and tasks associated with them. Within those topics are characters (historical, fictional, or topical) faced with difficult choices. Your job is to work with those choices, usually by analyzing them, arguing about them, researching them, or describing them in detail.

2. Before you start writing, ask yourself, “How can I have the most fun writing this?”

It's normal to feel unmotivated when writing an academic essay. I'm a writer, and honestly, I feel unmotivated to write all the time. But I have a super-ninja, judo-mind trick I like to use to help motivate myself.

Here's the secret trick: One of the interesting things about your subconscious is that it will answer any question you ask yourself. So whenever you feel unmotivated to write your essay, ask yourself the following question:

“How much fun can I have writing this?”

Your subconscious will immediately start thinking of strategies to make the writing process more fun.

The best time to have your fun is the first draft. Since you're just brainstorming within the topic, and exploring the possible ways of approaching it, the first draft is the perfect place to get creative and even a little scandalous. Here are some wild suggestions to make your next essay a load of fun:

  • Research the most surprising or outrageous fact about the topic and use it as your hook.
  • Use a thesaurus to research the topic's key words. Get crazy with your vocabulary as you write, working in each key word synonym as much as possible.
  • Play devil's advocate and take the opposing or immoral side of the issue. See where the discussion takes you as you write.

3. As you research, ask yourself, “What surprises me about this subject?”

The temptation, when you're writing an essay, is to write what you think your teacher or professor wants to read.

Don't do this .

Instead, ask yourself, “What do I find interesting about this subject? What surprises me?”

If you can't think of anything that surprises you, anything you find interesting, then you're not searching well enough, because history, science, and literature are all brimming   over with surprises. When you look at how great ideas actually happen, the story is always, “We used  to think the world was this way. We found out we were completely wrong, and that the world is actually quite different from what we thought.”

These pieces of surprising information often make for the best topic sentences as well. Use them to outline your essay and build your body paragraphs off of each unique fact or idea. These will function as excellent hooks for your reader as you transition from one topic to the next.

4. Overwhelmed? Write five original sentences.

The standard three-point essay is really made up of just five original sentences surrounded by supporting paragraphs that back up those five sentences. If you're feeling overwhelmed, just write five sentences covering your most basic main points.

Here's what they might look like for this article:

  • Introductory Paragraph:  While most students consider writing an essay a boring task, with the right mindset, it can actually be an enjoyable experience.
  • Body #1: Most students think writing an essay is tedious because they focus on external rewards.
  • Body #2: Students should instead focus on internal fulfillment when writing an essay.
  • Body #3: Not only will focusing on internal fulfillment allow students to have more fun, it will also result in better essays.
  • Conclusion: Writing an essay doesn't have to be simply a way to earn a good grade. Instead, it can be a means of finding fulfillment.

After you write your five sentences, it's easy to fill in the paragraphs for each one.

Now, you give it a shot!

5. Be “source heavy.”

In college, I discovered a trick that helped me go from a B-average student to an A-student, but before I explain how it works, let me warn you. This technique is powerful , but it might not work for all teachers or professors. Use with caution.

As I was writing a paper for a literature class, I realized that the articles and books I was reading said what I was trying to say much better than I ever could. So what did I do? I quoted them liberally throughout my paper. When I wasn't quoting, I re-phrased what they said in my own words, giving proper credit, of course. I found that not only did this formula create a well-written essay, it took about half the time to write.

It's good to keep in mind that using anyone else's words, even when morphed into your own phrasing, requires citation. While the definition of plagiarism is shifting with the rise of online collaboration and cooperative learning environments, always  err on the side of excessive citation to be safe.

When I used this technique, my professors sometimes mentioned that my papers were very “source” heavy. However, at the same time, they always gave me A's.

To keep yourself safe, I recommend using a 60/40 approach with your body paragraphs: Make sure 60% of the words are your own analysis and argumentation, while 40% can be quoted (or text you paraphrase) from your sources.

Like the five sentence trick, this technique makes the writing process simpler. Instead of putting the main focus on writing well, it instead forces you to research  well, which some students find easier.

6. Write the body first, the introduction second, and the conclusion last.

Introductions are often the hardest part to write because you're trying to summarize your entire essay before you've even written it yet. Instead, try writing your introduction last, giving yourself the body of the paper to figure out the main point of your essay.

This is especially important with an essay topic you are not personally interested in. I definitely recommend this in classes you either don't excel in or care much for. Take plenty of time to draft and revise your body paragraphs before  attempting to craft a meaningful introductory paragraph.

Otherwise your opening may sound awkward, wooden, and bland.

7. Most essays answer the question, “What?” Good essays answer the “Why?” The best essays answer the “How?”

If you get stuck trying to make your argument, or you're struggling to reach the required word count, try focusing on the question, “How?”

For example:

  • How did J.D. Salinger convey the theme of inauthenticity in  The Catcher In the Rye ?
  • How did Napoleon restore stability in France after the French Revolution?
  • How does the research prove girls really do rule and boys really do drool?

If you focus on how, you'll always have enough to write about.

8. Don't be afraid to jump around.

Essay writing can be a dance. You don't have to stay in one place and write from beginning to end.

For the same reasons listed in point #6, give yourself the freedom to write as if you're circling around your topic rather than making a single, straightforward argument. Then, when you edit and proofread, you can make sure everything lines up correctly.

In fact, now is the perfect time to mention that proofreading your essay isn't just about spelling and commas.

It's about making sure your analysis or argument flows smoothly from one idea to another. (Okay, technically this comprises editing, but most students writing a high school or college essay don't take the time to complete every step of the writing process. Let's be honest.)

So as you clean up your mechanics and sentence structure, make sure your ideas flow smoothly, logically, and naturally from one to the next as you finish proofreading.

9. Here are some words and phrases you don't want to use.

  • You  (You'll notice I use a lot of you's, which is great for a blog post. However, in an academic essay, it's better to omit the second-person.)
  • To Be verbs (is, are, was, were, am)

A note about “I”: Some teachers say you shouldn't use “I” statements in your writing, but the truth is that professional, academic papers often use phrases like “I believe” and “in my opinion,” especially in their introductions.

10. It's okay to use Wikipedia, if…

Wikipedia is one of the top five websites in the world for a reason: it can be a great tool for research. However, most teachers and professors don't consider Wikipedia a valid source for use in essays.

Don't totally discount it, though! Here are two ways you can use Wikipedia in your essay writing:

  • Background research. If you don't know enough about your topic, Wikipedia can be a great resource to quickly learn everything you need to know to get started.
  • Find sources . Check the reference section of Wikipedia's articles on your topic. While you may not be able to cite Wikipedia itself, you can often find those original sources and cite them . You can locate the links to primary and secondary sources at the bottom of any Wikipedia page under the headings “Further Reading” and “References.”

The thing I regret most about high school and college is that I treated it like something I had  to do rather than something I wanted  to do.

The truth is, education is an opportunity many people in the world don't have access to.

With academic essay writing, there are certain conventions that writers are expected to follow. As such, it's important to know the basics of academic writing before you begin writing your essay.

Before you begin writing your essay, you need to know what type of essay you are writing. This will help you follow the correct structure, which will make academic paper editing a faster and simpler process. 

Will you be writing a descriptive essay, an analytical essay, a persuasive essay, or a critical essay?

You will want to do the research for your academic essay points, of course, but you will also want to research various journals for the publication of your paper.

Different journals have different guidelines and thus different requirements for writers. These can be related to style, formatting, and more. 

Knowing these before you begin writing can save you a lot of time if you also want to learn how to revise an essay. If you ensure your paper meets the guidelines of the journal you want to publish in, you will not have to revise it again later for this purpose. 

After the research stage, you can draft your thesis and introduction as well as outline the rest of your essay. This will put you in a good position to draft your body paragraphs and conclusion, craft your bibliography, and edit and proofread your paper.

Step 2: Writing the Essay Introduction and Thesis Statement

When learning how to write academic essays , learning how to write an introduction is key alongside learning how to research for an academic essay.

Your introduction should broadly introduce your topic. It will give an overview of your essay and the points that will be discussed. It is typically about 10% of the final word count of the text.

Your topic statement should hook your reader, making them curious about your topic. They should want to learn more after reading this statement. To best hook your reader in academic essay writing, consider providing a fact, a bold statement, or an intriguing question. 

The discussion about your topic in the middle of your introduction should include some background information about your topic in the academic sphere. Your scope should be limited enough that you can address the topic within the length of your paper but broad enough that the content is understood by the reader.

Your thesis statement should be incredibly specific and only one to two sentences long. Here is another essay writing tip: if you are able to locate an effective thesis early on, it will save you time during the academic editing process.

Step 3: Writing the Essay Body

When learning how to write academic essays, you must learn how to write a good body paragraph. That's because your essay will be primarily made up of them!

The body paragraphs of your essay will develop the argument you outlined in your thesis. They will do this by providing your ideas on a topic backed up by evidence of specific points.

These paragraphs will typically take up about 80% of your essay. As a result, a good essay writing tip is to learn how to properly structure a paragraph.

Each paragraph consists of the following:

A topic sentence

Supporting sentences

A transition

In learning how to revise an essay, you should keep in mind the organization of your paragraphs.

Your first paragraph should contain your strongest argument.

The secondary paragraphs should contain supporting arguments.

The last paragraph should contain your second-strongest argument. 

Step 4: Writing the Essay Conclusion

Your essay conclusion is the final paragraph of your essay and primarily reminds your reader of your thesis. It also wraps up your essay and discusses your findings more generally.

The conclusion typically makes up about 10% of the text, like the introduction. It shows the reader that you have accomplished what you intended to at the outset of your essay.

Here are a couple more good essay writing tips for your conclusion:

Don't introduce any new ideas into your conclusion.

Don't undermine your argument with opposing ideas.

It’s called the “one-idea rule” — and any level of writer can use it.

The “one idea” rule is a simple concept that can help you sharpen your writing, persuade others by presenting your argument in a clear, concise, and engaging way. What exactly does the rule say?

  • Every component of a successful piece of writing should express only one idea.
  • In persuasive writing, your “one idea” is often the argument or belief you are presenting to the reader. Once you identify what that argument is, the “one-idea rule” can help you develop, revise, and connect the various components of your writing.
  • For instance, let’s say you’re writing an essay. There are three components you will be working with throughout your piece: the title, the paragraphs, and the sentences.
  • Each of these parts should be dedicated to just one idea. The ideas are not identical, of course, but they’re all related. If done correctly, the smaller ideas (in sentences) all build (in paragraphs) to support the main point (suggested in the title).

Most advice about writing looks like a long laundry list of “do’s and don’ts.” These lists can be helpful from time to time, but they’re hard to remember … and, therefore, hard to depend on when you’re having trouble putting your thoughts to paper. During my time in academia, teaching composition at the undergraduate and graduate levels, I saw many people struggle with this.

Can great essay writing really be condensed down into just 8 steps? Well, whilst it's true that there is a lot that goes into academic writing of any kind, these top takeaways are a great place to start if you want to improve your essay writing.

To some, essay writing comes naturally. But for many, knowing how to answer an essay question in a way that will score high marks is something that must be learnt, and practised regularly. You can take comfort in knowing too that, once you learn how to write a great essay, you can apply the same techniques and formulas to almost any piece of academic writing, whether it's a standard essay, a reflective essay, a dissertation or thesis, a course assignment, coursework or something else.

So without further ado, let's dive in and learn the eight steps to writing an essay.

1. Understand the question

This may, at the face of it, sound like somewhat banal advice – but fact of the matter is that failing to properly understand the question set is one of, if not the most common reason behind a disappointing grade when it comes to essay writing. Are you being asked to critically evaluate something ? Compare and contrast? Analyse a particular circumstance? Evaluate the usefulness of a particular concept?

These are some of the common phrases found in essay questions, and each indicates a different set of expectations. If you are asked to critically evaluate a particular theoretical approach, for instance, you have to gain an understanding not only of said theory, but also other common approaches. They must all be weighed against each other, highlighting the relative strengths and weaknesses of each theory and, importantly, you must come to a well-justified and confident conclusion. Is the theory good? What are its flaws? How can it be improved?

If you are asked to evaluate the usefulness of something, however, you don’t necessarily need to go into as much critical depth. Yes, you should still acknowledge alternative approaches, and yes, you should still note some strengths and weaknesses – but the bulk of the work must emphasise the concepts practical usefulness. Perhaps the best approach is to find one, or a few, case studies where the theory has been used – what was the outcome of this? Does the application of the theory reveal any particular shortcomings, or strengths?

“Compare and contrast” essays , meanwhile, are essentially a hybrid of the above – you need to take a critical approach and evaluate the literature, but your focus has to remain solidly on the theories that you have been asked to compare and contrast. It is important to show that you understand both (or all) core theories in great depth, both on a theoretical and applied level.

In essence, the wording of the essay question will tell you how the essay should be written. It will indicate where the focus of your essay should lie as you research and write.

2. Plan and schedule

Understanding the question is the first step, but it is equally important that you make efficient use of the available time. Students often underestimate the amount of work required to write a good essay, which results in two things: (1) late nights at the library, and (2) a disappointing grade. If you want to achieve a good mark, you should start planning your essay the moment you receive the essay question. The following table may be a useful aid:

By setting deadlines for yourself and committing to stick to them, you are ensuring that you won’t be left with too much work right before your hand-in date. It is also important that you leave time, ideally a couple of days, between finishing your first draft and proofreading.

3. Read widely

Writing may be the core task, but reading is equally important. Before you start writing your essay, you should conduct a broad search for relevant literature . Learning how to sift through a large amount of data is an important academic skill. You should start by searching through databases – Google Scholar is a great tool for this – using key words related to your research topic. Once you find an article that sounds promising, read through the abstract to ensure that it’s relevant.

If you are still not a hundred percent sure, it is usually a good idea to skip to the conclusion – this usually contains a detailed summary of the study, which will help determine whether you should read the article as a whole. You don’t want to waste time reading through and endless number of articles simply to find that they aren’t actually relevant. Once you have identified a few solid articles, you should (a) go through their bibliographies and take note of who they are citing, as these articles will likely be of value for your own research; and (b) check on Google Scholar to see who has cited them. To do this, simply input the name of the article in the search bar and hit enter. In the results, click “cited by” – this will return a list of all of the articles that have cited the publication you searched for.

It’s important that you don’t rely too heavily on one or a couple of texts, as this indicates to the marker that you haven’t engaged with the wider literature. You should be particularly careful in using course books (i.e. “introduction to management” and the like), as these are essentially summaries of other people’s work.

4. Be critical

Perfect theories and academic approaches are rare – the clear majority of theories, arguments, and studies have flaws. Being descriptive is fine if you are looking to scrape a pass, but for a higher grade you need to show that you are able to leverage critical reasoning in your dealing with academic materials. What are the limitations of the theories you are drawing on? How have these been dealt with in the literature? How do they impact the quality of arguments presented, and to what extent do they limit our understanding of what you are studying? What alternate explanations might offer additional depth?

Critical thinking is what will make your essay stand out. It shows the marker that you are not simply repeating the arguments that have been fed to you throughout your studies, but actually engaging with theories in an academic manner. A good way to practice this is to pay careful attention when reading literature reviews in published articles – you will see that authors don’t simply summarise previous studies, but offer a critique leading to a gap for their own research.

5. Structure, flow and focus

How you present your argument is nearly as important as the argument itself, which is why it is imperative that your essay follows a logical structure. A classic piece of advice is to "tell them what you are going to tell them, then tell them, and tell them what you told them". This, in essence, summarises the core introduction, main body, and conclusion structure of your essay.

Having a clear and logical structure will help ensure that your essay stays focused, and doesn’t stray from the question being answered. Each section, paragraph, and sentence should add value to the argument you are presenting. As you are writing, it’s good to take a step back and ask yourself: what value does this sentence/section add? How does it link to my overarching argument? If you find that you can’t answer those questions, there is a high risk that you have strayed from your core argument, and you may want to reconsider the path you are taking.

You should also make sure that all the different parts of your essay fit together as a cohesive and logical whole, and that the transition from one argument to the next is fluid. Students often treat essays as lists of arguments, presenting one after the other with little consideration for how they fit together, which inevitably leads to a lower grade. Make sure to tell your reader why you are transitioning from one argument to the next, why they are in this particular order, and how each argument helps shed light on a particular aspect of what you are discussing.

6. Quoting, paraphrasing and plagiarism

Academic writing requires a careful balance between novel argument, and drawing on arguments presented by others. Writing a completely 'novel' essay, without drawing on a single source, indicates that you haven’t made yourself familiar with what has already been published. Conversely, citing someone for every point made suggests that you haven’t produced a novel argument.

As such, it is important that you provide evidence (a credible citation) when you are making a statement of fact, or drawing on arguments, frameworks, and theories presented by other academics. These, in turn, should support the overarching novel argument that you yourself are making.

When drawing on other authors it is important to understand the distinction between quoting and paraphrasing. The general rule of thumb is that you should paraphrase wherever possible, and quote only when necessary or if it clarifies the point you are making. That said, paraphrasing can be difficult without losing the inherit value of the argument presented.

In case you are unsure about the difference between quoting and paraphrasing, we’ve included an example below:

Quote: "Cultural capital can be acquired, to a varying extent, depending on the period, the society, and the social class, in the absence of any deliberate inculcation, and therefore quite unconsciously" (Bourdieu, 1986: 18).

Paraphrase: Unlike economic capital, the amassing of which requires some conscious effort, cultural capital can be built simply by existing and consuming (Bourdieu, 1986).

Both the quoted and the paraphrased versions carry essentially the same meaning, with the exception that paraphrasing shows slightly wider knowledge of Bourdieu (through mentioning another form of capital), and presents an argument that, while true to the writings of Bourdieu, better fits the overall argument.

Properly citing the sources upon which you draw also ensures that you will not be accused of plagiarism, which is a serious offence in academia. In fact, repeated and grievous plagiarism can lead to the suspension of your studies at the majority of academic institutions!

7. Find a 'study buddy'

Having a similarly ambitious 'study buddy' is often undervalued by students, but the synergy achieved by working together can help both of you achieve considerably higher grades. It is important to note that you shouldn’t write your essays together, nor necessarily agree on the approach to be taken beforehand, as this leads to the risk of submitting two papers that are too similar – again linking back to the issue of plagiarism.

Instead, you should exchange essays with each other once you are both done with the first draft. It is immensely difficult to proofread your own work – one goes blind to minor grammatical issues in a text after reading it repeatedly for days on end. It is similarly easy to overlook gaps in flow and logic of argument. Having a friend read through the work will address both of these issues, assuming that they, too, are high achieving.

8. Write academically

Another common issue – particularly amongst first and second-year undergraduates – is that they tend to use rather non-academic language:

In this essay I will look at how people who buy art use cultural capital. My theory is that having more cultural capital will change their taste in art, as they are able to understand the pieces differently to other people.

Examples such as the above are unfortunately rather common, and should give you a good idea of what to avoid. The sentiment behind the text is good, but it reads more like a second-rate blog post than an academic essay. Academic writing should be more formal , concise, unbiased and include good use of rhetoric. As for the above example, an academic might instead write:

This essay explores the role of cultural capital in the consumption of art, and the impact of cultural capital on consumers’ perception of artistic expressions.

You will note that this second example is far more concise yet none of the meaning is lost. It also uses present (rather than future) tense, and avoids informal terms. Clear, concise, and precise language is a hallmark of academic writing.

Your best essays will be about things that light your fire. What do you feel passionate about? What topics do you find yourself arguing for or against? Choose the side of the topic you are "for" rather than "against" and your essay will be stronger.

Do you love gardening? Sports? Photography? Volunteering? Are you an advocate for children? Domestic peace? The hungry or homeless? These are clues to your best essays.

Put your idea into a single sentence. This is your thesis statement , your main idea.

Choose a title for your essay that expresses your primary idea. The strongest titles will include a verb. Take a look at any newspaper and you'll see that every title has a verb.

Your title should make someone want to read what you have to say. Make it provocative.

Your introduction is one short paragraph, just a sentence or two, that states your thesis (your main idea) and introduces your reader to your topic. After your title, this is your next best chance to hook your reader. Here are some examples:

  • Women are the chief buyers in 80 percent of America's households. If you're not marketing to them, you should be.
  • Take another look at that spot on your arm. Is the shape irregular? Is it multicolored? You could have melanoma. Know the signs.
  • Those tiny wasps flying around the blossoms in your garden can't sting you. Their stingers have evolved into egg-laying devices. The wasps, busying finding a place to lay their eggs, are participating in the balance of nature.

The body of your essay is where you develop your story or argument. Once you have finished your research and produced several pages of notes, go through them with a highlighter and mark the most important ideas, the key points.

Choose the top three ideas and write each one at the top of a clean page. Now go through your notes again and pull out supporting ideas for each key point. You don't need a lot, just two or three for each one.

Write a paragraph about each of these key points, using the information you've pulled from your notes. If you don't have enough for one, you might need a stronger key point. Do more research  to support your point of view. It's always better to have too many sources than too few.

You've almost finished. The last paragraph of your essay is your conclusion. It, too, can be short, and it must tie back to your introduction.

In your introduction, you stated the reason for your paper. In your conclusion, you should summarize how your key points support your thesis. Here's an example:

  • By observing the balance of nature in her gardens, listening to lectures, and reading everything she can get her hands on about insects and native plants, Lucinda has grown passionate about natural balance. "It's easy to get passionate if you just take time to look," she says.

A good introduction paragraph is an essential part of any academic essay . It sets up your argument and tells the reader what to expect.

The main goals of an introduction are to:

  • Catch your reader’s attention.
  • Give background on your topic.
  • Present your thesis statement —the central point of your essay.

The invention of Braille was a major turning point in the history of disability. The writing system of raised dots used by visually impaired people was developed by Louis Braille in nineteenth-century France. In a society that did not value disabled people in general, blindness was particularly stigmatized, and lack of access to reading and writing was a significant barrier to social participation. The idea of tactile reading was not entirely new, but existing methods based on sighted systems were difficult to learn and use. As the first writing system designed for blind people’s needs, Braille was a groundbreaking new accessibility tool. It not only provided practical benefits, but also helped change the cultural status of blindness. This essay begins by discussing the situation of blind people in nineteenth-century Europe. It then describes the invention of Braille and the gradual process of its acceptance within blind education. Subsequently, it explores the wide-ranging effects of this invention on blind people’s social and cultural lives.

Your first sentence sets the tone for the whole essay, so spend some time on writing an effective hook.

Avoid long, dense sentences—start with something clear, concise and catchy that will spark your reader’s curiosity.

The hook should lead the reader into your essay, giving a sense of the topic you’re writing about and why it’s interesting. Avoid overly broad claims or plain statements of fact.

The first sentence is a dry fact; the second sentence is more interesting, making a bold claim about exactly  why the topic is important.

Avoid using a dictionary definition as your hook, especially if it’s an obvious term that everyone knows. The improved example here is still broad, but it gives us a much clearer sense of what the essay will be about.

  • Mary Shelley’s  Frankenstein is a famous book from the nineteenth century.
  • Mary Shelley’s Frankenstein is often read as a crude cautionary tale about the dangers of scientific advancement.

Instead of just stating a fact that the reader already knows, the improved hook here tells us about the mainstream interpretation of the book, implying that this essay will offer a different interpretation.

Next, give your reader the context they need to understand your topic and argument. Depending on the subject of your essay, this might include:

  • Historical, geographical, or social context
  • An outline of the debate you’re addressing
  • A summary of relevant theories or research about the topic
  • Definitions of key terms

The information here should be broad but clearly focused and relevant to your argument. Don’t give too much detail—you can mention points that you will return to later, but save your evidence and interpretation for the main body of the essay.

How much space you need for background depends on your topic and the scope of your essay. In our Braille example, we take a few sentences to introduce the topic and sketch the social context that the essay will address:

Now it’s time to narrow your focus and show exactly what you want to say about the topic. This is your thesis statement —a sentence or two that sums up your overall argument.

This is the most important part of your introduction. A  good thesis isn’t just a statement of fact, but a claim that requires evidence and explanation.

The goal is to clearly convey your own position in a debate or your central point about a topic.

Particularly in longer essays, it’s helpful to end the introduction by signposting what will be covered in each part. Keep it concise and give your reader a clear sense of the direction your argument will take.

As you research and write, your argument might change focus or direction as you learn more.

For this reason, it’s often a good idea to wait until later in the writing process before you write the introduction paragraph—it can even be the very last thing you write.

When you’ve finished writing the essay body and conclusion , you should return to the introduction and check that it matches the content of the essay.

It’s especially important to make sure your thesis statement accurately represents what you do in the essay. If your argument has gone in a different direction than planned, tweak your thesis statement to match what you actually say.

This introduction to an argumentative essay sets up the debate about the internet and education, and then clearly states the position the essay will argue for.

The spread of the internet has had a world-changing effect, not least on the world of education. The use of the internet in academic contexts is on the rise, and its role in learning is hotly debated. For many teachers who did not grow up with this technology, its effects seem alarming and potentially harmful. This concern, while understandable, is misguided. The negatives of internet use are outweighed by its critical benefits for students and educators—as a uniquely comprehensive and accessible information source; a means of exposure to and engagement with different perspectives; and a highly flexible learning environment.

This introduction to a short expository essay leads into the topic (the invention of the printing press) and states the main point the essay will explain (the effect of this invention on European society).

In many ways, the invention of the printing press marked the end of the Middle Ages. The medieval period in Europe is often remembered as a time of intellectual and political stagnation. Prior to the Renaissance, the average person had very limited access to books and was unlikely to be literate. The invention of the printing press in the 15th century allowed for much less restricted circulation of information in Europe, paving the way for the Reformation.

This introduction to a literary analysis essay , about Mary Shelley’s Frankenstein , starts by describing a simplistic popular view of the story, and then states how the author will give a more complex analysis of the text’s literary devices.

Mary Shelley’s Frankenstein is often read as a crude cautionary tale. Arguably the first science fiction novel, its plot can be read as a warning about the dangers of scientific advancement unrestrained by ethical considerations. In this reading, and in popular culture representations of the character as a “mad scientist”, Victor Frankenstein represents the callous, arrogant ambition of modern science. However, far from providing a stable image of the character, Shelley uses shifting narrative perspectives to gradually transform our impression of Frankenstein, portraying him in an increasingly negative light as the novel goes on. While he initially appears to be a naive but sympathetic idealist, after the creature’s narrative Frankenstein begins to resemble—even in his own telling—the thoughtlessly cruel figure the creature represents him as.

How to Craft an Excellent MD Residency Personal Statement

Your residency is a critical step on the road to becoming a board-certified physician. Unsurprisingly, the  residency matching process  is incredibly competitive. Program directors look for candidates who have demonstrated excellent academic performance, boast a strong academic record as well as great USMLE scores, and are supported by impressive letters of recommendation.

Before you have a medical residency interview , you can write an impactful personal statement. It is the perfect opportunity to catch a residency program director’s eye. We share some tips from an St. George’s University School of Medicine Alumni and their tips for how to craft a strong residency personal statement.

Physician-approved tips for writing a great residency personal statement

The National Resident Matching Program’s (NRMP)  2024 Program Director Survey  indicates that a candidate’s personal statement for medical residency is among the most important criteria program directors consider when reviewing applications.

Many programs begin filtering candidates by USLME scores, which essentially leaves everyone on a level playing field at that point. You’ll want to craft an eye-catching personal statement to help you stand out in the crowd. Follow these tips for doing just that:

1. Express your individuality

You can demonstrate your academic excellence by offering evidence of a strong medical school performance and a solid USMLE score. However, your residency personal statement offers the opportunity to give program directors a more complete picture of who you are as an individual.

This essay is a chance to highlight what sets you apart from other applicants, so it’s important to go beyond simply listing your achievements. These items will already be included in your curriculum vitae (CV) , so it won’t help admissions committees learn anything new about you.

It’s also smart to ensure that any of the experiences or extracurricular activities you do write about in your personal statement are true interests of yours. Dr. Natasha Sriraman, pediatrician and St. George’s University (SGU) graduate, notes that review committees can tell when you’re not being genuine.

“Don’t do things because you think it’s going to look good,” she advises. “Do things that you’re passionate about.”

2. Demonstrate your interest in the specialty

By the time you reach medical residency, you should have a solid idea of the medical specialty you’re want pursue. With that in mind, it’s a good idea to focus on why you are drawn to that specialty in your residency personal statement.

Be sure to do this in a way that is true to your personal passions rather than providing generic, surface-level motivations. For example, Dr. Sriraman says she’s come across too many candidates applying to pediatrics programs who say they love of working with children. “We all like kids,” she jokes. “That’s not a reason to go into this field of medicine.”

Instead, she suggests sharing an anecdote from an experience you had that influenced your decision to pursue that area of practice. This example could be a recent encounter during clinical rotations, a string of interactions with a particular instructor, or even something that happened prior to your time in medical school. By making a logical connection with you education and practical experience, review committees will have a better understanding of how your experiences will contribute to your success as a physician.

3.Address any potential concerns head-on

It can be uncomfortable to feel like you have any sort of blemish on your CV. But rather than shying away from a bad semester or a mysterious gap in your education, you can use your personal statement as an opportunity to elaborate on what was going on in your life at that time.

Putting academic issues or delays into context can make a big difference. It demonstrates that you possess levels of self-awareness and personal responsibility that can be pretty crucial when practicing medicine.

Furthermore, omitting issues in your personal statement doesn’t mean you can avoid addressing them—if you make it to the next phase of the application process, you can expect these topics to come up in your medical residency interview s. “While it is important to address this gap within your personal statement, I also advise medical students to practice what they’re going to verbally say when asked about the gap during the interview,” Dr. Sriraman says.

4. Be thoughtful about the structure

The Electronic Residency Application Service (ERAS) helps streamline the process of  applying to residency programs . They do provide ERAS application information and webinars, but the user guide can be pretty vague about the content when it comes to the personal statement for residency. As long as you structure your essay with an introduction, a middle section, and a conclusion, how you choose to arrange your personal statement is really up to you. What’s most important is that you’re able to keep your readers interested.

If you’re unsure of where to begin, apply the same approach you would with a paper in high school or college. Create an outline to help organize your thoughts, building a logical progression of ideas and experiences. While the parameters around the structure of your residency personal statement are loose, it is a common best practice to limit it to one page in length.

5. Don’t forget to edit and proofread

It’s often helpful to employ an iterative process when drafting this essay. Start by getting everything out on paper. Then go back and begin whittling your story down to include only the most important pieces.

Once you’re happy with how you’ve articulated your experiences and aspirations, it’s smart to enlist some outside opinions. Having a trusted mentor, instructor, or classmate read through your personal statement can be helpful, as they’re familiar with the inner workings of the medical field.

In addition, feedback from people from more casual acquaintances can help you collect objective opinions based solely on your writing. And be sure to have any strong writers or editors you know proofread your essay because even the smallest errors could make a big statement about your focus or attention to detail. 6. Give yourself enough time

Given how many elements you need to complete for residency applications, you’ll be doing yourself a huge favor by starting your personal statement with plenty of time to spare. Even if you consider yourself a fast writer, it’s smart to be proactive. In fact, it’s often recommended to spend at least two months working on this essay.

“Between taking exams, finishing your applications, and regular life, you want to give yourself two to three months,” Dr. Sriraman specifies. Giving yourself extra time allows you to progress through the multiple phases of writing and editing without feeling rushed.

Start writing your residency success story

You don’t have to be a seasoned writer to pen an effective residency personal statement. With some careful planning, thoughtful phrasing, and a thorough review process, you can write an essay that will make program directors take notice.

Your personal statement for residency could end up being the factor that helps you secure a coveted interview invitation. These face-to-face meetings will be the final stage that allows program directors to determine if you’d be a good fit for their residency positions.

In life sciences, especially if you’re in the medical device industry it becomes harder to manage projects in accordance with your company’s quality management system. Companies design and/or develop products every day to improve their existing products and address their customer needs. As a medical device company, you should have a process for quality planning that defines the projects needed for quality throughout the product life cycle.

You should also be aware that it is required by the FDA and ISO 13485:2016 . With a well-written quality plan in place, you'll enable your team with the quality management system framework to put high-quality medical devices to the market.

In this post, we’ll cover what a quality plan is, why it is important, and the steps to write a good quality plan for a medical device.

What is a quality plan?

A quality plan is a document, or several documents, that together outline quality policies, procedures, practices, guidelines, resources, and standards for processes, product(s), or organization, and provides details on how these quality standards will be achieved and controlled. The inputs, outputs, and deliverables differ widely depending on the industry, the size of the organization, the type of product, and other factors.

Joseph M. Juran defines three basic managerial processes required for quality. It’s called the Juran trilogy , the three processes are quality planning, quality control, and quality improvement. The initial activity is quality planning.

Juran’s quality planning consists of the following steps:

  • Determine who the customers are and what their needs are.
  • Translate those customer requirements into products with desired features
  • Develop processes that enable them to produce the product with desired features
  • Transfer the process, with appropriate controls, to operations.

Now let’s read how the FDA and ISO define quality planning;

“Each manufacturer shall establish a quality plan that defines the quality practices, resources, and activities relevant to devices that are designed and manufactured. The manufacturer shall establish how the requirements for quality will be met.”

ISO 9000:2015 - Quality management systems - Fundamentals and vocabulary

Quality planning is part of quality management, focused on setting quality objectives and specifying necessary operational processes, and related resources to achieve the quality objectives. Additionally, establishing a quality plan can be part of quality planning.

ISO 10005:2018 - Quality management — Guidelines for quality plans

The specification of the actions, responsibilities, and associated resources to be applied to a specific object modified.

How to write a quality plan

A well-written quality plan enables projects to run smoothly. But how? Now let’s learn how to create a good quality plan. There are specific steps to follow. Here you will find all the key elements of a strategic quality plan. You should start by determining the quality standards and what procedures you’ll use to check specifically for your medical device to meet the criteria.

A medical device strategic quality plan ties together your organization’s quality goals with activities. A quality plan can demonstrate your strategic quality goals into actions, and tie your expected outcomes to processes, procedures, and practices. In simple words, the quality plan shows what you plan to do, who will do it, and how it will be done. While creating this plan, there are no certain rules to follow, as it depends on the complexity of your scope and your product(s).

Typically, a quality plan includes the following detailed information:

  • An overview or introduction of the project or process detailing the background, need, scope, activities, and important dates or deadlines
  • Objectives to be achieved
  • Process steps that define the operating practice or procedures
  • The organizational structure or organizational chart that specifies required roles including externals
  • Roles, responsibilities, and qualifications necessary to fulfill stated duties
  • Allocation of responsibilities, authority, and resources during the different phases of the process or project
  • Specific documented standards, practices, procedures, and instructions to be applied
  • Supplier standards (e.g., specify the standards the prospective suppliers must meet before they can bid on a contract, such as ISO 9001:2015)
  • A list of qualified suppliers
  • Performance standards and how performance will be documented
  • Acceptance criteria
  • Deliverables
  • A feedback mechanism for internal and/or external customer feedback
  • Suitable quality control, testing, inspection, examination, and audit programs at appropriate stages
  • A documented procedure for changes and modifications to a quality plan as a process is improved
  • A method for measuring the achievement of the quality objectives
  • Training requirements (e.g., overview, job-specific, or refresher training)
  • Corrective action and preventive actions , including the person(s) responsible for CAPA
  • Suggested corrective action
  • Other actions necessary to meet the objectives
  • Required notifications
  • Any references or related materials, including performance ratings or performance reports

Step 1 - Determine the Scope

Determine the project title and draft a brief statement for the scope. The scope of your quality plan should be clearly defined by emphasizing project details including project overview, scope of services, and risks that are specific to the project per your organization’s mission and strategic direction.

Typically, the scoping phase shapes the overview of the quality plan. Additionally, if the quality plan is about a new device, it should refer to standard operating procedures, product-related policies, and processes.

Step 2 - Resources

Every quality plan should contain certain resources to execute the plan smoothly. Identify resources needed and specify the type and amount of resources including:

  • Materials, products, or services,
  • Infrastructure and environment for the operation
  • Equipment for the operation, measurement, and monitoring of processes.

Make sure you consider all aspects of your project and list and make them ready for use before starting to implement your project.  Having project management tools might help you in this step to plan and execute your project, especially for resource management tasks.

While your organization grows, managing projects might become challenging, so you will need the right tools that are capable of enabling your continued growth and scaling with your company.

Step 3 - Roles & responsibilities

Ideally, it’s enough to clearly define roles and responsibilities. Sometimes a simple flow chart or org chart helps to visualize. Alternatively, you can add links to the related SOPs or job descriptions regarding the details of each team member without going into too specific details about roles, responsibilities, and training requirements. Additionally, the objectives section of the quality plan will guide you to define clear roles and responsibilities for the team.

In this step, you should also define how you will communicate with all affected departments and functions, external providers, and customers. When needed, how to resolve problems that may arise between such groups.

Training is also another key pillar under the step: Roles and responsibilities . The competence, and training requirements for each role should be defined.

Identify people within the organization who are responsible for:

  • the activities and resources required for the quality plan and ensure that it’s implemented and controlled, and their progress monitored as planned.
  • reviewing quality plan inputs, recording these reviews, and resolving conflicts and ambiguities;
  • communicating requirements reviewing the results of any audits conducted;
  • reviewing and authorizing changes to, or deviations from, the quality plan.

Reporting lines of those involved in implementing the quality plan may be presented in the form of an organizational chart.

Step 4 - QMS and Quality Objectives

In this step, you should define and refer to standards, SOPs, and quality policy specific to your product/project in accordance with your QMS, also define your organization’s quality objectives and KPIs and how you will achieve them. The goal of quality objectives is to:

  • Decrease product nonconformities and defects
  • Improve product performance
  • Increase efficiency
  • Ensure the safety of products and processes
  • Increase customer satisfaction

Quality objectives can be established based on the quality characteristics of the product/project, and customer requirements or you may consider opportunities for improvement. So they can vary depending on the basis including details on medical device characteristics, uniformity, performance, effectiveness, etc. Furthermore, there are other quality objectives that address cost, utilization, dependability, weight, and many more.

Objectives should be measurable, so you should describe how and when to track each objective. This mechanism ensures the measurement of all quality activities. If a result does not meet the acceptance criteria, you should initiate NCR or CAPA investigations.

To measure and achieve those objectives, you should also define the company audit management process and how to handle CAPA and nonconformities.

Step 5 - Project Inputs

In this step, you will identify the inputs required for the quality plan of your medical device. Additionally, you must define how the project will be controlled and how deliverables will be managed. This includes listing, reviewing, verifying, approving, and distributing documents. You will also need to address any changes to the project scope in accordance with change management procedures."

The project inputs may vary depending on the complexity of your medical device. However, it can be identified based on the following requirements, but not limited to:

  • QMS and standard requirements
  • Customer requirements
  • Regulatory requirements Industry specifications;
  • Requirements for and availability of resources
  • Requirements of the specific case including technical specifications of the product, if any
  • Assessments of risks and opportunities related to the specific case;
  • Information on the needs of users of the quality plan;
  • Communication requirements
  • Other relevant quality plans;
  • Any documented information relevant to the quality plan;

Reference these inputs to the quality plan, so it’s easy to identify them when needed.

Bonus - Customer requirements

Here, you can find some of the key activities to identify customers and their needs:

  • Identify internal and external customers.
  • Discover their needs, expectations, and desires for the product. Also, consider discovering customer feedback.
  • Gather all the raw data from the customers.
  • Determine methods for identifying product features.
  • Select high-level product features and goals.
  • Develop detailed product features and goals.
  • Optimize product features and goals.
  • Set and publish the final product design.
  • Identify controls needed.
  • Design feedback loop.
  • Optimize self-control and self-inspection.
  • Establish an audit.
  • Demonstrate process capability and controllability.
  • Plan for transfer to operations.
  • Implement the plan and validate the transfer.
  • Establish measurements specific to the product.

Step 6 - Document management

In this step, you can outline your document management including methods for controlling documents, identifying changes, and ensuring employees can access current versions of your quality plan. The quality plan is the best place to address required elements of the QMS among the entire product lifecycle including:

  • Policies, SOPs, Guidelines, forms
  • Data management
  • Internal processes
  • Customer satisfaction
  • Continuous improvement
  • Quality analysis

Step 7 - Project deliverables

In this step, you should define clear guidelines for measurement, monitoring, status reporting, and evaluation for each deliverable and describe the methods for evaluating deliverables against predefined standards or acceptance criteria. Ensure outputs are consistent by establishing and documenting metrics to measure their performance. It is also recommended that inputs and outcomes be reviewed periodically to ensure validity. By measuring and monitoring metrics associated with each process, you can track the project quality plan’s health toward achieving objectives.

  • Quality criteria
  • Quality metrics
  • Preventive activities
  • Quality control activities
  • Approval activities
